Job Stats dashboard in Intelligence 📈

The Job Stats Dashboard in Vincere Intelligence provides a powerful overview of all job positions within your organization, offering insights into active roles, consultant performance, and job progression.

🤔 What Can You Track?

With the Job Stats Dashboard, you can monitor:

  1. Total Active Jobs and Statuses: Easily view all open positions and their current status.

  2. Consultant Placements: See how many placements each consultant has achieved for the jobs they manage, helping assess individual performance.

  3. Additional Insights: Explore further metrics to stay on top of your recruitment pipeline.

🔑 Key Features

The dashboard includes various tools to help you gain a detailed understanding of your job statuses and stages:

  • Stages by Consultant: Analyze each consultant’s progress through the recruitment stages to gauge their workflow efficiency.

  • Stages by Job: Review how each job is advancing through various stages, allowing you to spot bottlenecks or opportunities for faster placements.

  • Job Aging: Track how long jobs have been open, providing insights into time-to-fill metrics and helping prioritize roles that need more attention.

⭕ How to Access the Job Stats Dashboard

  1. Navigate to Intelligence: Located on the panel on the right side of the screen.

  2. Select 'Job Stats Dashboard': Click on this option to open your Job Stats Dashboard and start exploring the data.

⭕ Job Stats Dashboard

Provide an overview of job-related statistics including fees, stages, and current status, per consultant. Along with a detailed view of activities and aging per job.

⭕ Understanding the Metrics

This dashboard will show data based on Job Owners.

⭕ Sections Breakdown

1. Jobs by Consultant

  1. Jobs Status by Consultant: Breakdown of jobs opened in the set date range by Job Owners and current Status (Closed, Active, or Inactive).

  2. Stages by Consultant: Tracking the number of applications, per consultant, to have gone through each stage in the set date range.

  3. Average Fees by Consultant: Total Booked Fees for the Placement Owners divided by the number of placements made in the set time frame

2. Activities by Job

  1. Job aging: Tracking days since jobs were created or last updated

  2. Stages by Job: Breakdown of how many activities have occurred at each stage for the specific job

Jobs Status by Consultant

The Header

Shows the number of jobs, created in the set time frame, by current status (Closed, Active, or Inactive) for all users:

The Table and Chart

The Table and Chart show the number of Closed, Inactive, Active, and the Total number of jobs per Job Owner.

  • Total Jobs: Total number of jobs with a Reg. Date in the set time frame.

  • Closed Jobs: The number of the Total Jobs above is currently set to Closed.

  • Active Jobs: The number of Total Jobs above with currently active applications in any of the ATS stages before Placed.

  • Inactive Jobs: The number of Total jobs with no currently active applications.

💡Highlights and remarks:

In case jobs are owned by more than one consultant, adding together the numbers in the table will result in different numbers than the ones displayed in the header. This is because the header counts a job owned by more than one consultant once, whilst that same job is counted, in the table and chart, per each of its owners.

Switching to “Calculations by Headcount” will show the number of headcounts closed, active (that is the total headcount from jobs with active applications), and inactive (the total headcount from open jobs with no active applications). The closed headcount number includes the headcount from closed jobs and the placed candidates from jobs that may still be open.

To see stats related to a single company only, copy and paste the company ID in the Company ID filter:

Stages by Consultant

The Header

Shows the total number of applications, made in the filtered time period, from the Sent stage onwards for all selected users:

The Table and Chart

The table and graph will show you how many applications have gone through each of the ATS stage for each consultant in the selected time frame in the filters.

💡Highlights and remarks:

Up to the Offered stage, the consultants are the Job Owners. For the Placed stages, the consultants are the Placement Owners. If the job has multiple Job or Placement Owners, each owner will all receive the stats for that job, therefore the totals from the table may not match the numbers in the header.


This report is different from the User Engagement, in the sense that the purpose is not tracking user’s activities, but returning a picture of the ATS pipeline activities, in a chosen time period, by job/placement owners.

📝 Note: Please note that applications for jobs created before 01/01/2021 are not counted in the dashboard.

Average Fees by Consultant

The Header

Shows the average fees, for each Job type, coming from placements with a Booked Date in the filtered date range.

The Table and Chart

The table and graph will let you know the Booked Fee of the Consultants (Placement Owners) over the Placements they made (for the set timeframe).

Let’s go over some of the metrics for this table:

  • The Fees are based on the Profit Split of the Placement.

  • The timeframe in the article is based on the placement Booked Date.

  • The averages are calculated as the total fees, per placement owner, divided by the number of placements, per each job type.

🎯 Activities by Job

Job Aging

The Header

Shows the number of jobs created in the filtered time set, either active or inactive, that are currently open, and their average days, before and since the last activity date:

The Table and Chart

The Job Aging report will show you how many days was the Job created before the last activity date, the days since the last activity of each job, and the total job age.

  • Activities include Application actions such as Shortlist, CV Sends, Interviews, etc. Consultants are the Job Owners.

Stages by Job

The Header

Shows the number of applications, from the Sent stage onwards, made for all jobs created in the filtered date range.

The Table and Chart

This section allows you to view the breakdown of how many activities have occurred at each stage for the specific job. Let’s go through some of the table columns ⬇️

  • Active Candidates – The number of Candidates who currently have Active Applications for that role.

  • Aging – Number of Days since the Job was created.

  • Application Stages – The number of applications that have moved through that stage in the given time frame.

💡 Highlights and remarks:

Definition of factors in the filter board on the right-hand side:

1. Date: Set dates to cover the desired date range (down to as small as monthly intervals)

2. Locations: Filter by consultant's office location or multiple locations and this is saved in Settings > Groups, Tags & locations > Locations

3. Branch: Filter by consultant's branch or multiple branches.

4. Brand: Filter by consultant's brand or multiple brands and this is saved in Settings > Groups, Tags & locations > Teams > Brands

5. Division: Filter by consultant's division or multiple divisions and this is saved in Settings > Groups, Tags & locations > Teams > Divisions

6. Team: Filter by consultant's team or multiple teams and this is saved in Settings > Groups, Tags & locations > Teams > Teams

7. Consultant: Filter by an individual consultant or multiple consultants, including active & inactive consultants.

  • 📌 The definition of consultants, either Job Owner or Placement Owner, may change depending on the report. Please read through the article to know the exact definition of consultants.

And this is saved in Settings > User Management (Active & Inactive)


8. Consultant Status: Filter by Active / Inactive users / both. By default, Inactive Users are included.

9. Job Category: Filter by Jobs, Job Leads, both, or none.

  • Linked to Jobs - activities linked to jobs

  • Linked to Job Leads - activities linked to Job Leads

  • No job Links - activities not linked to Jobs or Job Leads

10. Job type: Filter by specific job types 👇

  • Contract

  • Interim / Project Consulting

  • Permanent

  • Temp-To-Perm

  • Temporary

ADD BELOW FILTERS:

  • Calculations By (only for Jobs Status by Consultant report): report on either the number of jobs or headcount per status per each consultant.

  • Job Status: Filter the reports by open jobs, closed jobs, or both.

  • Company Id: Copy and paste the company ID to see stats related to that single company only.
