Broadbean

Learn how to set up the Broadbean integration, configure how applications are retrieved into Vincere, post jobs and use the Broadbean tab on job profiles.

Broadbean is a multi-posting job board tool that lets you send job adverts to multiple boards from Vincere and automatically bring applicants back into your database.

  • This article explains how to configure Broadbean in Marketplace, choose retrieve-application behaviour and work with Broadbean on your jobs.

โš  Important: The Broadbean integration must be enabled in Settings then Marketplace and your user account must be added to the Broadbean app by an administrator. If you cannot see Broadbean in Marketplace or when posting jobs, contact your administrator to check your access.


Configure Broadbean in Marketplace

  1. Go to Settings, then click Marketplace.

  2. Find the Broadbean tile (use the Marketplace search bar if needed).

  3. Click the Broadbean tile to open the configuration window.

  4. Click the SETUP tab.

  5. In Broadbean Master User, enter the Master User provided by Broadbean.

  6. In Broadbean Secret Key, enter the Secret Key provided by Broadbean.

  7. In the Users section, add every user who has an active Broadbean account and needs to post jobs:

    • Click in the user field, then select the user.

    • Repeat until all required users are listed.

  8. Click Save.

๐Ÿ“Œ Note: If a user is not added in the Broadbean Users section, they will not see the Broadbean option when posting jobs from a job in Vincere.


Configure Retrieve Applications Settings

  1. Go to Settings, then click Marketplace.

  2. Click the Broadbean tile.

  3. Click the RETRIEVE APPLICATIONS SETTING tab.

You will see two main areas:

  • Candidate Owner Behavior for Retrieving Applications

  • Select desired options to retrieve applications


Set Candidate Owner Behaviour

Under Candidate Owner Behavior for Retrieving Applications, choose one option:

Keep the Candidate Owner on the initial candidate application.

  • The Candidate Owner on the candidate record does not change when new applications are retrieved from Broadbean.

Update the Candidate Owner per candidate application.

  • The Candidate Owner can be updated when each application is retrieved (for example, to match the job owner).

Select the option that matches how your team manages ownership.


Choose How to Retrieve Applications

Under Select desired options to retrieve applications, select one radio button:

Disable Retrieve Applications

  • No applicants from Broadbean are retrieved into Vincere.

Enable Retrieve Applications โ€“ Retrieve All โ€“ Add to Application stage

  • All applicants are retrieved from Broadbean and added to the Application stage of the job in Vincere.

Enable Retrieve Applications โ€“ Retrieve All โ€“ Shortlist to job

  • All applicants are retrieved and added directly to the job at the Shortlist stage.

Enable Retrieve Applications โ€“ Flagging Response Management

  • Broadbeanโ€™s flagging system controls which candidates are retrieved and what happens to them in Vincere.


Map Broadbean Flags to Vincere Actions

If you select Enable Retrieve Applications โ€“ Flagging Response Management, a mapping table appears.

On the left side you see Broadbean statuses, for example:

  • Unranked.

  • Unsuitable (Red).

  • Maybe Suitable (Amber | Blue).

  • Shortlisted (Green).

  • Progressed.

On the right side you see Vincere actions. For each Broadbean status, open the dropdown and choose one of:

  • Do not retrieve โ€“ candidates with this status are ignored and not created or updated in Vincere.

  • Add to database โ€“ candidates are created or updated in the Candidate database but not attached to the job.

  • Shortlist to job โ€“ candidates are created or updated and added to the job at the Shortlist stage.

Example configuration (you can adjust to suit your process):

  • Unranked: set to Do not retrieve.

  • Unsuitable (Red): set to Add to database.

  • Maybe Suitable (Amber | Blue): set to Shortlist to job.

  • Shortlisted (Green): set to Shortlist to job.

  • Progressed: set to Shortlist to job.

After choosing the radio button and setting the mappings, click Save.

๐Ÿ“Œ Note: The mapping only applies when Flagging Response Management is enabled. If you choose one of the Retrieve All options, all applicants follow that single rule instead.


Post a Job Using Broadbean

Prepare the Job

  1. Go to your Jobs list, then click the job you want to post.

  2. Check the jobโ€™s Sourcing close date and update it to a future date if needed, then save.

  3. Set the Job privacy status to Public, then save the job if you changed it.

  4. In the job profile, click Actions, then click Post.

๐Ÿ“Œ Note: If you do not see the Post button, the sourcing close date is usually in the past. Update the sourcing close date to a future date and save the job, then check Actions again.

Select Broadbean and Complete the Posting Flow

  1. In the posting window, select Broadbean from the available posting options.

  2. Click Post.

  3. A Broadbean window opens with a step-by-step flow:

    • Choose Job Boards โ€“ choose the job boards where you want to advertise.

    • Advert Details โ€“ review the advert fields.

  4. Review the Advert Details section:

    • Vincere pulls the information from the job into these fields for you.

    • Edit and update any fields as needed (for example, salary, location, advert copy).

  5. Click Next: Preview + Send.

  6. Review the preview to confirm everything is correct.

  7. Click Finish to send the job to Broadbean and post it to the selected job boards.


Use the Broadbean Tab on a Job

After a job is posted via Broadbean, a Broadbean tab appears on the job profile for users who are set up in the Broadbean integration.

  1. Open the job you posted via Broadbean.

  2. Click the Broadbean tab.

  3. At the top, use the Select user dropdown to choose which Broadbean userโ€™s data you want to view:

    • If there is only one Broadbean user, that user appears automatically.

    • If the logged-in user is one of the posters, their Broadbean iframe is shown by default.

    • If the logged-in user is not a poster, the first poster is shown by default.

  4. Use the embedded Broadbean view (iframe) to:

    • View response management and job postings.

    • Flag candidates based on suitability.

    • Unpost jobs.

    • Edit job adverts.

    • Resend the job.

๐Ÿ“Œ Note: Any user who is added to the Broadbean tile in Settings, then Marketplace, can see other usersโ€™ responses and job postings in the Broadbean tab and can take actions such as flagging and unposting.


Troubleshoot Broadbean Visibility and Posting

Broadbean Tile Not Visible in Marketplace

  1. Go to Settings, then click Marketplace.

  2. Scroll or search for Broadbean.

  3. If you cannot see the tile:

    • Confirm that your organisation has Broadbean enabled.

    • Ask an administrator to enable the Broadbean integration and add your user in the Broadbean setup.

Broadbean Option Missing When Posting a Job

  1. Open the job, then click Actions, then click Post.

  2. If Broadbean is not listed:

    • Confirm in Settings, then Marketplace that the Broadbean integration is configured.

    • Ask an administrator to check that your user is added as a Broadbean user in the SETUP tab.

    • Check that the Sourcing close date is in the future and the Job privacy status is Public, then save the job and try again.

Post Button Missing on the Job

  1. Open the job profile.

  2. Check the Sourcing close date.

  3. If the date is in the past, change it to a future date and save the job.

  4. Open Actions again and confirm that the Post button is now visible.


Best Practices

  • Decide your Candidate Owner behaviour and Retrieve Applications option with your team before go-live so everyone follows the same process.

  • Use Retrieve All โ€“ Add to Application stage if you want recruiters to screen candidates inside Vincere before shortlisting.

  • Use Flagging Response Management if you prefer to review and flag candidates in Broadbean first and only add selected candidates to Vincere.

  • Review the Broadbean tab on active jobs regularly to monitor responses, adjust adverts and unpost jobs when roles are filled.
