Learn how to use Vincere’s Advanced Search to quickly find candidates, jobs, contacts, and companies using Boolean logic, filters, wildcards, and fuzzy search for precise, efficient results.

The Advanced Search function in Vincere provides powerful tools to refine searches and quickly locate records such as candidates, applications, jobs, contacts, and companies. It leverages Boolean logic, fuzzy matching, wildcard searches, and field-based filters to improve search precision and efficiency.

📌 Note: This feature is available to all users; however, certain filters or fields may depend on role permissions configured by your Administrator.


Access Advanced Search

  1. Click Advanced Search from the top navigation bar in Vincere.

  2. Choose the record type you want to search: Candidates, Applications, Jobs, Contacts, or Companies.

  3. Use the search bar to enter keywords, then select the field you want to search within.

  4. Refine your query by adding multiple fields or Boolean operators.

  5. Review your results in the table and adjust filters as needed.


Key Advanced Search Features

  • Auto Boolean Operators: Vincere automatically adds Boolean operators (AND/OR) between terms, simplifying complex searches.

  • Quotation Marks for Precision: Search terms are automatically wrapped in quotation marks to ensure exact match results.

  • Fuzzy and Wildcard Searches: The system recognizes misspellings, alternate spellings, and partial matches, helping you locate relevant results even when data entry is inconsistent.

  • Null Search: Find records with missing or incomplete data (e.g., candidates with no phone number or contacts without location details).

  • Matching Score Indicator: Displays how closely each record matches your search criteria using a percentage score.


Advanced Search Options by Category

Each record category (candidates, applications, jobs, contacts, and companies) has tailored fields and filters. Here’s a detailed look at what each offers:

Candidates Advanced Search

Filter candidates by personal, employment, salary, and activity details.
Example fields include Job Title, Skills, Availability, Industry, Language Skills, and Current Location.

Available Fields/ Columns:

  • Personal and Contact Information: Candidate, Current Job Title, Skills, Functional Expertise, Sub Functional Expertise, Candidate Keywords, Age, ID, Candidate Source, Industry, Sub Industry, Language Skills, Talent Pool, Candidate Owner, Reg. Date, Status, Photo, Current State | Prefecture, Town/City, Mobile, Primary Phone, Work Email, Primary Email, Email Subscription.

  • Employment Details: Stage (Highest), Current Employer, Candidate Brief, Job Type, Employment Type (Emp Type), Notice Period, Candidate Company Name, Candidate Company Number, Candidate Company Representative, Brands, Branches, Candidate Company Email.

  • Salary Information: Monthly Salary, Monthly Salary (Desired), Annual Salary, Annual Salary (Desired), Pay Rate, Time Interval, Payment Type, Desired Pay Rate.

  • Activity Details: No., Matching, Last Comment, Next Avail. Date, Avail. This Week, Avail. Next Week, Last Activity Date, Jobs, Met/Not Met, Custom Field Columns.

  • Location: Location Name (Candidate Company Address), Address (Candidate Company Address), Country, Google Maps, Distance and Zip (Postal).

For instance:

You can check for candidates' postal/zip codes and distances from a specified location in Advanced Search, offering instant proximity insights. This enhancement helps recruitment consultants prioritise candidates based on location, streamlining the selection process.

💡Tip

You can show or hide the "distance" and "zip (postal) code" columns in the table for a customized view, using smart views. The distance data aligns with the radius search feature, while the postal code is pulled from the candidate’s current address.


Understanding Radius Search

The Radius Search feature identifies candidates based on their geotagged locations using a central point and specified radius. However, be aware that:

  • Candidates without geotagged locations (common with LinkedIn imports) won't appear in radius search results.

  • For broader coverage, use the "Current Address" filter, which doesn't rely on geotagging.

  • You can combine radius search with keyword filters for more precise results.

These fields enable users to create refined searches based on specific criteria, allowing for efficient and organized talent management.


Applications Advanced Search

Track application progress and match candidates to open roles.

  • Key filters include Application Status, Candidate Details, Job Information, and Search Filters such as Industry or Talent Pool.

Available Fields/ Columns:

  • Application Status: Stage (Highest), Status, No., Matching, Last Comment, Next Avail. Date, Avail. This Week, Avail. Next Week, Last Activity Date, View, Hot, Met/Not Met, Reg. Date.

  • Candidate Details: Candidate, Current Job Title, Skills, Functional Expertise, Sub Functional Expertise, Candidate Keywords, Age, ID, Candidate Source, Candidate Owner, Talent Pool, Mobile, Primary Phone, Work Email, Primary Email, Language Skills, Email Subscription, Photo.

  • Job Information:
    Job Type, Employment Type (Emp Type), Current Employer, Candidate Brief, Candidate Company Name, Candidate Company Number, Notice Period, Brands, Candidate Company Email, Candidate Company Representative.

  • Search Filters: Industry, Sub Industry, Talent Pool, Candidate Keywords, Location Name (Candidate Company Address), Address (Candidate Company Address), Country, Google Maps, Current State | Prefecture, Town/City.

Using these fields, you can assess a candidate's job application journey, comparing their skills and experience with the job requirements.


Jobs Advanced Search

Locate job listings based on job title, company, salary, or recruiter.

  • You can filter by Job Status, Industry, Salary Range, or Date Opened for efficient pipeline management.

Available Fields/ Columns:

  • Job Details: No., Matching, View, Hot, Photo, Job Title, Company, Location, Industry, Job Category, Emp Type, Job ID, Job Type, Job Owner, Functional Expertise, Sub Functional Expertise, Sub Industry, Brands, Branches, Manual Job Board, Google Maps, Job Post, Job Start Date, Job End Date, Teams, Divisions, Sourcing Status.

  • Salary and Pay:
    Gross Annual Salary (Total), Pay Rate From, Pay Rate To, Annual Salary From, Annual Salary To, Projected Contractor Pay, NFI / Fee.

  • Dates and Timelines: Open Date, Sourcing Close Date, Reg. Date, Last Activity Date, Closed Date.

  • Recruitment Metrics: % Chance of Placement, Time to Fill (Days), Headcount, Submitted Candidates, Active Candidate(s), Open/Closed Job.

  • Linked Records:
    Contact Name, Created By, Custom Field Columns. owner.

This section is ideal for filtering jobs based on urgency, status (open/closed), or by recruiter, streamlining the hiring process.


Contacts Advanced Search

Search and manage contact information for prospective clients or leads.

  • Common filters include Job Title, Industry, Status, Company, and Last Activity Date.

Available Fields/ Columns:

  • Basic Details: No., Preferred Name, Contact Name, Photo, Contact ID, Email, Primary Phone, Mobile, LinkedIn, Skype, Preferred Contact Method, Email Subscription, Status.

  • Professional Info: Job Title, Industry, Sub Industry, Functional Expertise, Contact Owner, Teams, Divisions, Brands, Distribution List, Job Leads, Last Placement Date, Custom Field Columns.

  • Activity Metrics: Matching, View, Hot, Last Activity Date, Reg. Date, Jobs, Submitted Candidates, Floated Candidates.

  • Company Association: Company, Location, Reports To, Google Maps, Branches.

Companies Advanced Search

Locate and manage company profiles using fields such as Industry, Headquarters, Owner, Branches, and Contacts.

  • This supports account managers in organizing and tracking client relationships.

Available Fields/ Columns:

  • Company Info: Company, Industry, Sub Industry, Brands, Company ID, Parent Company, Headquarters Name, Company Owner, Created By, Reg. Date, Teams, Divisions, Job Leads, Custom Field Columns.

  • Location and Contact: Location, Primary Phone, Switchboard, Fax, Website, Google Maps, Contacts, Jobs, Branches.

  • Activity Tracking: Matching, View, Hot, Last Activity Date, Submitted Candidates.

  • Social Links:
    LinkedIn, Facebook.

Key Advanced Search Functionalities

Auto Boolean Operators

The Auto Boolean Operators feature in Vincere enhances the search experience by simplifying Boolean operations and making advanced searches accessible to all users - no Boolean expertise required. Here’s how it works and why it’s beneficial:

How Auto Boolean Operators Work

  • Automatic Operator Addition: As you type your search query, Vincere automatically inserts Boolean operators (like AND or OR) between words or phrases. This simplifies the search process and makes it easy for users to generate complex searches without needing to manually add operators.

Fuzzy Search

The Fuzzy Search is the use of search algorithms to find strings that match patterns approximately. This is a great addition to your search and accommodates:

  • misspelled keywords

  • British versus American spellings

  • Accidental typos in your database.

How does this work?

Simply type the word as closely as possible, ending with ‘~’, and Vincere will find you candidates who match closely to what you are looking for, e.g., operat and operating will find you ‘operator’ and ‘operating’.


Wildcard Search

The wildcard asterisk (*) can be used to find variations of root words in a search.

  • For example, searching for "manag"* will return results for "manager," "management," and "managing," covering multiple word forms in one query.

📌 Note: If you want to search for contacts in a specific country based on their email domain, such as those in Sweden (emails ending in .se), you would first type "Primary email" and then select the primary email which will then let you add you ".se search into it.

This ensures that the system looks specifically for email addresses ending in .se under the Primary Email field.

💡 Pro Tip:

Wildcards work best when used strategically - apply them to fields where variations are expected, such as names, job titles, or email addresses.

When combining location searches with keyword searches, use Boolean logic effectively:

  • Separate location criteria from keyword criteria using brackets.

  • Remember that adding more search conditions narrows results but increases precision.

  • Use "OR" operators to expand your candidate pool when the results are too limited.


Null Search

Null search locates records with empty or missing values, a useful feature for data integrity checks.

  • For instance, to find candidates without a phone number, select the field and enter “IS NULL” in the search bar.

This is perfect for data integrity checks across missing information like phone numbers or industry and functional expertise tags.


For example, to find candidates without a phone number:

  1. Open Advanced Search.

  2. Select the relevant field (e.g., Phone Number).

  3. Type or select IS NULL.

  4. Click Search to view results.


Matching Score Indicator

Shows how closely records match your criteria. The higher the percentage, the better the match quality.


Advanced Search Tips and Hacks

  • Field Search: Type job titles, companies, or skills directly without Boolean syntax for faster searching.

  • Other Fields: Narrow down further by selecting specific fields such as industry or skills from a dropdown.

  • Resume Search: Activate the “Search Resume” box to search keywords in candidate CVs.

  • Availability Search: Filter candidates by availability within specific timeframes (e.g., next 7 days).


You can also choose the Day or From - To Time you want to apply the Availability search to, simply click on the Custom field.


The Availability Search criteria will then be added to the Search Parameters.

You can edit/remove the Availability criteria by changing the Range to None, and Vincere will automatically update the search string in the Search Parameters for you.

  • Indeed Integration: Search Indeed’s database directly from Vincere for added candidate reach.

📌 Note: You can also remove the Availability search string from the Search Parameters by clicking on the x icon and removing the operator OR.

You can export your filtered search results to a CSV file.


Getting Started with Advanced Search

  • Accessing Advanced Search: Located on the top left of the screen, click on Advance Search Options and select the object you wish to search for.

  • Building Search Parameters: Input search words/phrases, select fields, and let Vincere auto-generate Boolean parameters.

  • Refining Results: Edit parameters, change Boolean operators, or remove criteria by adjusting the search fields.

Q1: How can I find contacts with no location assigned?

  • Answer: Open Advanced Search, select Contacts, filter the Location field, and type IS NULL.

Q2: How do I paste a Boolean search into Vincere?

  • Answer: You must manually enter Boolean parameters and select the appropriate operators within Advanced Search.

Q3: Why does CSV export include all records instead of filtered ones?

  • Answer: The CSV export respects only Advanced Search filters, not column filters. Ensure filters are applied within Advanced Search.

Q4: Can I copy a saved Boolean search into Candidate Search?

  • Answer: No. Boolean searches must be entered manually each time.

Q5: Can I search the “Job Brief” field in Job Leads?

  • Answer: Not currently. The “Job Brief” field is not searchable in Advanced Search.

Q6: How would I search via the advanced search for contacts with no location assigned as a work address?

Answer: To search for contacts with no location assigned as their work address in Vincere's Advanced Search, follow these steps:

  1. Click the "Open Advanced Search" icon in the Quick Search, or navigate directly to Advanced Search.

  2. Choose "Contacts" as the entity you want to search.

  3. Apply the Location Filter:

    • In the Contacts Advanced Search Table View, locate the Location column.

    • Click on the filter button for that column.

    • Type “Is Null” into the filter field and press Enter.

  4. Review the Results:

    • The search will display all contacts that do not have a work address location assigned.
