Vincere Core Updates:

✨ Field-Level Security for Sensitive Candidate Data

You can now protect sensitive candidate information with field-level security controls, ensuring only authorized team members can view or edit confidential data.

👉 What's New

Mark Fields as Secured

Custom fields and UK onboarding fields can now be marked as "secured" in your Field Configuration settings, automatically masking sensitive data for unauthorized users.

Settings > Field Configuration > Candidate Fields > Custom Fields – toggle the "Secured Field" option for any custom field you want to protect.

Granular User Permissions

Control exactly who can view or edit secured fields through Settings > User Management > [Select User] > Permissions:

  • View sensitive data – allows viewing secured field values

  • Edit sensitive data – allows editing secured field values

Permission-Based Field Access

  • No Permission: Fields display as masked (••••) throughout the system, including exports. Users cannot search within or filter by secured field values.

  • View Only: See actual values but cannot edit (fields appear greyed out). Can search and filter by secured fields.

  • Edit Permission: Full access to view and modify secured data with full search and filter capabilities.

Preserved SmartViews and Search

Your existing SmartViews continue working seamlessly; secured columns simply display masked data for users without appropriate permissions. Column selections and saved views remain intact.

💡 Why It Matters

Strengthen data protection and GDPR compliance by restricting access to sensitive information like National Insurance numbers, banking details, DBS checks, and passport information.

Role-based security ensures finance teams can process payments, compliance officers can manage background checks, and recruiters can work effectively—all with appropriate access levels.

Maintain workflow efficiency while securing data—no disruption to existing SmartViews, searches, or team processes.

✨ Invoice Scheduling Now Available for Closed Retained Jobs

The Invoice Schedule button is now enabled for closed retained jobs, giving you flexibility to manage invoicing even after job closure.

👉 What's New

Access Invoice Schedules After Closure

You can now edit compensation tranches or add new invoices for retained jobs even when they're closed—simply access the Compensation & Fee section and use the Invoice Schedule button.

Complete Financial Workflows

Schedule final invoices, make adjustments, or set up follow-up payments without needing to reopen the job.

💡 Why It Matters

Streamlined billing workflows for retained search assignments where invoicing often occurs after job closure.

Greater flexibility and reduced complexity—manage all client payments and invoicing directly from closed jobs, especially useful when jobs cannot be reopened.

✨ Enhanced Email Template 14.5 with Additional Wildcards

Email template 14.5 now supports 10 additional wildcards, bringing it to feature parity with template 2.21 for more personalized invoice communications.

👉 What's New

Expanded Wildcard Support

Template 14.5 now includes:

  • #AccountName#

  • #CandidateLastName# and #CandidateFirstName#

  • #JobTitle#

  • #JobOfferDetails#

  • #CompensationInfo#

  • #PlacementBookFee#

  • #PlacementMarginPercentage#

  • #CompanyClientDetails#

  • #YourCompanyDetails#

Automatic Data Population

When sending invoices, wildcards automatically populate with the relevant information, with empty fields displaying appropriately based on your system configuration.

💡 Why It Matters

Reduce manual data entry and minimize errors with automated data population.

Create more professional, detailed invoice communications that include all relevant placement and compensation information.

Consistent functionality across invoice templates for a streamlined user experience.

Intelligence Updates:

✨ Sortable Job Site Location and Site Manager Fields in Temps & Contractors Active Drilldown

Two new sortable fields—Job Site Location and Site Manager—have been added to the Temps & Contractors Active Drilldown dashboard, making it easier to organize and manage workers across multiple sites.

👉 What's New

New Sortable Columns

The Active Drilldown now displays:

  • Job Site Location – the physical location where temps or contractors are placed

  • Site Manager (Report to) – the contact person responsible for the placement

Alphabetical Sorting

Click either column header to sort alphabetically (A–Z or Z–A), helping you quickly batch and organize placements by location or manager.

Export-Ready Data

Both fields are included in exported data, maintaining consistency between your dashboard view and offline analysis.

💡 Why It Matters

Streamlined multi-site management when overseeing workers across various locations—organize placements in logical batches for easier coordination.

Efficient communication planning by quickly identifying all workers reporting to a specific site manager, enabling batch status updates or targeted outreach.

Better operational visibility without manual filtering or switching between multiple system views.

✨ Intermediaries Report: Invoice Date-Based Period Inclusion

The Intermediaries Report now determines which temp workers appear in each reporting period based on invoice dates rather than placement end dates, improving compliance accuracy for UK quarterly submissions.

👉 What's New

Invoice Date Logic

Workers are now included in the reporting period when their invoices are issued, not when their placements end—ensuring accurate reflection of actual financial activity.

Correct Period Assignment

Workers whose placements end in one quarter but are invoiced in the following quarter now appear in the correct tax period automatically.

Reduced Manual Corrections

No more manual adjustments needed when handling placements that end near quarter-close dates.

💡 Why It Matters

Improved HMRC compliance by aligning reporting with actual payment activity rather than contractual end dates.

Eliminate compliance gaps created by timing differences between placement endings and invoice issuance.

Audit-ready reporting with consistent, invoice-based inclusion logic that supports regulatory requirements.

✨ Intermediaries Report: Automatic Exclusion of Zero-Amount Records

The Intermediaries Report now automatically excludes candidates with zero amounts paid, eliminating manual data cleaning before HMRC submissions.

👉 What's New

Automatic Filtering

Candidate records where "Amount paid for the worker's services" equals zero are automatically excluded during report generation.

Ready-to-Submit Reports

Export reports that are immediately ready for HMRC portal submission without manual review or data removal.

Streamlined Workflow

No more manual identification and removal of zero-amount records before submission.

💡 Why It Matters

Save time by eliminating manual data cleaning steps before quarterly submissions.

Improve submission accuracy by ensuring only valid, paid-worker records are included.

Reduce compliance risk from manual oversight or incorrect data submissions.

✨ Intermediaries Report: Automatic End Date Clearing for Extended Placements

The "End date of engagement" field now automatically clears when a placement extends beyond the tax period, ensuring HMRC compliance without manual adjustments.

👉 What's New

Intelligent Date Handling

When a placement's end date falls after the reporting period, the system automatically displays the field as blank in the Intermediaries Report.

Compliant by Default

Placements ending within the tax period continue to display their end dates normally—only extended placements are affected.

No Manual Corrections Needed

Reports are automatically HMRC-compliant and ready for direct submission.

💡 Why It Matters

Automatic HMRC compliance without manual intervention or post-processing.

Submission-ready exports that meet regulatory requirements immediately.

Reduced risk of compliance gaps caused by manual errors or oversight.

Work more efficiently without manual lookups, profile switching, or opening individual contact records.

✨ Refined Job Fields in Goals & User Engagement Drill-Down Logs

👉 What's New

New Fields Added
