How to perform actions on Candidates

When Selecting Candidate/s inside Vincere, you will see a set of actions available to you.

Candidate Action lists

Candidate Selection

Deselect All - Deselects all ticked/selected candidates
Range Selection - Allows you to select candidates from the list.

Please note that while you can select 200 records at a time, you cannot send emails to more than 100 users by default.

Application Actions

View Applications - You can see all the applications of a candidate

Add Application- This allows you to link candidates to jobs in the application stage.

Shortlist - You can shortlist a candidate to an active open job with available headcount

Send - You can move the candidate to Sent stage for an active open job with available headcount

Move to next stage (Shortlisted) - This option will move the applications you selected to the shortlisted stage.

Place - You can immediately move the candidate to Placed stage for an active open job with available headcount (Not available for Bulk actions)

Candidate Actions

Add comment - Adding a comment to the candidate record. (To link a comment to a contact, job or company, the candidate should have an active application to a job linked to a company/contact)

Add task - Adding a task to the candidate record. (To link a task to a contact, job or company, the candidate should have an active application to a job linked to a company/contact)

Add meeting - Adding a meeting to the candidate record. (To link a meeting to a contact, job or company, the candidate should have an active application to a job linked to a company/contact)

Email - Sending an email to the candidate

Share to Vinny Chat - Share the candidate to Vinny chat inside Vincere

Request Availability - Send an email with a link for the candidate to update their availability for jobs in a calendar

Request Consent - Request to keep the candidate's data in the system

Request Onboarding Check - Sending an email to remind the candidates to send their documents requirements.

Invite to Engagement-hub - Invite to Engagement Hub/ Vincere Engage candidate portal. (This is only available if you purchased Vincere Engage)

Float to Contacts - Send candidate to contacts

Float to distribution list - Send Candidate to a list of contacts (Distribution lists with more than 100 contacts will not appear on the list. You can only send 100 emails at a time)

Format Resume - Build a resume using a template

Send Document - Send a document file

Search

Find Similar Candidates - You can specify search criteria similar to the selected candidate

Find Suitable Jobs -Will route you to a page showing the job advanced search

Updates

Candidate Suitability - You can add or exclude companies and locations for the candidate. To learn more about this, click here

Add to Talent Pools - Add the selected candidate/s to new or existing Talent Pool

Remove from Talent Pools - Remove the selected candidate/s to new or existing Talent Pool

Add to hotlist - Mark the candidate/s as Hot and include them in the list. You can learn more about Hot Lists here

Link to (Existing Contact) - Link a candidate to an existing contact profile of the same name and email. You can learn more about it here

Link to (New Contact) - Link a candidate to a new contact. You can learn more about it here

Update Status - Update candidate Status. You can create custom statuses by following the steps here

Merge Candidate - Merge candidate profiles. Mostly done with duplicate profiles of the same candidate using different emails. (Please note that this can no longer be reversed once done.) You can learn more about it here

Update Ownership - Change the ownership of the candidate record/s. If you would like to change this in bulk, you can find more information here. If you do not have this option, you might need to check with your system administrator if they applied this user permission to your login.

Archive - Add the candidate to the archive list for System administrators.

Single Candidate Actions:

For the candidate actions, here is a screenshot of the actions which are now available when logging an action against a single candidate:

As you can see, the actions list has now been segmented into groups (Candidate Selection, Application Actions, Candidate Actions, Search & Updates) making it easier to identify which particular action type you want to make.

You can also ‘view candidate applications’ and ‘add to hotlist’ from here too.

The ‘View Candidate Applications’ pops out and gives you a quick overview of the roles where the candidate has been shortlisted and then completes an action accordingly.

Multiple Candidate Actions:

Here, we can see the actions available when selecting a group of candidates.

The actions are again grouped to improve navigation and ease of use.
