Set Up and Manage Sub-Statuses

Learn how to configure, use, and display Sub-Statuses to track candidates at every stage of your recruitment pipeline.

Sub-Statuses give you a more detailed view of exactly where each candidate sits within your application pipeline. Rather than seeing a broad stage like "Interviews", you can drill down further β€” for example, to see which candidates are at the 2nd Interview, Phone Interview, or Background Check stage specifically. Sub-Statuses are fully customisable to match your company's workflows and business processes.

⚠️ Important: Sub-Statuses apply to candidates only and are available from the Application stage onward (Application, Shortlist, Sent, Interviews, Placed, Renewals, and similar stages).


Set Up Sub-Statuses

  1. Go to Settings, then click Admin Settings and select Organisational Settings.

  2. Click the Edit button to open the settings, then click the Sub-Status tab.

  3. Click the Create New Sub-Status button at the top right of the screen to add a new Sub-Status.

Sub-Status examples

To help you get started, here are some common Sub-Statuses used by recruitment teams:

  • Active Contractor

  • Phone Interview

  • Video Interview

  • 3rd Interview

Bulk update candidate Sub-Status

You can update Sub-Statuses individually or in bulk directly from the Candidate table view.

  1. Go to the Candidate table view, then select the candidates you want to update.

  2. Click Update Sub-Status, then choose the Sub-Status you want to apply.

  3. Click Save to apply the change.

⚠️ Important: The bulk update function only works when you are in an active application stage β€” for example, Application, Shortlist, Sent, Interviews, Placed, or Renewals.


Display Sub-Statuses in Livelist

You can add a Sub-Status column to your Livelist so your team has full visibility of candidate stages at a glance.

  1. Go to Settings, then click Admin Settings and select Livelist Settings.

  2. In the LiveList Settings panel, scroll to item 11 β€” Show Candidate Sub-status.

  3. Toggle the setting on to enable the Sub-Status column in your Livelist.

  4. Click Save to apply the change.

Best Practices

  • Create Sub-Statuses that reflect the real stages your team uses, rather than generic labels, to keep your pipeline data meaningful.

  • Review and tidy up your Sub-Status list periodically to remove outdated or unused statuses.

  • Use the bulk update feature when moving multiple candidates through the same stage to save time and keep your data consistent.

  • Enable the Sub-Status column in Livelist so your team can see candidate stages without needing to open individual records.

Q1: Can I use Sub-Statuses for contacts or jobs, not just candidates?

Answer: No. Sub-Statuses are designed for candidates only and are available from the Application stage onward.

Q2: Is there a limit to how many Sub-Statuses I can create?

Answer: There is no fixed limit β€” you can create as many Sub-Statuses as your business requires. If you experience any issues, request human assistance through the chat messenger.

Q3: Why is the bulk update option not available for me?

Answer: The bulk update function only works when you are viewing candidates within an active application stage such as Application, Shortlist, Sent, Interviews, Placed, or Renewals. Make sure you are in one of these stages before attempting a bulk update.

Q4: Will Sub-Statuses I create apply to all users in my workspace?

Answer: Yes. Sub-Statuses are configured at the admin level and are available to all users in your workspace once created.
