✨ Updates to Candidate Scheduler
This update builds on the Candidate Scheduler foundation.
This update extends the Candidate Scheduler's Assign Shift flow with support for FastTrack360 time management. Recruiters can now book candidates for roles where pay and billing run through FastTrack360 — either on its own or combined with TimeTemp for candidate-facing timesheets, leave and expenses. Steps 1 to 3, and Manual and TimeTemp-only placements, are unchanged

👉 What's New
Sending the Job to FastTrack360 or FastrTrack360 & Timetemp
A placement can only be created in FastTrack360 if the job already exists there.
Step 4 checks this and lets the recruiter send the job without leaving the wizard:
If the job has not been sent, a Synchronisation Required panel replaces the pay and bill configuration and shows a Send Job button.
If the job is sent successfully, the panel reloads to show the Pay & Bill Configuration and a confirmation message appears.
If sending fails, the panel shows Synchronisation Failed with the reasons returned and a Retry button.

Selecting the FastTrack360 rates
Three dropdowns appear. Each one limits the options available in the next:
Hierarchy — the level the rates are taken from. The options come from FastTrack360 and usually include Country, Brand, Office, Parent, Client and Cost Centre.
Hierarchy Value — the label changes to match the level selected above. If Hierarchy is set to Country, this field becomes a list of countries.
FT360 Job Template — the list is limited by the Hierarchy Value selected, and can be searched.
Hierarchy is set to Country, so the second field becomes a list of countries and limits the FT360 Job Template options. This example is a TimeTemp & FastTrack360 placement; the tab is the same for FastTrack360 on its own.
Pay rate structure
Pay, Bill, Profit, Margin % and Markup % are shown in the placement’s currency. The figures come from FastTrack360 and are determined by the FT360 Job Template selected. New placements, existing placements and renewals each take their figures from their own record.
After the booking is confirmed
For FastTrack360 placements: The candidate, client, client location, contacts and then the placement are sent to FastTrack360 in the background. Records are created if they do not already exist and updated if they do. The recruiter does not have to wait for this to finish.
For FastTrack360 & TimeTemp placements: The placement is saved in Vincere with both sets of details and then sent to FastTrack360 first. The TimeTemp sync runs only after the FastTrack360 sync has succeeded. The FastTrack360 placement is then marked as having its timesheets managed through TimeTemp.
💡 Why It Matters
Fewer context switches, faster bookings. Recruiters can send the job to FastTrack360, select rates and complete all mandatory fields without leaving the Assign Shift wizard — reducing the steps needed to place a candidate.
Consistent experience across time management types. FastTrack360 placements now follow the same Assign Shift workflow as Manual and TimeTemp placements, making training and support simpler for agencies that use multiple time management options
📌 Important Notes
This covers booking a candidate to a shift. Timesheet submission, approval and pay or bill processing continue to run through the existing TimeTemp and FastTrack360 processes. The older Shift Scheduler and Offer flows are unchanged.
The booking cannot be completed while mandatory fields are empty: Office Code, Status, Skill Group and Position, together with any Field Configuration fields the customer has switched on.
Rates are not entered manually: Pay, Bill, Profit, Margin and Markup are determined by the FT360 Job Template selected in the Pay & Bill Configuration.
The booking cannot be completed if TimeTemp cannot be reached: the email check must finish before the placement is saved. The recruiter stays on Step 4 and can try again.
A failed sync does not cancel the booking: the placement stays booked in Vincere but is not created in FastTrack360. The reason is recorded in the placement’s FastTrack360 audit log. If one of the earlier records fails to send, the placement is not created.
Partial Sync: If the FastTrack360 sync succeeds and the TimeTemp sync fails, the placement stays booked in Vincere and remains in FastTrack360; the TimeTemp sync is retried later. If the FastTrack360 sync fails, the TimeTemp sync does not run. Neither failure cancels the booking
✨ Updates to Compliance Settings
Admins can now set if compliance checks apply when a candidate is moved to the Offer stage. Previously, compliance checks configured under Compliance Settings > Placement ran automatically at every stage — Offer, Placement, Renewal, and Book Shift — with no way to limit them to specific stages.
A new setting lets admins choose whether the Offer stage triggers compliance checks, without affecting the always-enforced stages of Placement, Renewal, and Book Shift.
👉 What's New
A new 'Apply this check at' row is added to Compliance Settings > Placement, per Job Type (or once if 'All Job Types' is selected). It contains a single Offer checkbox, positioned above the 'All Job Types / Per Job Type' selector.
Offer checkbox is ticked by default for all existing and new configurations.
Unchecking Offer stops both Job-level (Job's Onboarding Doc) and Placement-level (Placement Compliance) document checks from running when a candidate under that Job Type is moved to Offer.
💡 Why It Matters
This update gives administrators control over when compliance checks run — without any risk of accidentally weakening protections at Placement, Renewal, or Book Shift, which remain always enforced.
📌 Important Notes
The Offer checkbox is ticked by default for all existing configurations — no action is required unless an administrator wants to change the behaviour for a specific Job Type.
Placement, Renewal, and Book Shift stages are always enforced and cannot be toggled off.
Unchecking the Offer checkbox affects both Job-level (Job's Onboarding Doc) and Placement-level (Placement Compliance) document checks simultaneously for that Job Type
In the compliance modal, the label is updated from 'System's Candidate' to 'Placement Compliance'.
Timetemp Updates:
✨ Sync Records to TimeTemp Before a Placement is Created
Vincere now allows you to manually send Company, Location, and Contact records to TimeTemp before any Placement has been created.
Previously, these records only reached TimeTemp once linked to an active Placement.
This feature gives your team full control over the sync process, with dedicated 'Send to TimeTemp' actions, real-time sync status tracking, and a full Audit Log for each entity.
👉 How It Works
Records must be sent to TimeTemp in a specific order.
Company must be sent first.
A Contact or Location can only be synced after the parent Company has been successfully sent to TimeTemp.
Attempting to send a Contact before the Company, will show an error: "[Company name] must be synced to TimeTemp before any contacts can be sent. Please send company first, then retry."
The sync icon on a Location row only becomes available once the parent Company has been successfully synced.
👉 What's New
Company + Location sync (Company profile)
A new TIMETEMP section appears in the Company 'Actions' panel, positioned below FASTTRACK360, with 'Send to TimeTemp' and 'Audit Log' options.
Clicking 'Send to TimeTemp' opens a confirmation modal showing the Company Name, a Location search/multi-select (up to 10 locations per send), a pre-check Status badge, and Cancel/Send buttons.
Or, go to the TimeTemp icon in the Company profile and click to start the sync.
Company names must be unique in TimeTemp — this is checked before the sync proceeds.
Re-sending an already-synced Company or Location updates the existing TimeTemp record rather than creating a duplicate
Sending individual Locations
Each Location can also be sent individually from the Company's Locations tab — useful when Door Clock setup is scoped per site.
Each Location row displays a TT Sync Status tag: Not Synced, Sent, Sent & Synced, or Sync Failed.
Clicking the sync icon on a never-synced Location opens a 'Send To TimeTemp' popup.
For already synced Locations, it shows a status table with Migration ID, TimeTemp ID, Status, plus Audit Log and re-send options.
Sending Contacts
A new TimeTemp section is added to the Contact Actions panel with 'Send to TimeTemp' and 'Audit Log' options for a single Contact, or 'Bulk send to TimeTemp' for 2 or more selected Contacts (up to 25 at a time).
You cannot proceed with the Contact sync unless the Company is synced.
New Column in Contacts table
A new column called Contact TimeTemp Sync Status is available in the columns.
Delete protection
Once a Company, Location, or Contact has been sent to TimeTemp, deleting it in Vincere is blocked.
💡 Why It Matters
Setting up a new client site in TimeTemp requires Company records, Locations, and Manager accounts to exist before work can begin but the old workflow only allowed these to be sent once a Placement was created, leaving teams playing catch-up.
This feature removes that dependency, letting administrators sync records at the right time so that when a Placement is raised, TimeTemp is already configured and ready to go.
📌 Important Notes
Sync status history is not retroactively backfilled for records that were synced to TimeTemp before this feature was released.
The Location multi-select in the Company 'Send to TimeTemp' modal is capped at 10 locations per send.
Contact bulk send is capped at 25 records per action

✨ Fees Type (Booked vs Actual) Filter for TV Dashboard & My Dashboard
TV Dashboard and My Dashboard now support a Fees Type filter, letting users toggle between Booked Fees (from placements) and Actual Fees (from invoices).
👉 What's New
New Fee Type filter added to both TV Dashboard and My Dashboard. Previously both dashboards only reflected Booked Fees, which made them unusable for businesses that track revenue on an invoiced basis.
Two options:
Booked Fees - derived from placement records
Actual Fees - derived from invoice records
Filter applies to all fee-based metrics on the respective dashboard and figures recalculate based on the selected fee type.

Setting is scoped per dashboard (TV Dashboard and My Dashboard filters are independent).
