A Comprehensive Guide to VinnyChat

Learn how to use VinnyChat, the internal chat and collaboration tool in Vincere, to message teammates, share records, and manage notifications across desktop and mobile.

VinnyChat is Vincere’s built-in team chat, designed to replace separate tools like WhatsApp, email, Slack, or Microsoft Teams so your recruiters can collaborate in one place.

⚠ Important: VinnyChat is for internal communication only. You cannot send messages to candidates or other external contacts from VinnyChat, and external SMS providers such as Devyce are not supported.


Use VinnyChat for Internal Team Collaboration

VinnyChat is Vincere’s internal chat platform, similar to tools like Slack or Microsoft Teams but built specifically for recruiters inside Vincere. It lets your team collaborate in real time without leaving your recruitment workspace.

Key Capabilities

VinnyChat includes:

  • Desktop and mobile access: Use VinnyChat in Vincere on desktop and in the Vincere mobile app on iOS and Android.

  • Record tagging: Share links to Candidate, Contact, Job, Company, and Placement records directly in conversations.

  • Public and private groups: Create channel-based conversations for teams, projects, specific job assignments, or company-wide announcements.

  • Shout-outs: Use Shout-out templates to celebrate wins and recognise your team, such as new placements or work anniversaries.

  • Zoom integration: Start Zoom video calls from VinnyChat with the pre-built Zoom integration.

  • File sharing: Share resumes, images, and other documents in chats and groups.

  • GIFs and emojis: Keep conversations engaging with emojis and Giphy reactions.

  • Threads: Start threads from individual messages to keep discussions organised.

  • @mentions: Mention teammates or groups to notify them and pull them into a conversation.

  • Mark as unread: Mark messages as unread so you can easily return to them later.

  • Search: Search for teammates, messages, groups, or topics.

  • Mobile push notifications: Stay updated with VinnyChat push notifications on the Vincere mobile app.

  • Email alerts: Receive VinnyChat alerts via email.

  • Notification settings: Configure which VinnyChat and Vincere notifications you receive.


Create Your VinnyChat Account

To start using VinnyChat, you first need to create a VinnyChat username in CommsHub.

  1. In Vincere, click the CommsHub icon at the top right next to the blue Add button.

  2. Wait for CommsHub to open in a new browser tab.

  3. On the Welcome page, review the suggested VinnyChat username.

  4. Keep the system-generated username or enter a new username you prefer.

  5. Check that a green tick appears to confirm that the username is available.

  6. Click the blue Create button to open CommsHub and finish setting up your VinnyChat profile.

šŸ“Œ Note: A valid VinnyChat username must:

  • Begin with a letter.

  • Not begin with the symbols . (dot), - (dash), or _ (underscore).

  • Contain 3 to 22 characters, including numbers.

  • Be entirely in lowercase.

Once your username is created, your profile is ready and you can start chatting with your team.


Navigate the VinnyChat Workspace

Sidebar

Use the VinnyChat sidebar to move between key areas:

  • User Settings:

    • Set your status to Online or Away. When you are Away, VinnyChat notifications are muted.

    • Configure which Vincere activity notifications you want to receive (for example, new applications or placements).

    • Monitor your current message and file limits.

  • Chat (Direct Messages):

    • Start one-to-one conversations with individual teammates.

    • Share messages and files privately with a single user.

  • Groups:

    • Create or join public or private groups.

    • Use groups for teams, projects, locations (for example, Sales, New Placements), or any other recruitment processes.

  • Shout-outs:

    • Share Shout-outs to recognise colleagues for achievements such as new placements or anniversaries.

    • Create templates so your organisation can standardise Shout-outs.

  • Notifications:

    • View real-time activity such as new applications, completed interviews, and new placements.

  • Threads:

    • See a list of message threads you are part of.

    • Use this area to keep track of ongoing threaded discussions.

  • Recently Read:

    • Quickly reopen VinnyChat conversations, groups, and Shout-outs you recently viewed.

  • Twilio SMS:

    • Access Twilio SMS from the sidebar if your organisation uses this integration.

Search

Use the search bar at the top of VinnyChat to:

  • Find specific messages.

  • Look up teammates or groups.

  • Search for topics or themes, such as a job title or client name.

This makes it easy to return to older conversations or find important information quickly.

Group Details

When you open a group, you can use the Group details panel to:

  • See the list of members in the group.

  • View files that have been shared in that group.

  • Invite additional teammates from Vincere to join.

  • Rename the group if the focus or project changes.

  • Archive the group when it is no longer active.

  • Send a Direct Message to a specific member of the group.


Use Messaging Options in VinnyChat

Append Vincere Records and Files

You can append Vincere records and files directly into conversations so teammates can open them from VinnyChat:

  • Add Candidate, Job, Company, Contact, or Placement records to messages.

  • Attach files from your computer.

  • All files shared in a conversation or group are available from the conversation’s details.

Use @mentions and Shout-outs

  • Use @mentions to notify a teammate or a group and draw attention to a specific message.

  • Mentioning a user sends them an email notification so they do not miss important updates.

  • Add Shout-outs directly from the composer to recognise colleagues. For example, highlight a successful placement or work anniversary.

Emojis, GIFs, and Zoom

  • React to messages using emojis or Giphy to keep conversations engaging.

  • Use Zoom integration to start Zoom meetings directly from VinnyChat. For full setup details, see the Zoom and Vincere integration guide.

  • To add an emoji by shortcut, type :emojikeyword: (for example, :thumbsup: to add šŸ‘).

  • To add a GIF, type /gif and select an option from Giphy.


Work with Threads and Messages

Thread Actions

Threads help you keep conversations structured and easy to follow.

You can:

  • Add reaction: React to a message with an emoji.

  • Reply in thread: Start a thread from a specific message to keep all related replies together.

  • Track replies:

    • Thread replies are connected to the original message.

    • Replies in a thread do not appear in the main conversation view.

    • Only users who reply in the thread are notified of new replies.

    • Using an @mention in a thread notifies only the mentioned person, not the entire group.

  • All threads are tracked in the Threads section of the left-hand menu.

Mark Messages as Unread

If you read a message but want to come back to it later:

  1. Open the message in a Direct Message or group.

  2. Use the option to Mark as unread.

The Direct Message or group appears in bold in your list, reminding you to reopen it next time you use VinnyChat.

Edit or Delete Messages

If you make a mistake, you can:

  • Edit a message to correct or update its content.

  • Delete a message if it should no longer appear in the conversation.

⚠ Important: Message deletions are permanent and cannot be undone.


Use VinnyChat on Mobile

VinnyChat is available inside the Vincere mobile app for iOS and Android, so you can stay connected with your team on the go.

With VinnyChat on mobile, you can:

  • Send and receive Direct Messages and group messages.

  • Receive push notifications so you stay updated wherever you are.

  • Access key VinnyChat features alongside your Vincere workflows.

Understand VinnyChat Limitations and SMS Troubleshooting

VinnyChat Usage Limitations

VinnyChat is designed specifically for internal team communication:

  • You cannot use VinnyChat to send messages to candidates.

  • External SMS providers, such as Devyce, are not supported within VinnyChat.

  • For external messaging, use other tools and integrations within Vincere that are designed for candidate or client communication.

Troubleshoot SMS Issues

If the Send SMS action window in Vincere is stuck on a loading screen or does not open, follow these steps:

  1. Check your browser settings, then install any pending updates.

  2. Clear your browser cache, including temporary files and site data.

  3. Fully close your browser, then reopen it and log back in to Vincere.

  4. Try to send the SMS again from Vincere.

  5. If the issue continues, contact Vincere Support for further assistance.


Give Feedback on VinnyChat

Your feedback helps shape how VinnyChat evolves. You can:

  • Review what has already been delivered and what is coming next on the feature roadmap.

  • Vote on existing features and share how well they are working for your team.

  • Review features under consideration and vote on how important they are to your organisation.

  • Submit new ideas for features or improvements you would like to see added to the roadmap.
