This article explains how to undo or remove a candidate application at different stages of the recruitment workflow. Knowing the right steps at each stage helps you maintain accurate records and avoid unintended changes to timesheets, contracts, and invoices.
Undo or Remove a Candidate Application
Remove an Application at the Shortlisted to Interview Stages
Once a candidate is shortlisted, they are linked to the job but neither the client nor the candidate is notified. At this stage, you can still remove the application manually.
Open the relevant job, then click the Shortlisted chevron.
Select the candidate whose application you want to remove.
Click Remove Application from the available options.
When an application is removed at this stage:
The application is removed from the job pipeline.
The candidate's movements through other workflow stages remain visible.
A log entry is created in the Activities tab of the candidate's profile.
⚠️ Important: You will not be able to remove an application if the candidate applied via a job board, or if the application has already passed the Interview stage.
Undo an Offer at the Offers Stage
Click the amber number in the pipeline under the Offers stage to view all applications currently at this stage.
Locate the application you want to undo, then select Undo Offer from the action list.
Undo a Placement at the Placed Stage
You can only undo a placement when it is in Starting status or before the candidate's start date has passed.
Click the amber number in the pipeline under the Placed stage to view all applications at this stage.
Select the application you want to undo, then click Undo Placement from the action list.
Add a comment to record the reason for the action, then confirm.
If the Placement Was Previously Terminated
If the placement was terminated before you attempt to undo it, follow these steps first:
Undo the termination on the placement.
Open the placement and update the Start Date and End Date to a date in the future.
📌 Note: If the system does not allow you to update the Start Date, the placement may be integrated with Fastrack or TimeTemp. In this case, change the Time Management setting to Manual, then update the dates.
Close the placement and return to the placement screen.
Tick the placement, click Actions, then select Undo Placement.
What Happens When You Undo a Placement
When a placement is undone, the following changes occur automatically:
The contract is deleted from TimeTemp.
Manager, Employee, and Recruiter accounts linked to the job are removed from TimeTemp.
Any unsubmitted timesheets are deleted.
Any related draft invoices are deleted.
A warning message appears before invoices are deleted, asking you to confirm the action.
⚠️ Important: Placements that are already active cannot be undone. If related invoices are in Approved status, the system will not allow the placement to be undone. Deleted invoices are permanently removed and cannot be recovered — review all warning messages carefully before proceeding.

Answer: No, applications submitted through a job board cannot be removed manually.
Q2: What happens if I try to undo a placement that has approved invoices?
Answer: The system will prevent the undo action if any related invoices are in Approved status. You will need to resolve the invoice status before proceeding.
Q3: Will removing an application delete the candidate's profile?
Answer: No, only the application is removed. The candidate's profile and full history remain in the system.
Q4: Can I recover invoices that were deleted when I undid a placement?
