Configuring Candidate Sources

Learn how to set up, edit, and manage Candidate Sources in Vincere to track where candidates come from, analyze source performance, and maintain consistency across your recruitment workflows.

Candidate Sources in Vincere help you track where candidates originate and assess the performance of each source throughout the recruitment process. These sources also appear in the Source dropdown menus for contacts, maintaining consistency across Vincere’s workflows.

  • This information allows you to make informed decisions about advertising spend, effort allocation, and recruitment efficiency. Setting up Candidate Sources can be done by your Vincere Super Users.


Set Up or Edit Candidate Sources

Follow these steps to configure or modify Candidate Sources:

  1. Go to Settings, then click Admin Settings.

  2. Under the General Settings category, select Organizational Settings.

  3. Click Application / Candidate Sources.

  4. To add a new source, click Create a new source in the top-right corner.

  5. Complete the following details:

    • Name: Enter the name of the source (for example, The New York Times).

    • Location: Choose the office location using this source (for example, New York or All Locations).
      📌 Note: You can configure office locations in Settings, then click Group, Tags, and Location.

    • Start/End Date: Add campaign dates. For ongoing sources, set a distant end date (for example, 31 Dec 2028).

    • Show in Candidate Source List: Enable this to display the source in dropdown menus when adding candidates.

    • Show on Instant Job Board: Enable this to display the source on your job board or website for candidate self-selection.

  6. Once all details are complete, click Save.

You’ve now successfully configured your Candidate Sources. These will automatically appear in candidate and contact records across Vincere.


Manage Candidate Source Codes

When you attempt to delete a Source Code, the system will prompt you to move any associated candidates or contacts to a new Source Code.

  • You will see a confirmation window asking:

There are existing jobs and/or users associated with this candidate source. Which candidate source would you like to move them to?

📌 Note:

  • Standard Source Codes under the App source type are fixed and cannot be deleted.

  • Other Source Codes can be deleted, but any linked records are reassigned to the selected replacement source.

Important: Deleting a source has no other impact beyond this reassignment.


Make the Contact Source Field Mandatory

To make the Source field mandatory in Contact records:

  1. Go to Settings, then click Field Configuration.

  2. In the top-left dropdown, select Contact Fields.

  3. Search for Source using the search bar.

  4. Tick the checkbox under the Mandatory column.

This ensures all users must select a Source when creating or editing a Contact.

  • Review your Candidate Sources quarterly to keep them up to date.

  • Use consistent naming conventions across offices.

  • Archive outdated campaign sources instead of deleting them for accurate historical reporting.

  • Test changes in a sandbox or demo environment before making global updates.

Q1: What happens when I delete a Source Code?

  • Answer: The system prompts you to move all associated candidates or contacts to another Source Code. You must choose a replacement before deletion can proceed.

Q2: Can I delete standard Source Codes?

  • Answer: No. Standard Source Codes with Source Type: App are fixed and cannot be deleted.

Q3: Where can I view performance insights for Candidate Sources?

  • Answer: You can analyze source performance using the Candidate Sources Dashboard in Vincere.
