Send personalised Job lists to Candidates

We’re excited to announce a new and improved way for you to interact with your candidates. Now you can share a fully branded live list of Jobs including all relevant Job descriptions straight to their inbox. Candidates can then easily view all relevant Jobs you’ve sent through and decide then and there whether to proceed. Do it all from one user-friendly portal, in just a few clicks.

What does this change mean for me?

This highly requested feature is guaranteed to give your recruiters time back on the clock, by simply enabling them to send out relevant Jobs to candidates in seconds. It’s a personal touch ensuring you place the right candidates in the right role 🙌

What's new?

Previously when sending out job opportunities to candidates, recruiters could only send one job to one candidate at a time. So, if a candidate was suitable for 5 or 6 different roles it meant the recruiter would have to set up multiple actions manually inside Vincere and repeat the process for each opportunity.

👉 Say hello to personalised Job Lists for your candidates

With this brand-new feature, recruiters can easily share a list of suitable jobs and send out to multiple candidates. Candidates will then receive a fully branded centralized dashboard to view all of the jobs in one place.

This makes it simple for them to quickly decide whether they’re interested in any of the roles you’ve sent out.

How do I use this feature?

Head to the Jobs table and select all the Job(s) you would like to send out to your Candidates (max 10 Jobs at a time).

Once you’ve selected your desired list, click on actions, and choose ‘Send Job List to Candidates’.

Select the Candidates you want to send these jobs to (max 100 candidates at once).

Select the Candidates you want to send these jobs to (up to 100 Candidates at once)

Choose the Job files you'd like to share with selected Candidates. Along with multiple files which pull directly from the Job such as:

  • Job descriptions

  • Compensation documents

  • Employer branding one-pagers (i.e. why you should work with company x)

  • Presentations on what it's like to work at company x

We'd recommend sharing any documents that will get the Candidate excited about the new role you're sending over to them. Remember you're trying to sell them the role/company so try and make it as appealing as possible.

You can click into each document to double-check the details are correct before sharing.

You can also easily remove a job from the list if you change your mind or decide to save it for later

💡 TIP: Candidates with a company exclusion notice; or candidates already in process for that job will be removed from the list.

Jobs with Closed or Placed and Closed status will be excluded from the list. This feature only applies for open jobs you're currently recruiting for.

You can then configure the content of the email. Remember this is sent out individually to each candidate so don't forget to add wildcards to your templates for extra personalisation

.....💥 Voila - the Candidate is automatically moved to the Applications stage and this is what your Candidates receive

A nicely branded email with a table of all the jobs and clear call-to-action for the candidate

Plus, their very own, fully branded dashboard with all the jobs you'd like to represent them for

Here, the Candidate can view all of the jobs and any relevant documents that you've shared. The candidate can simply approve or reject the roles.

Candidate: Accepts the role and would like you to represent them

(NB, terms of service and privacy policy must be ticked)

Candidate: Rejects the role and doesn't wish to proceed

(NB, a reason can be provided but isn't mandatory)

Recruiter: The recruiter then receives an email with the outcomes

The recruiter can now view the Job Consent status inside Vincere

Job Consent Definitions:

  • Must request - job hasn't been sent to Candidate

  • Pending - job has been sent and pending Candidate action

  • Consent given - Job has been sent and Candidate has accepted and wishes to proceed

  • Withdrawn - Job has been sent and Candidate has rejected and wishes to withdraw from being represented for this role

Alongside Application Status to view the reason(s) why a candidate may have withdrawn

The recruiter can then proceed with representing all the candidates with "Consent given" status and start sending them to the client via The LiveList

✨ Pin placement activities

Customers told us they want important placement alerts or to quickly see placement comments all in one view, to ensure nothing gets overlooked.

That’s why we’re adding a brand-new activities table with the ability to pin relevant comments so anyone can immediately spot any important notes.

What does this change mean for me?

Incoming phone calls, InMails to respond to, candidate interviews, registering top talent, calling clients...the list goes on, recruiters are busy people. With so much going on, it's easy to miss important placement updates unless you remember to check each record individually, which isn't always practical.

Not anymore! We now allow recruiters, compliance, managers, back office teams (and anyone with access to Vinny!) to create comments directly onto the placement record. These records can be pinned, searched and filtered seamlessly ensuring nothing is missed.

You can use this for anything! Some examples might include candidate check ins, compliance updates, payroll alerts, potential blockers, the list is endless.

All of the comments made within a placement automatically sync back to the corresponding profiles so you can view the comment in: the placement, the candidate, the job, the company and the contact; closing that 360 feedback loop seamlessly.

What's new?

You can now create, view and pin comments/activities directly on the placement records, ensuring any important updates are instantly visible

If you need to see more information you can click into activities which lists all placement-related activities

You can also click into the activity quick view to see extra information such as date, created by, goals etc

If you're looking for something specific, you can search the entire table including free text comments e.g. passport

If you need to filter by a specific date range, that's not a problem

Or filter by a particular type of activity, we've got you covered

We also give you the option to filter by user

And view all activities or just those that are pinned

NB. Up to 100 activities can be pinned per placement record

You can expand to view all the summaries in full

All of the activity within a placement automatically sync back to the corresponding profiles so you can view the comment in: the candidate (as below), the job, the company, the contact and of-course the placement; closing that 360 feedback loop seamlessly

✨ LogicMelon - US Region updates

We have added US region configuration options for any customers based in North America using the Vincere x LogicMelon integration.

What's new?

This new configuration option adds significant value to customers in North America by tailoring the platforms functionality to the specific needs and requirements of the N.America job markets and labour laws

You can enable this setting inside Marketplace > Logic Melon > Region

✨LogicMelon & Broadbean – Candidate Owner behaviour changes

In this update, we are introducing a new logic, which allows you to select your desired preference to determine Candidate ownership.

What's new?

Previously, when a Candidate was imported to Vincere via our LogicMelon or Broadbean integrations the logic was that the assigned Candidate Owner was based on which specific user posted the original job to either LogicMelon or Broadbean. In this update, we are introducing a new logic, which allows you to select your desired preference to determine Candidate ownership:

Definitions & Logic

You now have two options to choose from:

1. "Keep the Candidate Owner on the initial candidate application" (previous logic)

If this option is selected, the first job that the candidate applies for will inherit the "job poster" as the Candidate Owner. If the same candidate applies to a different job (e.g. in 6 months time) the current ownership will stay i.e. the previous job poster.

Scenario 1

  • When Candidate X sends an application to “Job A” and it was posted by “Job Poster A”, the candidate ownership goes to Job Poster A and if Candidate X (same candidate) applies to Job B and this option is selected, the candidate ownership will not change, and the owner would be still “Job Poster A”

  • If 10 jobs have been posted by 10 different "job posters" and the same candidate applied for all, the candidate ownership will be based on Job Poster A

2. "Update the Candidate Owner per candidate application" (new logic)

If this option is selected, every time the same candidate applies to a job, it will inherit the ownership based on the "job poster" of that job.

Scenario 2

  • When Candidate X sends an application to “Job A” and it was posted by “Job Poster A”, the candidate ownership goes to Job Poster A. However, if Candidate X (same candidate) applies to Job B which is Posted by “Job Poster B”, then the candidate ownership will change to Job Poster B.

  • If 10 jobs have been posted by 10 different "job posters" and the same candidate applied for all, the final ownership will be the latest application the candidate makes

You can enable this setting inside Marketplace > Logic Melon / Broadbean > “Retrieve Application Setting”

✨ Tracking MFA Status (for admin users)

Multi-Factor Authentication (MFA) is a security enhancement that requires the user to provide two or more verification credentials in order to gain access into the system. (MFA) provides security layers for Vincere customers and enables you to verify the identities of users before they are granted access to your account.

While MFA is optional for users, this feature introduces an MFA activation status flag inside User Management for administrators to track MFA status on a per-user basis.

What's new?

This activation flag is visible within Settings > User Management, allowing administrators to view and track the MFA status for each user.

The status flag has 2 values:

  • Disabled: the user was successfully logged into Vincere without MFA.

  • Enabled: the user was successfully logged into Vincere with MFA.

The status flag is updated when the user has successfully logged into Vincere.

✨ Link to a placement when quick adding sales/purchase invoice

What's new?

When adding a Sales/Purchase invoice via Quick Add Invoice, you can now easily link to a placement where the candidate was previously placed

💰 FastTrack 360 Updates

  • ✨ Send Approvers to FT360

What's new?

Previously the Vincere x FastTrack360 integration displayed “Vincere API” as the default user inside the FT360 platform, instead of the person who completed the action or the entity it relates to.

Example: A timesheet that was approved and synced to FT360 is showing "Web API User" via Vincere API"

This upgrade will log the actual users who complete the actions and related entity

It will seamlessly sync Vincere > TimeTemp > FastTrack360 as below

  • ✨ Sync Standard Rates from FT360 to TimeTemp and and back to FT360

What's new?

This update allows recruiters to input Standard Rates using the FastTrack360 widget (inside the placement in Vincere) or directly on FT360 which then syncs to TimeTemp and back to FT360.

You can add the standard rates from the placement record

Which then seamlessly sync from from FT360 to TimeTemp and the corresponding timesheets
