Bulk Import Resume/CV

Learn how to bulk import resumes or CVs, enable auto parsing, and review upload statuses such as Parsed, Duplicate found, and Missing Email.

This article explains how to upload multiple resumes or CVs in one place, parse them into new candidate records, and review the status of each uploaded file.

📌 Note: Uploaded documents are kept for 90 days or until they have been parsed into the system. Import sessions are also kept for 90 days.


Bulk Import and Parse Resumes

  1. Go to Settings, then click on Data Import.

  2. Open the import page, then click Start in the Import Résumés panel.

  3. On the Bulk Auto Parse page, select Enable auto parsing if you want uploaded files to be parsed automatically into new candidate records.

  4. Drag and drop files into the upload area, or click click to upload and select the files from your device.

  5. Upload files in one of the supported formats: ZIP, DOC, DOCX, XLS, XLSX, RTF, TXT, or PDF.

  6. Review the uploaded files in the table below the upload area.

  7. Check the Status column for each file, then use the available action in the Actions column.

  8. Click Parse for files that still need processing, or click View for files that already show Parsed.


Check Import History

  1. Return to the main import page to open the Import history section.

  2. Review the history table to see the Date Time, File Name, User, Entity, Status, Details, and Actions for each import session.

  3. Check the Status column to see whether a session is Incomplete, Finished, or Reverted.

  4. Use the available actions for each session, such as Resume, Undo, or Delete, depending on its current status.

Common Issues and Fixes

Permissions Issue

  • Check if your user account has Data Import permissions.

  • If not, contact your System Administrator to request access.

  • Retry the import after permissions are updated.

File Upload Problems

  • Try uploading the file in Incognito Mode to rule out browser issues.

  • If the upload works in Incognito, clear your browser cache in your regular window.

  • Re-save the file: Open the original document, save it again, and retry the upload.

  • Ensure file is in a supported format (ZIP, DOC, DOCX, etc.).

  • Confirm you're using the latest browser version (Google Chrome preferred).

Best Practices

  • Upload files only in supported formats.

  • Review the Status column after each upload so you can quickly identify files marked Parsed, Duplicate found, or Missing Email.

  • Include an email address in each resume where possible to reduce files flagged with Missing Email.

  • Use Import history to track previous sessions and continue incomplete imports when needed.


FAQs

Q1: What happens if a resume does not contain an email address?

  • Answer: Vincere cannot determine whether the candidate is a duplicate, so manual review is required.

Q2: Can I upload more than 500 resumes in one go?

  • Answer: No. The maximum limit is 500 resumes per batch.

Q3: Why do I need to use a ZIP file for 100 or more resumes?

  • Answer: The ZIP format helps ensure a smoother upload and reduces the risk of upload failure due to browser limitations.

Q4: What if a resume is already in the system?

  • Answer: It will be marked as Duplicate found and will not be re-imported.

Q5: What browser works best with the import feature?

  • Answer: Vincere is optimised for Google Chrome, but it also works with Microsoft Edge.
