✨ Setting to disable automatic BCC email address
We’re excited to announce a new feature that gives you greater control over your email settings.
👉 What's new
You can now disable the automatic BCC of your email address when sending bulk emails (template sections 6. and 7.). This setting helps you manage your inbox by reducing unnecessary email copies and keeping things organised.
You can enable/disable this option from user settings > email settings:
Note: This setting is enabled by default for all users. This means after the release users will continue to receive BCC emails when using email actions related to template 6 & 7, unless they manually disable the setting from user settings.
✨ New column in renewal table: Renewal Created Date
We’re excited to introduce a new column in the renewal chevron to enhance your management of renewal placements.
👉 What’s new?
New Column: The "renewal created date" column has been added to the renewal table.
Enhanced Functionality: You can now view, filter, and sort renewals by their creation date, giving you greater visibility and flexibility in managing renewals.
By being able to track when renewals were created, users can more easily:
Identify aging renewals: Easily spot renewals that may need immediate attention.
Prioritise based on creation date: Filter renewals to prioritise tasks and focus on time-sensitive placements.
Gain valuable insights: Analyse renewal trends and volume over time, helping you meet specific placement management goals.
✨ Job site location added to timesheet PDF
We have added job site location details to the TimeTemp x Vincere timesheet PDF displayed within Vincere:
✨ Engage x Vincere: New action “invite contacts to Engagement Hub”
We’ve made client onboarding easier for our Engage customers with the introduction of the "Invite to Engagement Hub" action in the Contacts action list.
👉 What’s New?
New Action: You can now invite clients directly to the Engage Client Portal from within Vincere, simplifying the registration process.
Benefits:
Streamlined Onboarding: Send direct invitations to clients, making their registration faster and more convenient.
Reduced Data Duplication: This new process minimises the risk of duplicate records by bypassing manual registration, ensuring accurate data alignment.
This feature enhances your ability to efficiently onboard clients and maintain cleaner records in Vincere.

Engage admin settings:
A new email template has been added to the client portal email template list within the Engage admin settings:
Go to settings > marketplace.
Click on the Engage tile.
Navigate to the setup tab, then click on the setup button to enter Engage's admin settings.
In the left-hand side panel, select email templates.
Click on client portal to view the list of templates related to the client portal.
Find template #4, titled “Invitation to Engagement Hub.”
Users can customise the subject line and email body as needed.
New contact action in Vincere:
A new "Invite to Engagement Hub" action has been added to the following areas within Vincere:
Contacts dashboard table
Contact’s profile
Company’s profile > contacts tab
Contacts advanced search
Tip: It's recommended to enable the Engage – Client Account Status filter and select “Not Registered” to easily invite contacts who haven't yet registered for the Client Portal:
Select one or more contacts from any of the areas listed above.
Click on the Invite to Engagement Hub action from the action panel.
On the confirmation dialog, click "All good! Send now" to send the invitation to the selected contact(s):
Once the invitation is sent, the contact will receive an email to activate their client portal account.
The Engage – client account status for that contact will be updated to pending activation.
The contact clicks the activation link, enters their email address, and creates a password.
The activation page will open asking the contact to enter their email address and create a password
After clicking the activate button, the contact will be automatically logged into the Client Portal.
The Engage – Client Account Status will update to connected upon successful activation.
💸 TimeTemp Updates:
✨ Contact Quick-add Timesheet
Please note, this feature is only enabled upon request and will not apply to all users by default. Reach out to us if you'd like this enabled.
We’re extending the quick-add timesheet functionality to Managers and Timesheet Approvers, offering the same convenience currently available to recruiters.
👉 What’s New?
Quick-add Timesheets: Managers and approvers can now create and submit timesheets on behalf of candidates, with options to enter either total hours worked or detailed start and end times.
Benefits:
Expanded role for managers/approvers: Beyond approving timesheets, managers can now manage timesheet entry directly, streamlining the workflow.
Flexible input options: Whether you prefer entering total hours or detailed start/end times, this feature accommodates both input modes for added flexibility.

This new capability enhances your control over timesheet management, helping you efficiently handle time entry and approval processes.
✨ Reimbursements for TimeTemp x FastTrack360 timesheets
We’ve added a new reimbursements section in TimeTemp x FastTrack360 timesheets, allowing candidates to include detailed FastTrack360 reimbursement information directly within their TimeTemp timesheet entries.
👉 What’s New?
New reimbursement section: Candidates can now enter reimbursement details in TimeTemp x FastTrack360 timesheets.
The reimbursement entries need to follow the structure as defined in FastTrack360, and users are required to input the following:
Reimbursement Item: Select from configured items for the same placement in FastTrack360.
Reimbursement Date: Specify the date for each reimbursement entry.
Net and GST Amounts: Input both the net amount and GST for accurate payroll processing.
Project: Optionally link the reimbursement to a specific project.
👇 How it works?
Multiple entries and submission: Users can add multiple reimbursement entries for a single date. Once submitted and approved, all reimbursement details are included in the timesheet and sent to Vincere, then FastTrack360, for payroll processing:
Mobile Compatibility: Reimbursement details can also be added when submitting timesheets from the mobile app. A new tab allows candidates to choose specific dates for reimbursement
Timesheet PDF: Reimbursement details will be included in the timesheet PDF sent to Vincere.
Recruiter admin users can configure timesheet email templates to include reimbursement information:
Note: The new wildcard isn't included by default so users must add this to the relevant template to take effect.
This feature ensures more comprehensive payroll processing, with all relevant reimbursement details captured and processed seamlessly.
✨ Improved candidate availability logic in TimeTemp scheduler
We’ve updated the TimeTemp scheduler logic to prioritise candidate availability over contract or placement data, ensuring a consistent and comprehensive view.
👉 What’s New?
Enhanced display logic: The scheduler now shows candidate availability even if they don’t have an active contract or placement.
Consistent data across platforms: This update aligns the TimeTemp Worker Roster with Vincere’s Availability Scheduler, providing a unified view of candidate availability.
Benefits:
Improved visibility: Recruiters and managers can now see candidate availability without needing an active contract, ensuring they have accurate information for planning and scheduling.
Seamless experience: Consistent availability data across TimeTemp and Vincere reduces confusion and simplifies scheduling workflows.
This update enhances the functionality of TimeTemp Scheduler, allowing for better management of candidate availability.
👇 How it works?
If a candidate has availability information but no current contract, the TimeTemp Scheduler will now show their availability instead of leaving the schedule blank or showing "No Contract."
Candidate Example: For example, candidate Dáte Banzi’s last placement ends on November 11. After this date, their availability will continue to be displayed in the scheduler
When there is availability data - this will be displayed instead of "No Contract"
This improvement offers a more comprehensive view of candidate availability, making scheduling and workforce planning easier and more consistent.
✨ Upgrading the TimeTemp default fonts
As part of our commitment to keeping things modern and user-friendly, we’ll be upgrading the default fonts across the platform.
What’s Changing?
We’re moving away from the old fonts and introducing new, clean, and contemporary fonts that will enhance readability and give your emails and documents a refreshed look.
What this means for you:
Better Readability: The new fonts are designed to be clearer and more legible across devices including mobile-friendly.
Modern Design: A cleaner, more polished appearance that aligns with today’s design standards.
No Action Needed: This update will happen automatically, so you don’t need to do anything on your end. The old font will automatically be upgraded to the new associated font e.g. Arial becomes Roboto as above.
