✨ Now you can edit your comments inside Vincere

For the times when you make a mistake, when there’s an accidental typo or you need to add more context to a comment. You now have the ability to edit your saved comments. We’re excited to give you more control over your Candidate, Company and Contact past activities, to ensure your records remain accurate, relevant, and up to date.

👉 What's changed?

Previously, users were unable to edit or amend comments added to Vincere. This exciting upgrade now allows users the ability to edit previously saved comments alongside a full audit log providing visibility of any changes made:

  • User Permissions: Only the comment's creator can edit it. The presence of an edit icon in the comment's details tab signifies this ability to the user.

  • Edit Capability: Users are limited to editing the description/free text area of their comments.

  • Audit Log: An audit log will record every edit, including the date, time, and username, along with the before and after details of the comment. This ensures transparency and traceability of information changes.

  • Edit Scope: Editing is restricted to comments within the profiles of Candidates, Contacts, and Companies. Comments made in the consolidated activity table cannot be edited from here. However any edits made on the respective profiles will automatically sync to the consolidated activity table.

What does this change mean for me?

From correcting a simple misspelling to adding extra context to a comment, we’re excited to bring you more control over your Candidate, Company and Contact past activities ensuring records remain relevant and up to date.

Accuracy Maintenance: Users can correct typos or update the comment description in real-time.

✅ Historical Integrity: The associated audit log allows all users to view the evolution of a comment, ensuring transparency and accountability for any changes.

✨ Introducing Radius Search for Companies

Vincere's existing radius search feature helps users to seamlessly locate nearby Candidates and Contacts in just a few clicks and has been a customer favourite for many years. We're delighted to be supercharging this feature by introducing radius search and map view for Companies 🥳

👉 What's changed?

This new feature allows users to locate Companies/Prospects around a particular location, using geo-mapped addresses. The ability to search nearby records around a location empowers users across different departments and teams across verticals to gain locational awareness of their customers and prospects; another powerful innovation to help you win.

Within Company advanced search, users can input any of the below search metrics:

  • Distance: 2

  • Unit: Miles

  • Location type: workspace

  • Location: London/ EC3P 3DQ (choose the mapped address from the dropdown dialogue)

  • Country: UK

Location types include:

  • Mailing address

  • Billing address

  • Workplace

  • Current address

  • Headquarter

  • Personal address

  • All types

Users can sort the list of companies by:

  • Relevance

  • Frequency

  • Last updated

  • Reg.date

  • Shortest distance

What does this change mean for me?

The ability to search nearby records around a location empowers recruiters across different departments, teams and verticals to gain locational awareness of their customers and prospects - great for backselling candidates and seamlessly viewing key accounts on a map view.

✨ System-wide compliance updates

The recruitment industry is constantly evolving, as are the compliance demands of employers. To keep up with these changes, many recruitment agencies have developed new processes to ensure Candidates are compliant and ready to be represented for a role. Vincere's out of the box compliance functionality ensures your Candidates are compliant from day 1 by:

  • Putting a hard stop in placing candidates with either missing, unverified or expired mandatory documents

  • Allowing users to set levels of compliance for Job or system-wide onboarding documents either as Nice-to-Have (Job only), Warning, and Mandatory

  • Users can search for Candidates who are fully compliant; or those missing any key documents

👉 What's changed?

Previously, the onboarding compliance settings were based on a docs required at a Job level only (i.e. docs required set against that Job). This meant that Candidates may be compliant at a Job level but missing any Placement level specific documents (where applicable). It also meant users had to add generic documents (i.e. passport) to every Job compliance template (despite this document being mandatory for all applicants, regardless of Job).

This update introduces system-wide compliance settings, ensuring that any Candidates placed to a job satisfy both Job level compliance (i.e. degree certificate) and system level compliance (i.e passport).

We have added a new compliance setting (Settings > General Settings > 13. Compliance Settings > Placement)

NB: Placement compliance will check the document validation when placing a Candidate into a role

Placement Compliance levels explained:

Compliance - Warning

When attempting to place a Candidate with missing or expired compliance warning-level documents, the user will receive a warning to let them know which documents are expired or missing.

The Candidate can still be placed if the user chooses to continue.

Compliance - Mandatory

If a compliance document level has been set as mandatory, the Candidate will not be placed if these documents do not exist, are unverified or have expired against the Candidate record.

The user will be unable to place this Candidate until the mandatory documents have been uploaded/verified.

Placement scenarios:

  • Example of when a Job does not require any outstanding documents but system-wide requires 2 documents:

  • Example of when a Job does require outstanding documents alongside system-wide outstanding documents:


NB. Compliance source column in warning popup:

  • If the document is required by both Job level and system level, it will not display twice. The document with the higher level (Mandatory) will be chosen.

  • If the document is required in both Job/system levels and has the same level (i.e. both are Mandatory), then system settings is displayed.

🚨 Shift Scheduler users - important

For customers using the Shift Scheduler to place Candidates, please note that document compliance levels are setup in the search templates (vs a Job)

When placing a Candidate to a shift, via Shift Scheduler the Candidate must meet compliance requirements from both system-level and shift settings (vs Job level)

What does this change mean for me?

This significant update provides another level of compliance (system-wide) ensuring no Candidates slip through the gaps and gives peace of mind to recruiters and compliance teams that any Candidates placed into a role meet the required compliance levels for that Job - every single time.

💰 FastTrack 360 x Vincere Updates

We're continuing to invest heavily in the Vincere x FT360 integration by adding new features and updates every month, based directly on customer feedback. See below for this months improvements.

✨ Job Template Hierarchy

👉 What's changed?

Previously the Vincere x FastTrack360 integration allowed users to select all FT360's job templates when creating a Vincere placement. This was operating a different logic to FastTrack360 which only allow specific templates to be selected depending on the set criteria (Country, Office, etc.). Vincere was returning all FT360's job template for selection, which was time-consuming for users to select the desired template.

This update will mirror the FT360 logic and only present appropriate templates based on the information set within the placement record, resulting in a huge time-saving for users.

There are 3 dropdowns relating to FT360's job templates:

1. The first dropdown is hierarchy - all 6 hierarchies are visible:

2. The second dropdown (its name is changed automatically depending on hierarchy selection) will now only relevant items:

  • Country: returns only the country that is linked with the Office Code selected under FT360 section

  • Brand: returns only the brands that is linked with the Office Code selected under FT360 section

  • Office: returns only the office that is selected under FT360 section

  • Parent: To know: Inside FT36 "parent” is a field inside the Company profile:

    • If the Company of the placement is already synced to FT360 = return the parent of that company (if exists)

    • If the Company of the placement is not synced to FT360 yet = return blank

  • Client: "Client" in FT360 is mapped to "Company" in Vincere

    • If the Company of the placement is already synced to FT360 = return the client

    • If the Company of the placement is not synced to FT360 - return blank

  • Cost Center: If a company is already synced to FT360 and it has locations that are also synced as Cost Center, the location will have FT360 tab as screenshot below:

  • If the Company of the placement is already synced to FT360 = return all synced Cost Centers (if exist). Note that users must sync Cost Center location specifically, not any location created under the Company

  • If the Company of the placement is not synced to FT360 = return blank

3. The third dropdown returns a list of templates that belong to the item selected in the 2nd dropdown

We have implemented a similar workflow to the FT360 logic, which now includes job type, for example if the Vincere Job is “Temp” then templates presented that include “contract” will not be included in the list:

Please note: There are some other areas that also allow users to select FT360 templates:

  • Quick add job - Pay & Bill setting

    • Brand/Country/Office will not be selectable as there is no [Office Code] in quick add job –however we will be adding [office code] in future updates

    • Client/Parent/Cost Center will rely on the Company that is selected in quick add job company field

  • Job profile - Pay & Bill setting

    • Brand/Country/Office will not be selectable as there is no [Office Code] in quick add job –however we will be adding [office code] in future updates

    • Client/Parent/Cost Center will rely on the Company of the job

  • Vincere job template settings

    • Brand/Country/Office will rely on office code of the Company selected in field [Align to Company]

    • Client/Parent/Cost Center will also rely on the Company selected in field [Align to Company]

✨ Prevent data overriding if resending placement with same template

👉 What's changed?

Previously, when a placement was synced to FastTack360, re-syncing the same placement with a FT360 job template would override all of the changes users have made directly on FT360's Job Order.

This update will add another checkpoint during the re-syncing process, ensuring that if the same job template is being used (the same as the previous sync), then the re-sync wont re-apply the job template, which prevents any changes made by the user directly to the FT360 job order being overwritten:

  • When re-syncing a placement to FT360 with the same FT360 job template as the previous sync = Vincere no longer reapplies the job template again.

  • If the user selects a different FT360 job template and re-syncs = then it will be applied apply and override current data as usual.
