β­• Close a Job(s)

πŸ“Œ Important Note on Changing Job Status

You may see a Job Status button next to the job title. While it allows you to tag jobs by status for easy sorting, changing the status here does not actually close the job on your job boards.

If you need to remove a job from your job boards, make sure to use the correct "Close Job" function in the job posting settings rather than simply changing the status, see the instructions below πŸ‘‡

  • Adjusting the Job Status only helps with organization within the platform and does not impact visibility on external job boards.

A job can be closed at any given time in Vincere regardless of the status of any Candidate(s).

  • To close a Job - simply head to the list of Jobs > Select a Job > Actions > Close

πŸ’‘ PRO TIP: You can close as many jobs as you wish - All in one click.

  • πŸ‘‰ Simply select all the jobs you want to close > Actions > Close.

But before closing a job, Vincere will prompt you with three important actions:

  1. Provide the reason for closing the job(s)

  2. Decide whether to reject active candidates and cancel interviews with candidates and contacts.

  3. Choose to send a thank-you letter to rejected candidates.

πŸ“‹ Note: Once a candidate is successfully placed in a job and the job headcount is met, Vincere will automatically close the job. There's no need for manual closure after each placement.

β­• Bulk Close jobs

To bulk close multiple jobs in Vincere, follow these steps:

  1. Select the Open jobs you want to close.

  2. In the action list, choose 'Close.'

  3. Enter the reason for closing.

  4. Decide if you want to reject active candidates and send a 'Thank You' letter to rejected candidates.

  5. Click 'Save' to confirm.

β­• Reopen a closed job

Need to place more candidates in a closed job, but unsure how to reopen the job? πŸ€”

  • No worries Vincere provides you with 2 ways to reopen a job:

From the Job Table View select any closed jobs > Actions > Reopen > Update the headcount > Save.

πŸ“‹ Note: Ensure the new headcount should be greater than the currently placed headcount and Retained Jobs that are fully placed cannot be re-opened.

πŸ’‘PRO TIP: There is no limit on the headcount. You can place as many people as you like!

β­• Bulk Reopen Jobs

To bulk reopen jobs just simply follow the steps below ⏬

  1. Select all the closed jobs that you wish to reopen by ticking the checkboxes next to them.

  2. Click on "Reopen Job."

  3. Adjust the headcount as needed.

  4. Click "Save" to finalize the changes.

β­• Tracking and Filtering Closed Jobs

Tracking Closed Jobs by Date

To track closed jobs and when they were closed, you can add a column called Closed Date

The Closed date will be updated with the date when:

  • A Job is closed when the placed candidates meet the intended headcount.

  • A job is manually closed.

  • A job is closed by modifying the current headcount of the job.

πŸ“‹ Note: This field will be blank if a job has been Re-opened.

Filtering Closed Jobs

If you want to view only closed jobs in the table view, you have three options:

  1. Use the table filters and select 'Closed Jobs' only.

  2. Add the 'Open/Closed Job' column and filter by 'Closed.'

  3. Filter 'Closed' in the 'Status' column.
