✨ Document Permission Controls for Enhanced Security
Admins now have granular control over document access with our new Document Permission feature, allowing you to set permissions at the document type level for enhanced data security and compliance.
👉 What's New
Custom Document Type Permissions
Admin users can now control who can access specific custom document types (like Passport, Work Visa, Terms of Business) by setting permissions for:
Individual users: Grant access to specific users
User roles: Grant access to all users within a selected role
Secure Document Visibility
Users will only see documents they have permission to access. Restricted documents appear with a lock icon and cannot be viewed, edited, or deleted by unauthorized users.
Filtered Search and Navigation
Document type filters throughout the platform (in File Library, entity files sections, and search functions) will only display document types that users have permission to access, streamlining the user experience.
Bulk Permission Updates
Admins can update permissions for up to 25 document types at once, streamlining permission management across your organization.
Seamless Integration
Permission controls work consistently across the Vincere web app, mobile app, and API, ensuring security across all platforms.
⚙️ How to Set It Up
Navigate to Settings > Admin Settings > Document Settings > Documents & Checks > Document Type
Select a custom document type and click the edit button
Choose specific users or user roles who should have access
Save your changes
Note: For bulk updates, select multiple document types and update permissions simultaneously.
💡 Why It MattersEnhanced Data Security: Sensitive documents remain accessible only to authorized personnel, ensuring regulatory compliance. Role-Based Access Control: Align document access with organizational hierarchy and responsibilities. Reduced Risk: Minimize unauthorized access to confidential candidate and client information. |
📋Important Notes
Default Settings: All existing custom document types default to "All Users" access when this feature is released, ensuring existing workflows remain unchanged until you choose to modify permissions.
System vs Custom Documents: Document permission controls apply only to Custom Document types (created by Admin users), regardless of bulk update. All System Default Document types remain accessible to all users.
Mobile App Availability: Document Permission features are available on the web app starting July 23rd. The mobile app version will be released separately once ready.
