✨ Compliance Expiry Check

You can now validate that candidate documents remain valid throughout the entire contract or shift period, helping you prevent mid-placement compliance issues before they happen.

Future Expiry Validation

The system now checks not just whether documents are valid today, but whether they'll remain valid through the entire contract end date. You'll see warnings when mandatory documents will expire before a contract ends.

Flexible Enforcement Options

Choose between warning-only mode or hard-stop enforcement to match your compliance workflow.

Two-Tier Validation System

Validation happens at two key points:

  • Initial validation when moving applications to Offered/Placed stages

  • Final validation when contract end dates are entered or changed

Clear Visual Indicators

  • Red messages = Blocking issues (missing documents, expired today, pending verification, rejected)

  • Yellow messages = Future expiry warnings (documents expire before contract ends)

βš™οΈ How to Enable

  1. Navigate to Settings > General Settings > Compliance Expiry Check.

  2. Toggle "Enable Compliance Expiry Check" to ON.

  3. Choose your validation mode:

  • Show Warning Only: Informational warnings, placements allowed

  • Hard Stop: Blocks placements until issues are resolved

4. Click "Save" to apply the setting system-wide.

  • Prevent mid-contract compliance risks by identifying document expiry issues before placements are confirmed.

  • Reduce legal and financial exposure from workers' documents expiring during active assignments.

Job Type Scope

This validation applies to Contract and Temporary job types only. Permanent jobs have no contract end date, so existing compliance checking applies.

Document Scope

This validation only checks:

βœ… Mandatory compliance level documents

βœ… Documents with expiry dates configured

It does not check:

❌ Warning or Nice-to-Have level documents

❌ Documents without expiry dates configured

Existing Placements

This validation does not apply retroactively to existing placements. Only new placements, offers, and renewals created after enabling the feature are validated.

System-Wide Setting

This is a global setting that applies to all Contract and Temporary jobs once enabled. The setting is OFF by default and must be explicitly enabled by an Admin.

Shift Scheduler Configuration

Shift Scheduler uses compliance settings from the Shift's Search Tab configuration, not the Job's Onboarding Doc Check tab settings.

No Continuous Monitoring

This feature validates at the time of placement creation or renewal. It does not continuously monitor documents during an active placement. If a document expiry date is changed after placement is confirmed, no automatic alert is generated.


✨ Send Email Notifications to Booked Candidates When Shifts Are Cancelled

You can now automatically notify candidates via email when you cancel shifts they were booked on.

Optional Notification Checkbox
A new checkbox appears in the cancellation dialog: "Send email cancellation notification to workers". When enabled, the system automatically sends email notifications to all booked candidates immediately upon cancellation confirmation.

Supports Single and Bulk Cancellations
The notification option works whether you're cancelling one shift or multiple shifts at once.

βš™οΈ How to Use

  1. When cancelling a shift with booked candidates, the "Just Checking" cancellation dialog will appear

  2. Check the box "Send email cancellation notification to workers" if you want to notify them

3. Click "Yes" to cancel the shift(s) and send the emails

The system uses email template 19.2 "Shift cancelled -> candidate" for the notification.

  • Eliminate manual follow-up on bulk cancellations across multiple workers.

✨ Shift Scheduler Activity Log in Placement Details

You can now track all shift-related activities directly within each placement's Activities tab, giving you complete visibility of shift changes for individual candidate placements.

New "Shift Scheduler" Filter Category

A new Shift Scheduler category has been added to the Activity Filters in the Placement Details Activities tab. This filter includes four sub-categories:

  • Booking

  • Unbooking

  • Cancellation

  • Deletion

All sub-categories are checked by default, so you'll see the full shift history as soon as you open a placement.

Shift Activity Logs
Each activity type now creates a detailed log in the placement:

  • Booking: Shows who booked the shift, shift schedule (start/end time, timezone, location), shift name, and an auto-book indicator when triggered by candidate acceptance.

  • Unbooking: Shows who unbooked the shift and shift schedule details. For recurring shifts, displays different information based on the scope of the change (all shifts, future shifts only, a single day, or specific selected dates).

  • Cancellation: Displays "Shift | Cancellation" label, cancellation reason and notes, shift schedule, shift name and notes, plus who performed the cancellation and when. For recurring shifts, displays different information based on the scope of the change (all shifts, future shifts only, a single day, or specific selected dates).

  • Deletion: Displays "Shift | Deletion" label, deletion reason and notes, shift schedule details, plus who performed the deletion and when.

Detailed Activity View
Click on any shift activity to see full shift schedule information, reason and notes, candidate and job details, company and contact information, and activity metadata (date, created by, created date).

  • Saves time - View all shift changes directly in the placement without navigating to the global activity log.

  • Complete audit trail - Track who booked, unbooked, cancelled, or deleted shifts, with reasons and timestamps in one place.

  • Better candidate conversations - Access full shift history and patterns to have informed discussions with candidates about their placements.

  • Shift activity logs are only available in Placement Details and will not appear in Candidate, Job, Contact, or Company activity logs.

  • Activities are only logged when the candidate was booked to the shift. Pre-booked candidates (not confirmed) will not have activities logged.

  • This feature tracks booking, unbooking, cancellation, and deletion activities only. Shift modifications are not currently logged.


✨ Shortlist Action Improvement

We've improved the shortlisting experience so you can work more efficiently when adding candidates to multiple jobs at once.

πŸ‘‰ What's New

No More Loading Screens

When you shortlist candidates to multiple jobs, the action now processes in the background. You'll no longer be stuck waiting on a loading screen - you can get back to work immediately.

Instant Confirmation

After initiating a shortlist action, you'll see a notification message:

"Shortlisting candidates to jobs. Go to Tracking Page to see the progress"

The notification includes a clickable link that takes you directly to the Bulk Tracking page where you can monitor your shortlist operation.

Progress Tracking Made Easy

Visit the Bulk Tracking page anytime to:

  • Check the status of your shortlist operations

  • See when they complete

  • Review the results

Simply click the View button next to any shortlist entry to see detailed information about the operation.

✨ Download Approved Timesheet PDFs

Managers and Timesheet Approvers can now download approved timesheet PDFs directly from the Approved Timesheets page, making it easier to manage payroll processing and maintain records.

Download Individual Timesheets

Click the file icon next to any approved timesheet in the Approved Timesheets view to download the PDF instantly.

Role-Based Access

  • Managers: Download timesheet PDFs for candidates where you're assigned as the Manager

  • Timesheet Approvers: Download timesheet PDFs for candidates where you're assigned as the Timesheet Approver

Flexible Filtering

Use filters like Date Range, Company, and Job Role to find the timesheets you need before downloading.

βš™οΈ How to Enable This Feature

For Administrators:

  1. Navigate to Tenant Settings.

  2. Locate the configuration toggle: "Allow Manager/Approvers to download timesheet PDFs".

  3. Enable the setting to make download options visible to authorized users.

Default State: This feature is disabled by default and must be explicitly enabled.
