✨ CRM: Navigate brand new Company/Contacts profiles with ease
We are excited to announce a brand new way for you to interact with Companies and Contacts inside the platform aimed to reduce clicks and allow for more of those all-important business development conversations.
What's changed?
When viewing the activities table from a Company or Contact record you can now create smart views to setup & optimise your desired views. We have added:
Contact
Candidate
Job
Due Date
Goal / Activity
Task Category
Pin
Once you have selected your desired columns it makes it much easier to quickly and clearly see the activity / who it relates to / what the comments are without having to click into the quick view:
Alongside adding the new Contact / Job / Candidate columns we have also embedded this linked data into the activity summary. This allows you to see the relevant information clearly at a glance without the need to have separate Contact / Job / Candidate columns in your view:
We've also added the ability to search the summary notes directly allowing you to save time and quickly locate important events.

Don't forget if you need to quickly expand all of the activity records, you can do this by simply clicking the blue arrows expand button:
What does this change mean for me?
You can now quickly and easily setup your desired views including all the information you'd ever need to see in one table, save them using smart views, and filter and search everything within. This allows you to quickly see everything happening with your Companies & Contacts at a glance, without the need to click into different profiles.

✨ Shift Scheduler: Double trouble with your double booked staff? Not anymore.
This feature will warn recruiters of potential conflicts with existing shifts and/or placements allowing you to confidently place the right candidates at the right time, avoiding an accidental double-booking clash.
What's changed?
When booking Candidates to a shift, any Candidates with shifts and/or placement conflicts will be shown in a warning popup before proceeding to book. The system is letting you know that the Candidate (Gwen Stefani) has two overlapping shifts and prompting you to check this. If happy to proceed with the booking, simply check the box against the Candidates name and hit continue.
You can also cancel the booking if you need to go back to the previous page and check the details once more. You can also click through to the Job or Placement by clicking the blue ID numbers which will open them up in new tabs so you don't lose the screen below:
The scheduling conflict warning will appear for both individual Candidate bookings as above or multiple Candidate bookings (up to 25 Candidates at once), as below:
You can individually select the Candidates you wish to proceed with; or select all (up to 25 at once):
Note: One Candidate may have multiple conflicts like the example below.
What about auto-booking shifts?
For any shifts that are set to auto-book mode, when a Candidate accepts a shift via invitation (SMS/email) and the system detects a conflict at the time of accepting the shift, then the Candidate will not be auto-booked into the shift. Instead you will be able to see the following warning tag [SHIFT CONFLICT] against the Candidate inside the pre-booked window:
Note: The conflict will be checked at the date and time the Candidate accepts the shift, not when the recruiter sent out the email/SMS invitations to ensure real-time verification.
What defines a shift conflict 🚫
Conflict with another shift at the same date & time: any shifts overlapping by 1 minute or more is deemed a conflict
Conflict with a placement: unlike shifts, a placement only has start date and end date (no time), and so conflicts are checked solely based on those two dates, if a shift has a start and end date that overlaps with a placement with the same dates, this is deemed a conflict
FAQ: Why do I need to see shift and placement conflicts?
A Candidate may be placed in multiple jobs (placements) at a time but not all jobs will have shifts against them so the system double checks both to ensure the Candidate is free from any shifts and/or placements before allowing you to book them.
Note: Any Candidates that don't have a conflict will be successfully booked into the shift as per the standard booking process. The warning popup will only appear for Candidates where a conflict has been identified.
How do I enable this feature?
Vincere Super User/admins need to navigate to Settings > Shift Scheduler Settings > 2. Check Conflict Booking > toggle on the feature > hit save. This change will be applied for all shift scheduler users immediately:
What does this change mean for me?
A simple, yet powerful warning so you know if someone is either already in a shift or placement. It won't stop you as we know there are plenty of agencies out there who double book placements on purpose but will give you that piece of mind when booking Candidates in fast.
In addition, if you use auto match to fill your shifts, these unavailable people won't appear, so this is just another check point just in case you are filling with a name only. Vinny is doing all the checks and hard work in the background for you, to ensure you're placing the right candidates at the right time.
✨ Compliance: Auto expiring docs
This update allows users to set expiry dates on Candidate compliance docs e.g. DBS, Passport, Visa etc, which then automatically become un-compliant once the end date has passed.
What's changed?
This change refers to the requested docs and verified docs columns inside the Candidates/Applications table:
Documents will only count towards the progress bars as long as they have not expired i.e. this drivers licence has been submitted and approved on 06/10/2023 however the document has an expiry date of 02/10/2023. This will not count unless the expiry date is moved to a future date:
Now the expiry date has been moved to the future and approved/verified it counts for both requested docs and verified docs:
What does this change mean for me?
This feature ensures your compliance teams stay on top of the ever-changing world of compliance with automatically expiring documents. All you need to do to set this up is enable which doc types you’d like to track (Settings > Admin settings>Organisational> Doc types).
As long as you have added an expiry date to the document, Vincere will do the rest! As soon as the expiry date comes around, the document will automatically expire and your two compliance progress bars will update accordingly.

What does this change mean for me?
Although you may not be able to "see" these changes, you will definitely be able to "feel" them. These changes allow us to scale the platform, reduce clicks, create efficiencies, keep your data secure and continue to create an intuitive & modern system that you love to use.
