✨ New attachments column added to activity tables

This feature introduces a new column for attachments in the consolidated, placement and profile (company, contact, candidate, deals) activities' section allowing users to see the number of attachments associated with each activity.

Users can click on the attachment count to open a list of attachments, from which they can download or preview the documents directly.

👉 What's New?

  • New attachments column: Displays the number of attachments for each activity.

  • Attachment count: Users can click the number to open a list of attachments.

  • Options to download or preview each attachment directly from the list.

  • Column will be available in: Consolidated activities, placement activities, company activities, contact activities, candidate activities, deal activities.

  • Users can enable the column via smart views.

✨ LiveList enhancements: We've added candidate ID column to the LiveList

We've added a new column for Candidate ID within the Client LiveList - this will improve efficiency of candidate management by enabling users to quickly reference the candidates with a unique identifier, great when speccing out candidates and hiding the name.

👉 What's New?

  • The Candidate ID will be available in the Livelist and Floated Livelist (mobile app responsive)

  • Allow users to show or hide the Candidate ID column as needed (new setting in the Admin Settings and Job Livelist settings)

  • Candidate ID column will be toggled off by default.

✨ New field type added to configuration settings: Integration Iframe

We have introduced a new field type inside configuration settings that will allow admin users to set their own integration iframe between the candidate summary view and onboarding tab.

Similar to other Vincere fields, admin users can drag & drop this custom iframe field anywhere on the candidate's profile, for example summary, which will provide the user a seamless experience bring all the information in one view for ease of access when reviewing candidate details and onboarding information.

This first integration iframe is tailored to our integration with Onboarded, however this new integration iframe field can also serve other integrations in the future, as requested by marketplace partners.

👉 What's new:

Admins can choose the marketplace app to populate the new iframe field, for example Onboarded:

Admins can then drag & drop the field to the relevant area on the candidates profile:

The iframe will then load in the designated area on the profile for example in the summary tab below. Previously the integration could only be accessed from the integrations tab:

To add to the onboarding tab, admins would need to navigate Settings -> Field Configuration -> Candidate Onboarding and this will require the user to select a country first and repeat the same action to drag & drop the field to any of the available tabs in this section:

💸 TimeTemp Updates:

✨ Navigation Enhancements to TimeTemp Mobile Timesheet Pages

To improve overall user experience, we have introduced changes to the navigation of the timesheet pages on the TimeTemp mobile app.

👉 What's New

  • We upgraded the bottom navigation to tab navigation which includes horizontal scrolling. This allows us to show different details of the timesheet in each tab for increased clarity.

  • We have moved additional items (for FastTrack timesheets) to a separate tab.

  • We have moved the attachments section to a separate tab.

✨ Update UI/UX adding Additional Items for FastTrack timesheet

We have updated the user experience for adding additional items to the FastTrack timesheet on both Web and Mobile to ensure consistency with our latest design.

Additional items for FastTrack timesheets now have their own tab.

👉 What's New

  • Users can quickly select 'add item' on any day to add additional items. For standard rate timesheets, the additional Item tab is selected by default.

  • The process for adding additional items remains the same, allowing users to add multiple items for a day.

  • When the timesheet is in draft mode, users can click on an added item to edit or remove it.

  • Once the timesheet is submitted or approved/rejected, selecting an item will open the details page.

Web timesheets

When viewing the timesheets on web, the additional item section now uses the same component as the timesheet item table:

  • Users can check the date they want to add an item for, select the item, and fill in the quantity, rate, and project as usual. Multiple items can be added for a single day.

  • To remove an item, users can select the minus icon next to the item. To remove an entire day, users can untick the date.

  • To remove an item, user can select the minus icon for the item to remove. To remove a day, user can simply untick the date.

✨ Clients can now approve timesheets with e-signatures for both TimeTemp and FastTrack360 placements

Many of our customers have requested the ability to e-sign timesheets at the approval stage for compliance and audit purposes. We're excited to launch a new feature which now allows approvers to e-sign timesheets via the TimeTemp x FastTrack360 integration, as previously it was only enabled for TimeTemp placements, more details here.

This feature can be enabled per job or placement, depending on your client requirements.

👉 What's new?

Enable eSignature in Placement:

  • On the Vincere placement page, users will see a toggle to enable eSignature.

  • When enabled, users will not have the option to configure timesheet approvers, as the approval will be processed by the on-site approver through an eSignature on the candidate's mobile app.

Note: This feature is enabled for placements with time management set to TimeTemp or TimeTemp FastTrack 360.

For TimeTemp FastTrack360 timesheets, depending on the rate type set up for the same job order timesheets in FastTrack 360, the eSignature workflow is as follows:

  • For timesheets with agreement rates: Candidate will be asked to get approvers' signatures for all their timesheet item details (with shift start and end time details)

  • For timesheets with standard rates: Candidate will be asked to get approvers' signatures for all their additional items added.

Prompt for eSignature on candidates mobile app:

Candidates with eSignature enabled placements after clocking in to the shift will see a prompt informing them to get approver's signature.

Request approver’s signature upon clocking out:

After clocking out, candidates can review their shift details and ask their approver to sign (in-person e-Signature).

Approvers will draw their signature and confirm approval of the timesheet.

If the candidate can't retrieve the in-person signature immediately, they can add it later in the timesheet details.

The candidate will be prompted to go back and add the signature at a later time.

Candidates can view shift details with eSignatures in their timesheets on the mobile app.

Shifts without an eSignature will be tagged as "need action".

Candidates can not submit timesheets without an on-site signature.

Candidates viewing shift details with eSignature on web:

  • Candidates viewing the timesheet on web can see a column indicating the approval status of each shift

  • For shifts already signed, candidates can view eSignatures by hovering over the signed status

  • Shifts without a signature will show as "not signed"

  • A prompt will appear if attempting to submit a timesheet without all necessary signatures and the candidate will not be able to proceed

Editing Shift Details:

  • Once a shift is signed, candidates cannot edit the details.

  • To make changes, candidates must un-approve the shift on the mobile app, which removes the approval details.

After updating the timesheet, the candidates will need to obtain the approver's signature again (repeat above process)

Viewing Timesheet PDF with eSignature:

  • Recruiters can view the .pdf timesheet with the eSignatures included.

Agreement rate timesheet .pdf (showing approval for shift):

Standard Rate timesheet .pdf (showing approval for additional items)

Un-approving eSignature Timesheets:

  • Only recruiters can un-approve a timesheet with an eSignature

  • After un-approval, the timesheet moves back to the rejected stage, allowing candidates to update and resubmit.

  • Un-approving a FastTrack 360 timesheet now checks for whether the timesheet is submitted in FastTrack 360.

Note: Recruiters need to remove the synced timesheet in FastTrack 360 first before they can proceed with the un-approval in TimeTemp.
