How to set your User Settings (setting default views, personal information, email and organizational settings)

Learn how to set up your User Settings, including default views, personal information, email configurations, and organizational settings.

⭕ Personal Information

Ensure to fill in all required fields:

  • Profile Picture: Add a recognizable photo.

  • Name: Include your First and Last name.

  • Job Title: Clearly state your role.

  • Phone: Provide a direct contact number.

  • Ext: Include any extensions.

  • Email Signature: Craft a professional sign-off.

You can change your password in User Settings:

  • Click on 'Change Password' and follow the step-by-step instructions. For additional help, click here.

⭕ Organizational Settings

This section lets you manage Brands, Branches, Divisions, and Teams. Customize your user settings to reflect your organization’s structure.

⭕ Personal Settings

Configure your personal settings, such as:

  • Location: Sets the default country code for phone numbers.

  • Town/City: Sets your default location.

  • Currency: Defines the default currency for jobs and intelligence reports.

  • Timezone: Sets your default time for meetings and tasks.

  • Date Format: Choose your preferred date format.

  • Display Language: Select a default language for Vincere (English, German, Dutch, etc.).

  • Default Measurement: Choose between miles or kilometers for radius searches.

📌 Important Note: Changing your default currency won’t affect existing jobs.

Vincere offers customizable options to suit different workflows:

🎯 Default Job Filters

Customize your job table view by selecting the default filters you prefer to apply.

  • Begin by choosing the filter you want to be included in the default view of your job ATS.

You can also set a default filter for job owners. Perhaps you'd like to view all the jobs your team is working on, in addition to your own - Alternatively, you can opt to see only the jobs personally owned by you.

Lastly, you can set a default filter by Job-created date. Take advantage of these filters to increase your effectiveness.

🎯 Default Candidate Filters

Set your preferred candidate view—whether you want to see all candidates, yours, or your team’s.

🎯 Default Landing Page

Customize your default landing page when logging in to Vincere.

🎯 Default Views

Define which tabs should show first when opening candidate profiles, quick views, or welcome pages.

  • Candidate Profile: When you open a candidate’s profile, you can see one of these tabs as the first page showing on the profile.

  • Candidate Quick View: When you click on Quick View, this will be the first page that you will see.

  • Welcome Page: Customize your welcome page here. You can choose to see your planner, training activities, or your stats.

🎯 Search Preferences

A. Quick Search

As a user, you can set a Search preference: Exact or Relative.

  • Exact Search will add double quotes to your search terms and give you a precise match. With this setting, the double quotes will be added to your search terms by default.

  • Relative Search is the default setting. With this selected, your search terms will pull up exact as well as related search results.

B. Advanced Search

You have two options in this section, You can use our newly created advanced search or if your more comfortable with it, the older version.

🎯 Automatic BCC Setting for Bulk Emails

You have the option to disable the automatic BCC of your email address when sending emails in Vincere. This provides greater flexibility in managing how you receive email copies, helping to reduce inbox clutter.

Where is this applied?

This setting specifically applies to:

Email Template 6:

Bulk emails to candidates

Email Template 7:

Bulk emails to contacts

  1. Email in candidates stage -> Candidates

  2. Email in Shortlisted candidates stage -> Candidates

  3. Email in Resumes Sent stage -> Candidates

  4. Email at 1st Interview stage -> Candidates

  5. Email at 2nd+ Interview stage -> Candidates

  6. Email in Advanced Search -> Candidates

  7. Email in Taskboard -> Candidates & Contacts

  8. Email at Offer stage -> Candidates

  9. Email at Placements stage -> Candidates

  10. Bulk reject -> Candidate

  1. Email all stages in CRM -> Contacts

  2. Email in Advanced Search -> Contacts

  3. Email in Tasks -> Contacts

📌 Note: If you perform any email action outside these specified templates, this setting will not apply. The automatic BCC will remain enabled by default.

🎯 Sync new tasks to the connected email calendar

In this section, you also have the option to control task syncing.

  • You can decide whether new tasks in Vincere are automatically synced to your connected email calendar (e.g., Google Calendar, Outlook) or kept local to Vincere.

📝 Note: By default, the setting will be ON. This means new tasks created will be synced to the users' connected email calendar unless the user toggles them off from user settings.

💡 Workaround for Other Email Actions

If you need to disable BCC for any other email action, you can manually remove the BCC before sending.

  • Simply click the "x" button in the BCC section to prevent your email address from being copied.

Example: You can not disable automatic BCC when floating candidates to multiple contacts, if you wish to avoid a BCC to yourself, click the "x" to clear the BCC field.

How does it work?

  • When Enabled: The automatic BCC feature is turned on for all existing users, so the BCC field will automatically contain your registered email address, and you will be BCC'd on every bulk email.

  • When Disabled: The BCC field will be hidden and no copy of the email will be sent to you.

How to Disable Automatic BCC?

You can manually disable this setting by going to User Settings > Disable Automatic BCC > Once done, click on Save.

Even if your email isn't connected to Vincere, the registered email will be used as the default BCC address.

🤩 Use Cases:

  • Reducing Inbox Clutter: For users who regularly send bulk emails and prefer not to receive BCC copies.

  • Enhanced Email Management: Allows for better control over which emails you receive, improving email organization and productivity.

  • Customizable Preferences: Provides users with the flexibility to configure BCC behavior to suit their workflow.

📌 Important Notes:

  • Default Setting: ON for all users.

  • Available to All Users: The setting is visible and applicable to all users, regardless of email connection status.

  • Customization: You can toggle the automatic BCC on or off for email templates 6 & 7 in your User Settings.

⭕ Email Sync Options

Choose one of two email sync options:

  • All Emails: Syncs your Inbox, Sent items, subfolders, and labels.

  • Inbox & Sent: Syncs only your Inbox and Sent items, excluding subfolders.

⭕ Email Signature

Here, you can customize and create your email signature.

📌 Important note: If you need to input any non-textual information, such as pictures or links, please utilize the provided buttons below:

👉 Fill in the necessary information then Click Save.
