⭕ How to Access Emails in Vincere

To access your emails in Vincere, go to the left-hand side panel and click the email icon. This will take you to the Vincere Email screen.

The emails you see here will be synced from your connected email account.

⭕ Creating a New Email

Clicking on the + Create New Email button will allow you to compose a new email without using any templates.

Adding Email Recipients:

  • Type at least 3 letters to call a list of suggestions from existing Contacts and Candidates in the system.

  • Or manually type the email address and press enter to add it to the list.

⭕ Navigating Emails

  • Inbox: Displays all currently synced emails from your connected email's Inbox items.

  • Starred: Displays all emails marked with the star icon, making it easier to see relevant emails.

  • Sent: Displays all currently synced emails from your connected email's Sent items.

  • Draft: Stores any unfinished emails that you choose to save before closing the email window.


    The prompt will ask if you would like to save the email as a draft. Clicking No will discard the email.

    📝 Note: we would not be able to retrieve the draft message you typed if you click No.

⭕ Header Functions

Email Search: Use the email search box to type the name of the sender, email address, or subject line to search for an email.

Manual Refresh: Clicking the refresh button will initiate a manual refresh and connection with your connected email.

📝 Note: If you have a large amount of emails to sync, this may take some time.

Date Range: You can filter emails based on date. Just click the Email Date button and select the date from the calendar.

You can filter read/unread emails as well as those with attachments.

⭕ Email Actions

When you select an email, a list of actions will be available to you:

  • Create Contact: Creates a new Contact profile using the email address of the sender.

  • Create Candidate: Creates a new Candidate profile using the email address of the sender.

  • Mark All as Read: Mark all selected emails as read.

  • Mark All as Unread: Mark all selected emails as unread.

  • Delete: Deletes all selected emails inside Vincere. (This will not delete the email in your connected email.)

When you open an email, you can perform the following actions:

  • Reply: Allows you to create an email response to the sender.

  • Reply All: Allows you to create an email response to the sender and all correspondents in the email.

  • Forward: Allows you to forward the email thread to other recipients.

  • Create Task: Opens the Tasks screen to allow you to create a new task.

  • Delete: Deletes the email in the current open window.

💡 Quick Tip

Switching Between Emails: You can open and switch between emails by clicking the up and down arrows to go through the list.


🤔 FAQs

1. Vincere emails end up in the candidate's junk/spam folder.

  • Check with your IT team first so they can look at your mailbox and identify why this is happening. After your IT team identifies the issue, you can let us know if it's related to Vincere, and we'll see where we can help from our end.

2. Why are most of my contacts and candidates not receiving emails?

3. How can I upload attachments from emails to candidate files like CVs and motivation letters?

  • To upload files to candidates received via email, open the respective candidate profile and go to the "Files" tab. There, you will find an upload button on the right-hand side. Click that, and a window will pop up where you can drop your files and select the file type to upload them.

4. Email Sync issue?

  • Vincere has a 1-way sync function between your connected email and Vincere, syncing every 6 PM of your server time. (2-way sync for your email calendar)

  • You can also trigger a manual sync by clicking the refresh or Sync Events option. The Sync Events action re-syncs and updates any activity from Vincere’s calendar to your personal calendar.
