How to Manage Contract Extensions and Renewals in Vincere

Managing contract extensions and renewals is essential for maintaining accurate records of candidate placements. In Vincere, these functions are straightforward, but it's important to understand when to use each one.

⭕ Contract Extensions

Purpose: Extend the placement's end date while keeping the same rates.

  • How to Extend:

    1. Go to the Placement table view in Vincere.

    2. Select the placement you wish to extend.

    3. Click on the End Date and choose a new future date from the calendar.

⭕ Contract Renewals

Purpose: Extend the placement's end date with a different rate.

  • How to Renew:

    1. Navigate to the relevant Placement.

    2. Click the Actions button.

    3. Select Renew Contract from the dropdown menu.

    4. Enter the new rates for the renewal period.

⭕ When to Use Renewals vs. Extensions

To help you decide whether to use a renewal or an extension, here are some guidelines:

Contract Extensions

Contract Renewals

  • When to Use: When you need to add more days to a contract while maintaining the same rates.

  • When to Use: When you need to add more days to a contract but with a different rate.

📌 Important Notes:

  • Active Placements Only: Extensions and Renewals can only be applied to active placements. If a placement is no longer active, these options are not available.

  • Handling Inactive Placements: If you need to place a candidate again for the same company and job but their previous placement is no longer active, create a new job and place the candidate again. This approach ensures accurate tracking of the candidate's work history.

⭕ Creating a New Job for a Candidate

If you encounter a situation where extending or renewing an inactive placement isn't an option, you can simply create a new job. For convenience, you can use the Copy Job function:

  1. Copy Job Function:

    • Navigate to Quick Add a Job > Copy Job

    • Use the Copy Job feature to duplicate the job details quickly.

    • Place the candidate in the newly created job.

This method ensures that your records remain accurate and reflective of the candidate's work history with the company.
