This article is relevant only for customers who have access to the Candidate Portal module on Vincere Portals (Digital)

šŸ§­ How can I find the Candidate Portal Configuration Settings?

From Admin Dashboard:

  1. Log in to the Admin Dashboard of your Portals site

  2. Once logged in, head to the Dashboard tab which is usually the first tab on the left-hand side menu

  3. Click on Candidate Portal

From the Customizer:

  1. Click on Portals located next to the navigation dropdown

  2. Select Candidate Portal

FAQ: Why can't I see Candidate Portal on my Portals site?

  • Check Admin Dashboard Settings: Ensure that the "Candidate Portal" section is enabled in your Admin Dashboard area under Settings > Site.

  • Reach Out for Support: If the "Candidate Portal" section is not visible, contact our Support team to verify if your Portals site includes the Candidate Portal module.

āš™ļø What configurable options are available for the Candidate Portal?

1. SETTINGS

These are the overall settings of the Candidate Portal

1. Custom Home URL

Add the default URL for your logo.

When Candidates click on the Header area of the Candidate Portal or click on the uploaded Company's logo, they will be redirected to the Custom Home URL link.

2. Assign Candidates to Brands

Enter the default brand to assign to candidates upon registering a Candidate Portal account on your Portals site.

These Brands are created from Groups, Tags & Locations in Vincere. Click here for more information on how to create Brands in Vincere.

3. Default Country for Phone

When a default country is selected, candidates will automatically see the corresponding phone code displayed in the phone number fields.

4. Default Candidate Sources

Enter the default candidate source to assign to candidates upon registering a Candidate Portal account on your Portals site.

If leaving this field blank, the default selection will be Portals.

The selected sources on this field will also appear in the dropdown options of the question ā€œHow did you hear about us?ā€ on the Job Application form.

5. Allow candidates to edit their First Name and Last Name

When enabled, your candidates will be able to change their first and last name in their accounts.

The changes made will sync back to Vincere.

6. Allow candidates to withdraw from Applied Jobs

When enabled, Candidates will have access to a "Withdraw" action within the Job Applications table on the Candidate Portal.

This option allows Candidates to remove their application from the respective job. As a result, the candidate's application will be removed from the job pipeline within Vincere.

7. Candidate Profile Configuration

2. PROFILE

Under the Profile tab, you can configure the fields and the instruction slides appearing at the top of the My Profile page.

FIELD CONFIGURATION

Decide if youā€™d like to hide or show fields in the Personal Information of the My Profile tab simply by using the toggles.

You can preview the changes on the Candidateā€™s profile as you choose the fields on the left-hand side.

  • Core fields are system-generated fields from Vincere

  • Custom fields are fields created by your Admin Users in Field Configuration within Vincere.

Note: There are some default fields without toggles. These fields will always be visible on the Candidate Portal.

Set Fields as Suggested or Mandatory

  • Suggested fields are fields that Candidates are suggested to fill out. These are nice-to-have information that you want to collect from candidates.

  • Mandatory fields are marked with an asterisk and Candidates must fill out these fields to save the section.

Note: Suggested and Mandatory fields are linked to the ā€œRemaining Task(s) for My Profileā€ Bar, as a visual cue to remind your candidates to update all the necessary fields.

SLIDES

This is where you can set the sliding speed of the slider in the Remaining Task(s) for My Profile section and the messages (contents) you want Candidates to see in the slider.

When you think youā€™re all set, click on the PUBLISH button to make the changes live.

3. EXPERTISE

Under the Expertise tab, you can configure the fields for salary information and slides which will be applied to the Expertise tab on the Candidate Profile.

FIELDS

Decide if youā€™d like to hide or show the Industry, Functions, Salary fields simply by using the toggles. You can also set it as Suggested or Mandatory to fill in.

Note: when Salary Type is toggled OFF, the Current salary and Desired salary fields will also be toggled OFF. These fields are linked together. Candidates will need to select Salary Type: Monthly or Annual for them to add Current Salary or Desired Salary.

These fields are synced back to the fields in Vincere accordingly.

You can also choose what fields to be displayed for the Work Experience and Education Fields

SLIDES

This is where you can set the sliding speed of the slider in the Remaining Task(s) for the Expertise section and the messages (contents) you want Candidates to see in the slider.

4. ONBOARDING

Under the Onboarding tab, you can configure the fields and slides which will be applied to the Onboarding tab on the Candidate Profile.

The onboarding tab is linked to the onboarding fields within Vincere - check out this article for more information.

1. Allow Candidates to delete documents

Enable this if you want to allow your candidates to have the option to remove their documents once uploaded.

Note: documents deleted by the Candidates will also be deleted from the Candidate's Vincere profile under the Files tab.

2. Show CV / Cover Letter table

If you prefer candidates not to submit their CV or Cover Letter documents via the Candidate Portal, toggle this option off.

Disabling the toggle will also remove the CV/Cover Letter table from the Documents & Onboarding info tab in the Candidate Portal.

3. Fields

In this section, you can choose other onboarding information (especially for Compliance) you want to receive from Candidates.

Important: To see the Onboarding fields in the Candidate Portal, you first need to configure the onboarding fields within Vincere - check out this article for more information.

Apply the Country to choose the onboarding fields you'd like to display to your Candidates.

Click the tab to see the fields under it. Toggle ON the fields youā€™d like to collect from the Candidates.

You can also decide to make the fields Suggested or Required just like in the My Profile tab.

In the Onboarding tab, you can also drag and drop the fields to rearrange the order of the fields displayed on the Candidate Portal.

NOTE: The fields set up on the Onboarding tab in the Customizer are the fields the candidate will see when they log in to their account.

5. STYLING

This will be the logo displayed when your candidates are logged in to their account.

Candidates can click on the logo to navigate back to your website's Homepage. You can set this in Settings > Custom Home URL

šŸŽÆHow to publish the changes to the Candidate Portal?

When you make updates in the Customizer, these adjustments will be visible in the preview area within the Customizer interface, but they won't automatically appear in the Candidate Portal.

To apply the changes to the Candidate Portal:

  1. Ensure that the changes you've made in the Customizer are as desired.

  2. Once ready, click on the "Publish" button to make the changes visible in the Candidate Portal for candidates to access.
