This article explains how to create a new job from Quick Add, attach the right company and contact records, complete the main job details, and resolve common issues if you cannot create or post a job.
β οΈ Important: You must have permission to create jobs or job leads. You can only select job types assigned to your user profile in your brand.
Add a Job
Quick Add
Click + Quick Add, then select Job.
The new job form opens and you can complete each tab as needed.
Job Descriptions
Drag and drop a file to upload the job description.
Supported file types are DOC, DOCX, PDF, RTF, XLS, XLSX, HTML, HTM, MSG, and MHT.
You can send this file to shortlisted candidates later by email.
π Note: If you use Copy Job, you can only change the job name before you save the copied job. The compensation details, company, and contact stay the same until the new job is created. You can edit those details after the job is saved.

Job Types
Select the correct Job Type for the role.
If your organisation uses customised Quick Add screens by job type, the fields shown may change based on the job type you select.
π Note: You can only choose job types assigned to your user profile in your brand.
Company and Contact
Every job must be linked to a company, a contact, and a job name.
In Company, type a few letters of the company name, then select the correct company from the list or click + to create a new company.
In Contact, select an existing contact linked to that company or click + to create a new contact.
π Note: If the company does not already exist, creating the job also creates a new company record. If the contact does not already exist, creating the job also creates a new contact for that company.
Admin users can control whether inactive companies appear in the Company field during job creation.
Setting | What appears in the Company field | Result |
Enabled | Only active companies appear. | Users cannot create jobs from contacts linked to inactive companies. Users also cannot use Copy Job or import jobs by CSV for inactive companies. |
Disabled | Active and inactive companies both appear. | Users can create jobs from contacts, use Copy Job, and import jobs by CSV regardless of company status. |
π Note: Inactive companies include statuses such as passive, do not contact, blocklisted, or other custom inactive statuses set by your admin.
Job Title
Enter the role name in Job Title.
The system shows matching jobs as you type, which helps prevent duplicate job records.
Job Address
In Job Address, select an address already linked to the company or click + to add a new address.
When you save the job, the new address is added to the company record.
After you add the address, add the relevant job tags such as Industries, Functional Expertise, and Sub-functional Expertise. You can add more than one tag across different disciplines.

Job Owner
Review the Job Owner field. By default, the person who creates the job is the owner.
Add more owners if needed. The job creator does not need to remain as an owner.
Use Notify Users if you want other users to receive a system notification that the job was created.
Add rating questions if you want to assess shortlisted candidates against the competencies for the role.
The job owner receives the forecast allocation for the job and receives notifications when applications arrive from external sources.
Shortlist Candidates
In the Quick Add form, type a candidate name, then select the candidate you want to shortlist.
To search for more candidates, go to the advanced candidate search, find suitable candidates, select them, then click Shortlist to Job.
The selected candidates move to the shortlisted stage after you save the job.
Click Save or Save and View to create the job.
If you miss a mandatory field, the page moves to the section that needs attention.
After the job is saved, you can post it to job boards or your career site as needed.
Troubleshoot Common Job Issues
Use the sections below if you cannot create a job, cannot post a job, or cannot see jobs where you expect them.
Unable to Add Jobs or Job Leads
Confirm that your user account has permission to create jobs and job leads.
Open Vincere in an incognito or private browser window, then try to create the job again.
If the issue does not happen in the incognito session, clear your browser cache.
In Chrome, go to Settings, then click Privacy and Security. Click Clear browsing data, open the Advanced tab, set Time Range to All Time, deselect Browsing History, select Cookies and Other Site Data and Cached Images and Files, then click Clear Data.
Check that your browser is up to date. In Chrome, click the three dot menu, then go to Settings, then About Chrome. Apply any pending updates, then relaunch the browser.
Close all browser windows, quit the browser completely, then reopen it and sign in again.
Optionally, right click your desktop and select Refresh before reopening the browser.
If the issue continues, contact support and include details such as a screen recording.
Unable to Post a Specific Job
Open the job, then check whether the Sourcing End Date has passed.
Update the Sourcing End Date to a future date, then save the job.
Confirm that the Post action is now visible.
Check whether the job appears on the public facing website.
Jobs Do Not Appear in the Default View
Review the job type names used in your configuration.
Use Do not instead of Don't when you create or update labels.
Refresh the view, then confirm that the jobs or assignments appear.
Jobs Are Not Visible on the Portal
Open the job, then check the posting status indicator.
If the status shows Not Posted, change it to Public.
Check the sourcing close date. If it is blank or in the past, update it to a future date, then save the job.
Confirm that the job is now visible on the portal.
Best Practices
Check the Sourcing End Date before posting a job so the post action remains available.
Keep job type naming consistent to avoid view and configuration issues.
Confirm the portal posting status after saving changes so jobs are visible externally.
Clear your browser cache and restart the browser if the job creation page or tabs do not load correctly.
Keep browser extensions to a minimum if you notice performance issues.
