Candidate Profile in Vincere

Learn how to view, manage, and update candidate information in Vincere.

The Candidate Profile in Vincere provides a complete view of a candidate’s details, status, history, and activity across your recruitment workflow.


Candidate Pipeline

The Pipeline displays all application stages your candidate is currently in. You can easily see whether they have been spec’d or floated and review tasks associated with them.

  • This section provides a visual overview of your candidate’s engagement across jobs and applications.


Candidate Profile Header

Many key details can be found here, including the candidate's name, current address, contact details, time since last activity, last activity date, Reg, date, whether they have an original CV uploaded, brand of the candidate, current status, no of job, and candidate owner.

  • In the top left are key details, including the candidate's name, current address, whether they have an original CV uploaded, and Reg. date.

  • In the top right, you will see the posting Status, which brand the candidate is associated with, Job List, and relevant social media links if uploaded.

  • The middle will contain the candidate's email, phone number, time since the last activity, last activity date, no of job, and Candidate owner.

šŸ“Œ Note: You can add multiple Candidate owners in a Candidate profile, but please ensure that the combined Percentage of ownership does not exceed 100%.

Candidate Actions

Access quick actions in the upper-right corner of the candidate profile, such as:

  1. Adding or removing the candidate from Talent Pools.

  2. Viewing which Pools the candidate already belongs to.

  3. Performing quick tasks directly from the profile.

Talent pools: In this section, you can add the candidate to existing talent pools or see the Pools they are currently a part of.

Summary

The Summary tab is fully customizable in Settings, then click Field Configuration. By default, it displays general candidate information such as employment history and education.

  • When a candidate changes employers, update their Work History section to reflect the new company and tick the Current Employer checkbox.

You might have configured this in a different way, but usually, this is found in the Summary tab from inside the candidate’s profile.

āš ļø Important: Don’t forget to tick the box beside the field that is labeled ā€œCurrent Employerā€ to reflect this.

šŸ“Œ Note: The summary tab is fully customizable by your administrators in the Field Configuration section of Settings.


Edit a Candidate’s Current Job Title

To update the current job title for a candidate in Vincere, follow the steps below:

  1. Go to the profile of the candidate whose job title you want to update.

  2. Click on the ā€œWork & Tagsā€ tab within the profile.

  3. Scroll to the Work History Section, you’ll see a chronological list of job titles.

    • The latest entry (with the most recent start date and no end date) is treated as the current job title.

  4. Edit/ Update the Job Title field in the editable section below the table.

    • Make sure the ā€œCurrent employerā€ checkbox is ticked if this is their current role.

  5. Your changes are auto-saved or will take effect after clicking outside the field.

šŸ› ļø Troubleshooting: Can’t See Employment History (a chronological list of job titles)?

If the Employment History section is not visible:

  1. Go to Settings, and click Field Configuration.

  2. Select Candidate Summary.

  3. Under the Work History drop-down, drag and drop the Employment History field into the visible section.

  4. Click Save to apply changes.

  5. Return to the candidate profile and proceed with the steps above.


Onboarding

Here you can choose the country that your candidate is located in, and see the relevant onboarding fields for that location. Learn how to configure, check out our help article How to Add and Manage Custom Onboarding Fields in Vincere.

  • Check/set the document checks for the candidate.

  • Billing Options - allow you to generate Self-Bill Invoices on behalf of the Candidate Company.

  • Brands - that the candidate is associated with.

šŸ“Œ Note: Candidate brands will automatically update when the candidate owner is changed, the primary brand of the candidate owner is added to the candidate profile, and when a candidate is shortlisted for a job, the job brand is added to the candidate's profile.


Work Aspirations

Enter your candidate’s preferred job details here, such as:

  • Desired location or relocation preferences.

  • Industry and functional expertise.

This helps align candidates with the right opportunities.

Activities

View a full audit trail of all candidate interactions, including:

  • Meetings, comments, and status updates.

  • Which team member performed each action and when.


Emails

All email correspondence between your team and the candidate appears in this tab. This includes:

  • Sent and received messages.

  • Attachments and content details.

  • The consultant who sent each message.

SMS

This section will involve any SMS correspondence between your company and the candidate.

  • If you’re interested in utilizing our SMS feature, see the help center on how to set up a Twilio account (Twillio is a third-party app and requires a separate subscription).

Files

The Files tab stores all documents related to the candidate, including resumes, compliance checks, and timesheets.

Applications

This is broken down into Jobs, Offers/Placed, Timesheets, and Invoices.

  • Jobs: View the jobs that the candidate is an active candidate.

  • Offers/Placed: Applications where the candidate is at the Offered or Placed status.

  • Timesheets: Any timesheets associated with that candidate.

  • Invoices: Any invoices relating to that candidate.


Availability

This is where you can see the availability calendar of the candidate, which can either be requested from the candidate or completed by the recruiter through email.


Integrations

Integrated tools such as RecII, RoboRecruiter, Onboarded, SourceBreaker, Daxtra Styler, Referoo, Icetrak, and RSign will display under this section.

  • Keep candidate information updated regularly to maintain data accuracy.

  • Use consistent naming conventions for job titles and brands.

  • Ensure document checks are completed before placement.

  • Review and update ownership percentages quarterly.

  • Use the Summary tab to track changes in employment history.

Q1: How do I add a candidate’s date of birth?

  • Answer: Go to the candidate’s profile, locate the Date of Birth field under the Details section, enter the date, and click Save.

Q2: How can I archive an expired document after uploading a new one?

  • Answer: Vincere currently does not support document archiving. Both old and new files remain visible under the Files tab. If you need to retain expired documents, download and store them externally before deletion.
