✨ You can now edit Smart Views

Users now have the ability to edit existing smart views without needing to create new ones, making it easier to update and customise your display columns quickly.

👉 What's New?

  • Save Button: You can now save changes to existing smart views directly from the column settings, making it easy to update your display preferences.

    • Simply make your changes and hit save, this will overwrite your current smart view.

    • "Save as" allows you to make changes and create a new smart view (thus not overwriting the current view)

  • Enhanced Permissions: Smart view owners can define who has the permission to edit the columns within a shared smart view, ensuring controlled access and consistency.

  • Effortless Updates: Modify the columns of a SmartView in use without having to recreate it from scratch.

  • Controlled Sharing: Share SmartViews while setting permissions for who can make edits, ensuring important views remain consistent.

  • Change Tracking: Easily track who made the latest modifications to shared SmartViews for better collaboration and accountability.

✨ Data Export: You can now export shift information

We’re excited to introduce the shift export feature to Vincere’s data export capabilities. This new addition allows you to effortlessly export detailed shift data, making it easier than ever to streamline your reporting and export shift-specific information. This is perfect for customers who need enhanced visibility into shift data and or/importing into a third-party payroll system.

👉 What's New?

  • New export option: The "shift data" dataset is now available in the data export section, enabling you to export shift data separately.

  • Easy Setup: Just like with the existing data export tool, you can configure the shift data export in three simple steps:

    • Step 1: Export Setup: Select the specific data fields you want to export.

    • Step 2: Export Schedules: Configure your export details and choose to run the export immediately or set it to run on a schedule.

    • Step 3: Export/Download List: Access and manage your export files with ease. You can also select the file type (CSV or XLSX) that suits your needs best, giving you greater flexibility in managing and exporting your shift data.

  • Payroll Calculation & Compliance: Exporting shift data ensures that payroll calculations accurately reflect employee work hours, helping you maintain compliance with labour regulations. This is crucial for minimising errors and adhering to local legislation.

  • Resource Planning & Scheduling: Analyse shift coverage, identify scheduling inefficiencies, and make data-driven decisions to optimise staffing. The Shift Data Export empowers you to manage resources more effectively, ensuring optimal coverage and productivity.

  • Enhanced Reporting: Integrate exported shift data with third-party systems for detailed reporting on labour costs, employee productivity, and shift patterns. Gain a more comprehensive view of workforce metrics to support strategic business decisions.

✨ Shift Scheduler: Default setting for auto bookings

We’ve added a new setting within the shift scheduler to give admin users greater control over auto booking for new shifts. Now, you can set a default mode for how candidates are booked for newly created shifts, streamlining the booking process and ensuring consistency.

  • New setting in shift scheduler settings: The candidate booking settings now offers two modes for booking candidates:

    • Autobook: Candidates who accept shifts via email are automatically booked.

    • Manual Book: Candidates who accept shifts are marked as “accepted” but are not automatically booked.

Note: By default, all existing and new customers will be set to Autobook. If the settings are changed by an admin user, the new option will apply only to newly created shifts after this change was made and won't retrospectively update pre-existing shifts.

The new default auto booking setting provides greater flexibility and convenience for your processes when candidates accept shifts. Whether you need candidates to be booked automatically or prefer a manual confirmation process, these settings allow you to tailor the shift booking workflow to better suit your unique operational needs.

💸 TimeTemp Updates:

✨ Enhanced timesheet navigation on mobile app

We’ve enhanced the TimeTemp mobile app’s timesheet functionality by allowing candidates to create and submit timesheets for placements that are no longer active.

Previously, candidates could only submit timesheets for active placements, which sometimes caused issues if timesheets were missed before a placement ended. With this update, candidates can easily access and complete timesheets for past placements, leading to more accurate and comprehensive time tracking.

👉 What's New?

Creating timesheets for placements that have finished:

  • If there is no active placement, the candidate will be prompted to select a placement.

  • A list of all placements for the current job will be displayed, showing each placement’s start and end dates and placement ID.

  • Candidates can choose a placement and see a calendar view where they can navigate to the specific week they need to add a timesheet.

  • When a week is selected, the timesheet period is highlighted, providing a clear view of the start and end dates for that timesheet period.

  • After selecting the timesheet period, candidates can proceed to the timesheet entry page to input their hours

Navigating between placement timesheets from timesheet entry page:

  • Simply tap on the timesheet period to view and jump directly to any timesheet period for any placement.

  • Previously, moving between timesheets required navigating one period at a time. This new modal enables faster, more efficient access to past entries.

  • Addressing Missed Timesheets: This update solves the challenge of missed timesheets for placements that have finished, ensuring all time entries can be submitted, even retrospectively.

  • Improved Usability: Candidates can now seamlessly create timesheets for any placement they have held, reducing administrative follow-up and enhancing the overall timesheet submission experience.
