Candidate Table View

Learn how to search, filter, sort, and save layouts in the candidate table using Smart Views, Talent Pools, and table filters.

The candidate table helps you work quickly in the Candidates area so you can find the right people, keep track of your pipeline stages, and reuse layouts for different workflows such as compliance checks or activity reviews.

Important: Some options, such as PUBLIC Smart Views, Talent Pool management, and certain fields or filters, depend on your organisation’s configuration and your user permissions.


Use the Candidate Table View

  1. Go to Candidates on the left-side menu to open the candidates table view.

  2. Review the main areas in the view.

    • Pipeline summary bar: Shows counts by pipeline stage such as Candidates, Applications, Shortlisted, Sent, 1st Interview, 2nd+ Interview, Offers, Placed, and Renewals.

    • Search table: Lets you quickly search within the current table.

    • Smart Views / Columns: Opens the panel where you can choose which columns to show and save layouts as Smart Views.

    • Talent Pools: Opens the Talent Pools panel so you can apply and manage candidate pools directly from the table.

    • Table filters: Opens structured filters for date ranges, job types, ownership, and more.

    • Candidate list: Shows rows of candidates with configurable columns such as Candidate, Current Job Title, Stage (Highest), Town/City, Country, Candidate Owner, and any available Custom field entries.


View the Pipeline Summary

The pipeline summary at the top of the candidate table gives you a quick snapshot of how candidates move through your recruitment process.

  • Look at the stage tiles in the top bar, such as Candidates, Applications, Shortlisted, Sent, 1st Interview, 2nd+ Interview, Offers, Placed, and Renewals.

  • Compare the counts between stages to spot bottlenecks, for example a high number of Sent candidates but a low number of Interviews.

🤓 Tip: Use the pipeline summary as a quick health check before you start filtering or reviewing candidates so you know where to focus.


Search the Candidate Table

Use Search table when you want to find a specific candidate or narrow down the list without setting up filters.

  1. Click Search table above the candidate list.

  2. Type a keyword, such as a candidate name, job title, or other detail you remember.

  3. Review the filtered results in the table to see whether the candidate already exists in your database.

  4. Clear the search text if you want to return to the full list.

Use this for quick, one-off lookups rather than structured reporting.


Use Smart Views

Smart Views let you save table layouts so you can switch between different column setups in one click.

Open Smart Views

  1. Click the Table views & Configuration icon on the table toolbar.

  2. In the panel that opens, select the SMART VIEWS tab.

  3. Use the list and PRIVATE / PUBLIC options to find the view you want.

  4. Click a Smart View name to load it when the page refreshes.

Understand Private vs Public Smart Views

  • Private Smart Views: Only you can see and use these layouts.

  • Public Smart Views: Shared views that other users can see, depending on your system configuration and permissions.

Update an Existing Smart View

  1. Click the Table views & Configuration, then select the COLUMNS tab.

  2. Tick or untick the columns you want to change in the current layout.

  3. Click Save to update the currently selected Smart View with your changes.

Create a New Smart View

  1. Click the Table views & Configuration, select the smartview you wish to update.

  2. Then click on the COLUMNS tab, choose the columns you want to include in the new layout.

  3. Once done, click Save, or if you want to make a new one, click Save As.

  4. Enter a name for the new Smart View, then confirm to save it.

📌 Note: If you do not click Save or Save As, your column changes may only apply temporarily and will not be stored as a Smart View.


Customise Candidate Table Columns

Use the COLUMNS tab to control which fields you see in the candidate table.

  1. Click the Table views & Configuration on the table toolbar.

  2. Select the COLUMNS tab.

  3. Use the Search column name box if you need to find a field quickly.

  4. Tick the fields you want to show, then untick the fields you want to hide.

  5. Click one of the following options:

    • Save to update the current Smart View.

    • Save As to create a new Smart View with this column setup.

    • Reset to revert to the previous or default configuration.

📌 Note: Some options appear as Custom field, which are fields created by your organisation. The set of available columns can vary based on your system configuration and permissions.


Work with Talent Pools from the Candidate Table

Talent Pools let you group candidates into reusable lists such as silver medalists, specific skill sets, internal shortlists, or future pipeline groups.

Open the Talent Pools Panel

  1. Click the Talent Pools icon on the table toolbar.

  2. Use the PUBLIC and PRIVATE tabs to switch between shared pools and your own pools.

Find and Manage Talent Pools

  1. Use Search Talent Pools or Owners to find a pool.

  2. Click the + button to create a new Talent Pool if you have permission.

  3. Use the icons on the right of each pool (where available) to:

    • Pin or favourite a pool.

    • Edit pool details.

    • Delete a pool.

Important: If you cannot see the edit or delete icons for a Talent Pool, or they do not work, it is usually due to permissions or ownership settings. Contact your admin if you need additional access.


Filter Candidates with Table Filters

Use Table filters to apply structured filters instead of relying only on free-text search.

Open Table Filters

  1. Click the Table filters icon on the table toolbar.

  2. You have the option to turn on and off the Pipeline via the PIPELINE VIEW field.

  3. Use the tabs such as Jobs, Candidates, and Applications to choose which part of the pipeline you want to filter.

Common Filters You Can Apply

Examples of filters you may see include:

  • Candidates: All Candidates or My Candidates.

  • Created date: Options like This Week, Last Week, This Month, Last Month, This Quarter, Last Quarter, This Year, Last Year, or financial year ranges.

  • By Job Type: Options such as Permanent, Interim/Project Consulting, Temp, Contract (fixed duration), and Temp-To-Perm.

  • Additional filter: Hide archived candidates so you only see active records.

Apply or Reset Filters

  1. Open Table filters and select the criteria you want to use, for example Created date set to This Month.

  2. Click Filter to apply the selected filters to the candidate table.

  3. Review the filtered results.

  4. Click Reset if you want to clear all filters and return to the default view.


Sort the Candidate List

Sorting helps you scan large candidate lists quickly.

  1. Click a column header, such as Candidate, to sort the table by that column.

  2. Click the same column header again to toggle the sort order.

📌 Note: Sorting behaviour can vary depending on your system configuration and which table you are viewing.

🤔 FAQs

Q1: Can I save my customised column layout?

  • Answer: Yes. Use Smart Views by opening Smart Views / Columns, selecting the COLUMNS tab, ticking the fields you want, then clicking Save As to create a new view or Save to update the current one.

Q2: Can I share a view with the team?

  • Answer: If your system supports shared layouts, use PUBLIC Smart Views so other users can access them, noting that availability depends on your permissions and configuration.

Q3: Why can’t I edit or delete a Smart View or Talent Pool?

  • Answer: This is usually due to permissions or ownership, so if you do not see the edit or delete options or they do not work, you should contact your admin to confirm your access level.

Q4: Can I hide archived candidates?

  • Answer: Yes. Open Table filters, then enable the Hide archived candidates option (where available) to remove archived candidates from the table.

Q5: Can I save my customized column layout?

  • Yes! Use Smart Views to save and switch between different column arrangements.

Q6: Does sorting work on all tables?

  • Currently, sorting is only available in the Candidate Table View but will expand soon.

Q7: Can I bulk edit or archive from the table?

  • This feature may vary depending on your permissions. Check with your admin or refer to your permissions settings.
