✨ Candidate Scheduler
We're introducing a brand-new way to manage your temporary workforce, the Candidate Scheduler puts your available candidates front and center, helping you fill shifts faster and smarter.
Early Access Programme (EAP) The Candidate Scheduler is currently available to Early Adopters.

Once enabled for your account:
Navigate to Main Menu Settings and toggle ON the Candidate Scheduler.
The Candidate Scheduler menu item will appear in your main navigation bar.

Candidate-First Scheduling Approach
Instead of posting shifts and waiting for responses, you can now start with your available candidate pool and proactively match them to open shifts.
Candidate availability sits at the heart of every scheduling decision a smarter, faster way to fill your roster.
Weekly Calendar Grid View
A 7-day calendar displays each candidate's availability, existing shifts, and scheduling patterns all in one place. Instantly visualise workforce capacity and spot gaps or conflicts at a glance.
Customise your view to show a full week (Mon–Sun), weekdays only (Mon–Fri), or a custom date range.
Smart Candidate View Builder
Filter and curate your candidate list before loading the scheduler. Choose candidates by ownership (My Candidates or My Team's Candidates), status, and more. Your filter preferences save automatically for a seamless experience each time you return.
Ownership Filters:
My Candidates: candidates with login user as Candidate Owner
My Team’s Candidates: candidates owned by the login user AND their team members
Availability Management
Record and manage candidate availability directly from the scheduler. Set one-time availability for a specific date or create recurring weekly or bi-weekly patterns for up to a year in advance. Overnight shift support and timezone selection are built in.
Automatic Conflict Detection
The scheduler automatically flags when a candidate's availability overlaps with existing shifts or placements, showing clear warnings before you confirm helping you avoid double-booking.
Candidate Overview on Hover
Hover over any candidate name to instantly view key detail their contact information, next available time, and quick-action buttons to add availability or assign a shift without leaving the scheduler.
Guided Shift Assignment
Assigning a candidate to a shift is a simple, guided process:
Select Shift — search available shifts, with already-booked or excluded shifts automatically removed from results
2. Select Shift Range — preview all shift dates on a calendar and choose all, future, or specific occurrences
3. Compliance Check — required documents are automatically validated before booking proceeds
4. Review & Book — confirm pay rates and complete the booking
Mark as Absent
Right-click on any booked shift in the calendar to mark a candidate as absent, with options to record the reason and add a note.

📌 Important Notes
The Candidate Scheduler currently supports customers using Manual and TimeTemp time management. Support for FastTrack and Astute integrations will follow in future phases.
The scheduler displays up to 25 candidates per page. Use the Smart Candidate View Builder filters to curate your list before loading.
Candidates cannot be booked into shifts belonging to a closed or closed-and-placed job. If needed, update the job headcount in the Job Profile first.
As this is an early-access release, some features are still in progress and will be refined in upcoming updates.
