✨ SignRequest Integration - Improvements

We've significantly enhanced the SignRequest integration with improved usability, better document management, and streamlined workflows across offers, placements, and renewals.

👉 What's New

Enhanced UI with New Action Buttons
Send Documents dialogs now include:

  • Status Refresh Button - Get real-time document status updates

  • View Pending Documents - Preview documents you've recently sent

  • Cancel SignRequest Document - Cancel pending requests when needed

View Pending Documents Across Multiple Areas
You can now preview pending SignRequest documents from:

  • Candidate and Contact profiles when sending documents

  • File Library > SignRequest section via document hyperlinks

  • Offer, Placement, and Renewal stages with dedicated view buttons

Send Multiple Documents

  • Send additional offer documents to candidates and contacts after previous documents are fully signed

  • All signed documents are automatically stored in "Other Offer Docs" for easy reference

  • Document counters show how many documents each offer/placement/renewal contains

Improved SignRequest Flow

  • Offer to Placement: When an offer with pending/signed documents moves to placement, SignRequest progress carries over seamlessly

  • New SignRequest Support: Initiate SignRequest directly from Placement and Renewal stages

  • Undo Placement Logic: SignRequest progress is preserved when undoing placements from Offer stage

  • View all signed documents for each offer, placement, or renewal in a dedicated dialog

SignRequest Conditions & Logic

  • SignRequest Flow can be initiated on the following:

    • Candidate ATS Table / Advanced Search

    • Contact CRM Table / Advanced Search

    • Candidate Profile

    • Contact Profile

    • Offer Stage

    • New: Starting Placement

    • New: Active Placement

    • New: Pending Renewal

    • New: Renewed Placement

  • SignRequest Flow is not available on:

    • Cancelled Placement

    • Terminated Placement

  • Undo Placement Logic

    • If Undo placement is done and the last stage is ‘Offer Stage’, then once moved back, the SignRequest progress is kept.

    • If Undo placement is done and the last stage is not ‘Offer Stage’, e.g. Interview, then once moved to offer stage again, it will create a new offer and the user has to start SignRequest fresh.

Choose from any timezone in the dropdown menu when setting up your data export, rather than being limited to UTC or your user timezone.

Improved Shift Auto-Booking Flow

Seamlessly sync new placements created through Auto-Booking with your Time Management systems, ensuring automatic integration with Timetemp and Fastrack.

Time Management Setting Inheritance
New placements created via Auto-Booking from Shift Scheduler now automatically inherit the Time Management setting from the Job Template, instead of defaulting to Manual.

Automatic System Sync
When Auto-Booking is enabled and a candidate accepts a shift, the system automatically syncs the placement to:

  • Timetemp

  • Fastrack

  • Both systems (if configured)

Enhanced Error Handling & Notifications

If sync fails due to API errors or misconfiguration:

  • Email notifications are automatically sent to the user who sent the invitation

  • New email template management system (19.8) with default templates for sync failures

  • Administrators can customize email subject, content, and sender name

Smart Template Configuration
Placements now follow the Job Template's Time Management configuration (Timetemp, Fastrack, Timetemp & Fastrack, or Manual) rather than ignoring these settings.

  • Auto-Booking Enabled - When a candidate accepts a shift with Auto-Booking ON

Harness the power of AI to optimize your email content and candidate briefs with our new Access EVO integration.

Track candidate tenure across multiple renewals with the new Original Start Date field, giving you visibility into total time worked.

  • Non-editable field showing when a candidate first started working for a job

  • Automatically pulls from the first active placement (ignores cancelled placements)

  • Shared across all renewals for the same application

  • Shows "Not Started" if the original date is in the future

  • Auto-calculates based on the original start date
