How to cancel a Placement in Vincere? 🤔

Have you encountered cases where candidates begin but don't complete their contracts, and you have to cancel the placement?

  • In such scenarios, you can utilize the option to cancel applications.

Cancel Applications

To cancel a placement, you would need to select an application in starting or active status in the Placed stage.

👉 To do this, click on the placed chevron in your candidate pipeline and click on the Amber or green numbers to filter through Starting or Active applications.

  • Once there, You can choose to either go inside the placement or select it from the table.

🔻 Cancel Placement in Table View

To cancel a placement in Table View - simply click on the action list and choose 'Cancel Placement' Then, you'll be asked to pick a reason and include any notes.

  • Once done, click on Save to complete the cancellation

🔻 Cancel Placement on the Placement page

If you've opened a placement page, simply click on the Actions button and choose the 'Cancel Placement' option. Afterward, you can select the reason and add any necessary notes."

  • Once done, click on Save to complete the cancellation.

🔻 Setting up Cancellation Reasons

To set up additional reasons for cancellation, you can go to Settings > Shift scheduler settings > Reason Settings > Edit > Cancellation > + Create new reason > Save

📋 Note: If you are using any Pay and Bill application in Vincere (Vincere Timetemp) 👉 This will delete all submitted Timesheets and draft Invoices.

After canceling a placement, you can also view the reason for cancellation by hovering your mouse over the application status in the table view.

  • Make sure to add the 'Application Status' column to the table for this information

🛑 Once a placement is canceled, the fields become read-only, and you won't be able to update or change the details on the placement page.

Hovering over the page will display a mouse pointer icon indicating that the fields are no longer available for updates or changes.

There is a message that will also show on the top right to say that the placement has been canceled and an option to undo the cancellation.

Undo Cancel placement

To undo the placement cancellation, you would need to go to the list of canceled placements.

👉 To do this, click on the red number to pull up a list of

'Terminated┃ Finished┃ Canceled' applications.

Once there, you can use the filter option to find the canceled applications. From there, you can choose to either go inside the placement or select it from the table.

There are 3 ways for you to Undo a Placement

🔻 Undo Cancellation in Table View

First in the Table View, If you select the placement from the table, you can select the undo cancellation option in the action list before selecting the new start and end date and the reason.

Once done, click on Yes to complete the Undo cancellation.

🔻 Undo Cancellation in the Placement page

Secondly in the Placement page, if you open a placement page, you can click on the actions button and select the undo cancellation option before selecting the new start and end date and the reason.

🔻 Undo Cancellation in the banner

Lastly in the Banner of the placement, click on the undo link in the red banner inside the canceled placement.

👉 Then, select the new start and end date, provide a reason, and click Yes to finish the undo process.

📋 Note: When trying to undo a cancellation, the start and end date should not overlap a current active placement or pending renewal for the same candidate in the job.

If there are any renewals with conflicting dates, a prompt will let you know, so you can update the dates accordingly.

Tracking Cancellations in Vincere

There are 3 actions to track Cancellations in Vincere, Cancel Placement, Update Cancellation, and Undo Cancellation.

  1. Consolidated Activities

  2. Placement Profile

  3. Candidate Profile

Export Cancellations

Together with the cancel placement option, you will also be able to filter and export canceled placements.

👉 To export Canceled placements, you can go to Settings > Data Export > + Create new report > select the Data set Placement cancellation data in Data Set.

From here, you will have 4 additional fields

  • Cancellation Note

  • Cancellation Date

  • Cancellation Reason

  • Cancellation Created by

Frequently Asked Questions:

🔻 What is the difference between undo Placement and Cancel placement?

Undo placement will only be available for placements whose start date has not yet passed and by doing this, you will leave no traces of the placement you reversed. To learn more about undo placements, please click here.

Meanwhile, the Cancel placement option will be available for as long as the placement has no approved Timesheet and Invoices.

Canceling a placement will also save the placement details when it was canceled in a read-only view.

🔻 I wanted to know what's the difference in results between terminating a contract and canceling a placement.

You can use the terminate contract option if there's a problem with the placement. For example, the candidate doesn't want to proceed.

You can use the cancel application if you, for example, accidentally made a placement when you shouldn't have.

Please note that both actions will still be considered successful placements.

🔻 Why don't I have an option to cancel an application?

The Cancel application option will only be available for the following applications:

  1. Applications with Active or Starting Status. This option will not appear for applications that have already finished or terminated

  2. Applications with no approved Timesheets

  3. Applications with no approved invoices

🔻 Can I cancel Perm placements?

The cancel placement options will be available for all placement types as long as the placement is still active and not terminated or finished, and they do not have approved Invoices

🔻 Can I cancel Contract/Temp placements?

The cancel placement options will be available for all placement types for as long as the placement is still active/starting and not terminated or finished, and it does not have approved timesheets and invoices.

🔻 I canceled a placement. Can I place the candidate again in that same job?

Similar to a Terminated Placement, creating a new placement when there is a canceled placement (for the same job) is not allowed, users must undo the cancel of the Placement

🔻 I canceled a placement. Do I have to add a headcount to place a new candidate?

A cancelled placement won’t be counted toward the Job’s Headcount, and Job’s Booked Fee.

🔻 Will cancelling the placement affect the candidate's Availability?

If a placement is shown in the Candidate’s Availability, cancellation of the placement will remove the placement from the Availability Calendar

🔻 [Shift Scheduler] After canceling a placement for a shift, will this also unbook the candidate?

If a worker’s placement is canceled, but they are already booked into a shift, the worker will automatically be unbooked from the Shift

🔻 [Shift Scheduler] Can I rebook a candidate whose placement has been canceled?

When trying to book a worker whom their placement is canceled, a Shift-book validation message will prevent the user from booking candidates with canceled placements in the same shift.

🔻 [TIMETEMP] I synced the placement to Timetemp before I cancelled it. What will happen to my Timesheets and Invoices?

Placement with only a Submitted Timesheet and draft Invoice (nothing is approved) can still be canceled, in this case, those timesheets and/or Invoices will be deleted (Hence we have a red warning every time the user cancels a placement)

🔻 [TIMETEMP] How will canceling placement affect Merged Timesheets?

If one of the 2 placements is canceled, the Merged Timesheet will be updated on both Vincere and Timetemp side. The Timesheet date range will be shortened to the duration of the still-active placement, and all time logged that fall within the cancelled placement duration will be removed.
