How to Close and Reopen Jobs in Vincere

This guide explains how to close, reopen, and track jobs in Vincere correctly. Understanding the difference between the various job status fields is crucial to ensure your jobs are accurately reflected both within Vincere and on your external job boards.

Understanding Key Fields

  • OPEN/CLOSED JOB Field: Controls whether the job is operational. Marking it as Closed stops recruitment activity and removes the job from job boards.

  • Status Field: Used for internal tracking; does not affect job visibility.

  • Sourcing Status Field: Reflects candidate sourcing progress but does not close the job.

📌 Important:

Changing only the Status or Sourcing Status to “Closed” does not close the job. Use the OPEN/CLOSED JOB field or the Close Job action to officially close it.

  • When a job is officially closed, Status and Sourcing Status fields automatically sync to reflect the change for consistency.

How to Close a Job

  1. Go to Jobs in Vincere.

  2. Select the job you want to close.

  3. Click Actions, then choose Close.

  4. Provide a reason for closing the job.

  5. Decide whether to:

    • Reject active candidates.

    • Cancel interviews with candidates and contacts.

    • Send a thank-you letter to rejected candidates.

  6. Click Save to confirm.

💡 Pro Tip: You can close multiple jobs in one click!

  • Simply select all the jobs you want to close, go to Actions, then click Close.

📌 Additional Note:

Once a candidate is successfully placed and the job headcount is met, Vincere automatically closes the job and removes it from your Job Portal.

Bulk Close Jobs

To close several jobs at once:

  1. Select the Open jobs you want to close.

  2. From the action list, choose Close.

  3. Enter the closing reason.

  4. Choose if you want to reject active candidates or send a thank-you letter.

  5. Click Save to confirm.

All these actions are logged automatically in the job’s activity history.

How to Reopen a Closed Job

If you need to place additional candidates, Vincere allows you to reopen a closed job easily:

Option 1:

  1. From the Job Table View, select a closed job.

  2. Click Actions, then choose Reopen.

  3. Update the headcount as required.

  4. Click Save to confirm.

Option 2:

  1. Open the Job Profile.

  2. Click Actions, then choose Reopen.

  3. Update the headcount, then click Save.

📋 Note:

  • The new headcount must be greater than the number of currently placed candidates.

  • Retained jobs that are fully placed cannot be reopened.

💡 Pro Tip:

There is no headcount limit — you can place as many people as needed!

Bulk Reopen Jobs

To reopen multiple closed jobs:

  1. Select all closed jobs by ticking their checkboxes.

  2. Click Reopen Job.

  3. Adjust the headcount for each job as needed.

  4. Click Save to finalize.

📌 These actions will automatically appear in each job’s activity log.

Tracking and Filtering Closed Jobs

To Track Closed Jobs by Date:

  1. Add the Closed Date column in the Job Table View.

  2. The Closed Date updates automatically when:

    • A job reaches full headcount.

    • A job is manually closed.

    • The current headcount is modified.

📋 Note:

If a job is reopened, the Closed Date field will appear blank.

  • 👉 To filter, use the Closed Date column and enter a specific date range.

To Filter Closed Jobs:

You can view only closed jobs using one of the following options:

  • Apply the Closed Jobs filter in the table view.

  • Add the Open/Closed Job column and filter by “Closed.”

  • Filter by “Closed” in the Status column.

💡 Best Practices

  • Always use the Close Job action to officially close jobs, not just the status field.

  • Review headcount before closing or reopening to avoid inconsistencies.

  • Use bulk actions to save time when managing multiple job closures or reopenings.

  • Keep the Closed Date column visible to monitor activity and reporting accuracy.

Q1: Why didn’t my job close after updating the Status field?

  • Answer: The Status field is for internal organization only. You must use the OPEN/CLOSED JOB field or Close Job action to officially close a job.

Q2: Can I reopen a retained job that’s fully placed?

  • Answer: No, retained jobs that have been fully placed cannot be reopened in Vincere.

Q3: What happens to my job advert after closing a job?

  • Answer: Once a job is closed, the advert is removed entirely from your Job Portal, including expired links.

Q4: Will closing a job affect candidates already placed?

  • Answer: No, closing a job does not affect already placed candidates. Their records remain unchanged.
