All you need to know to start using SignRequest in Vincere

⭕ Configuring SignRequest in Vincere

To configure SignRequest, go to Settings > Marketplace and click the SignRequest tile. Then, select the Additional Configurations tab, where you can adjust:

  • Signatories: Add users in Vincere who will sign the documents sent to clients or candidates. Select users by clicking the Signatories box and choosing from the dropdown.

  • Automatic Placements:

    • Workflow 1: Automatically move the candidate to Placed stage when document is signed by all signatories.

    • Workflow 2: Send an email with contract information to the job owner and the specified accountant upon placement.

⭕ Setting Up Emails & Contract Templates

🎯 Email Templates:

If you want to see the pre-configured templates or set up yours as they are available for customization please follow the steps below: ⬇️

  1. Navigate to Settings > click on Email Templates

  2. Look for Number #17 which includes all the templates for SignRequest Integration

  3. Once done, please click on Save.

🎯 Contract Templates:

Configure candidate and client contract templates in Settings > Document Builder. Use wildcards (merge fields) to auto-populate data in contracts.

⭕ Using SignRequest to Send Offer Letters

📧 Sending Offer Contracts to Candidates

From the Offer Chevron or Job Pipeline:

  • Click on the candidate that you wish to send > Click on the Actions button > click on Send Offer to Candidate, review the details

📧 Sending Contract Documents to Clients

From the Contacts page:

  • Select a contact, click Actions > Send Document. You can also access this from the Contact's Quick View or Profile under the Actions button.

🎯 Steps to Send via SignRequest

  • Step 1: Choose Send with SignRequest email only.

  • Step 2: Preview the document, and make edits if needed.

  • Step 3: Confirm signatories.

  • Step 4: Send when ready.

⭕ Tracking the Contract Status

Once sent:

  • Candidate Offer Contracts: Track under the Candidate Offer page.

  • Client Documents: Navigate to Show More Menu > File Library > SignRequest Tab

⭕ Receiving Signed Contracts

When all parties sign:

Both you and the candidate/client will receive a final email with:

  • The signed document.

  • A digital certificate proving document integrity with IP info & timestamps.

📝 Note: Please note that the final email & documents will only be made available after all designated signees have signed the document.

  • If you have signed but haven't received a copy yet then there still is another signee that needs to sign.

⭕ Document Storage and Search

Signed documents are stored in:

  • Candidate File Tab: For offer contracts.

  • Contact File Tab: For client documents.

  • SignRequest tab in File library: Use filters to view details.

All documents are consolidated in the File Library with search and filtering options.
