Move a Contact to a New Company

Move a contact to a different company when they change employer, while reassigning their existing responsibilities and working data.

When you move a contact, their working data can be reassigned to another contact in the old company. This includes Jobs, Applications, Timesheets, and Placements. If the contact is linked to a candidate, the candidate’s job history is also updated with the new company information.

āš ļø Important: If the contact is an approver in TimeTemp, check the TimeTemp setup before moving or recreating the contact. Each approver email address must be associated with only one company.

Move the Contact

  1. Select the contact, then click Move to new company from the actions list.

  2. Search for the new company in the search field, then update any applicable fields.

  3. Select the contact in the old company who will take over the responsibilities.

  4. Complete the move.

šŸ“Œ Note: The new company must already exist in Vincere. If it is a new company, create it before moving the contact.


Reassign Responsibilities

When you move the contact, you must choose another contact in the old company to take over their responsibilities.

  1. Select the contact who will take over the responsibilities.

  2. Confirm the reassignment.

Jobs, Applications, Timesheets, and Placements will be transferred to the selected contact in the old company.


Update the Contact in TimeTemp

If the contact is used as an approver in TimeTemp, additional steps are required.

  1. Move the contact in Vincere.

  2. Verify in TimeTemp that the contact no longer appears under the old company.

  3. Create a new placement under the new company in TimeTemp.

  4. Assign the contact as the approver in TimeTemp to trigger the sync.

If the old contact is an approver in TimeTemp, TimeTemp will also send a message to inform the new approver of the change.


Resolve TimeTemp Send and Sync Errors

TimeTemp requires each approver email address to be associated with only one company. Using the same approver email across multiple companies can cause send and sync errors.

  1. Create an email alias for the approver for the additional company. For example, use FIRSTNAME.LASTNAME+1@DOMAIN.

  2. Assign the alias as the approver email for the additional company.

  3. Ask the approver to use the alias when logging in to approve timesheets.

šŸ“Œ Note: Notifications sent to the alias will still arrive in the same inbox.


Move the Only Contact in a Company

If the contact is the only contact assigned to the company, create another contact before moving them so their responsibilities can be reassigned.

  1. Create a dummy or new contact profile in the existing company.

  2. Reassign the responsibilities to that contact.

  3. Move the original contact to the new company.


Reassign Approvers to a Different Company

To disconnect approvers from one company and configure them under another company without breaking their TimeTemp links:

  1. Update the approver email address on the contact in the old company to a placeholder address such as USERNAME@nomail.com.

  2. Create a new contact profile for the approver under the target company using their real email address.

āš ļø Important: Do not delete the original contact or move it to the new company when following this process, as this will not remove the TimeTemp connection correctly.


Best Practices

  • Ensure each approver email address is unique to one company in TimeTemp.

  • Use email aliases when the same approver needs to work across multiple companies.

  • Avoid deleting contacts or moving approvers between companies without following the required TimeTemp process.
