Cancel a Placement

Learn how to cancel, undo, update, and track placements in Vincere. This guide explains when to use cancellation versus termination, how to set up cancellation reasons, and how these actions affect timesheets, invoices, and candidate availability.

Use this feature to cancel a placement when a candidate begins but does not complete their contract. You can cancel, undo, or update cancellations to maintain accurate records.

📌 Note: You can perform cancellations directly from the Placement Table View or within the Placement Page.

⚠️ Important:

  • If your company uses Pay & Bill (Vincere TimeTemp), canceling a placement will delete all submitted Timesheets and draft Invoices.


Cancel an Application

  1. Go to the Placed stage in your candidate pipeline.

  2. Click the amber or green numbers to filter by Starting or Active applications.

  3. Choose whether to open the placement or select it from the table view.


Cancel a Placement in Table View

  1. From the Table View, click the Action List.

  2. Select Cancel Placement.

  3. Choose a Reason and enter any Notes.

  4. Click Save to complete the cancellation.

Cancel a Placement in the Placement Page

  1. Open the Placement Page.

  2. Click Actions, then select Cancel Placement.

  3. Enter the Reason and any Notes.

  4. Click Save to confirm.

Once canceled, all placement fields become read-only. Hovering over the fields will display a disabled pointer icon.

  • A red banner will appear at the top of the page, showing the cancellation status and an option to undo it.


Setting Up Cancellation Reasons

  1. Go to Settings, then click Shift Scheduler Settings

  2. Head to Reason Settings.

  3. Click Edit, then select Cancellation.

  4. Click + Create New Reason, and then Save.


Undo a Cancelled Placement

You can undo a cancelled placement from the Table View, Placement Page, or directly via the Cancellation Banner.

To access cancelled placements:

  1. Go to the Placed stage and click the red number.

  2. Use filters to view Terminated, Finished, or Cancelled applications.


Undo in Table View

  1. Select the placement in the table.

  2. Choose Undo Cancellation from the Action List.

  3. Select the new Start Date, End Date, and Reason.

  4. Click Yes to complete the undo process.


Undo in the Placement Page

  1. Open the cancelled placement.

  2. Click Actions, then click Undo Cancellation.

  3. Enter the new Dates and Reason, then click Yes.


Undo from the Banner

  1. In the cancelled placement, click Undo in the red banner.

  2. Update the Start Date, End Date, and Reason.

  3. Click Yes to finish.

📌 The new start and end dates must not overlap any active or pending placements for the same candidate.

  • If there is a conflict, you will be prompted to adjust the dates.


Update a Cancellation

You can update the cancellation reason after a placement has been cancelled.

  1. Go to the Placed stage and click the red number.

  2. Tick on the candidate you want to update a cancellation.

  3. Select Update Cancellation.

  4. Modify the Reason, then click Save.


Track Cancellations

You can track all cancellation activities in:

  • Consolidated Activities.

  • Placement Profile.

  • Candidate Profile.


Export Cancellations

  1. Go to Settings, then click Data Export.

  2. Click + Create New Report.

  3. Choose the Data Set: Placement Cancellation Data.

  4. Select from the following fields:

    • Cancellation Note.

    • Cancellation Date.

    • Cancellation Reason.

    • Cancellation Created By.

Delete a Placement

There is no direct option to delete a placement. However, you can achieve this by undoing the following in order:

  1. Undo the Termination (if applicable): If the placement was previously terminated, you need to undo this action first.

  2. Undo the Placement: After undoing the termination, proceed to undo the placement itself.

  3. Undo the Offer: Finally, undo the offer associated with the placement. By following these steps, you can achieve the result of deleting a placement without a direct delete option

This effectively removes the placement without using a delete option.


Terminate a Placement While Retaining Invoice Records

  1. Open the Placement Record.

  2. Select Terminate Placement.

  3. Enter the End Date and Reason (optional).

  4. Click Save.

This ends the placement early while preserving invoice and history records.


💡 Best Practices

  • Always review placement status before canceling to avoid deleting invoice or timesheet data.

  • Keep cancellation reasons clear and standardized for reporting accuracy.

  • Use the Undo feature instead of re-creating placements where possible.

Q1: What is the difference between Undo Placement and Cancel Placement?

Answer:

  • Undo Placement is available only if the placement’s start date has not yet passed.
    It reverses the placement completely and leaves no record of it.

  • Cancel Placement is available only when there are no approved Timesheets or Invoices.
    It cancels the placement but keeps the details in a read-only view.

  • To effectively remove a placement (since there’s no delete option), you can undo the termination, undo the placement, and undo the offer.

Q2: What is the difference between Terminating a Contract and Canceling a Placement?

Answer:

  • Use Terminate Contract when the placement started but must end early.
    This keeps Timesheet and Invoice data intact.
    Example: The candidate leaves before the end date.

  • Use Cancel Placement if the placement was created by mistake and never started.
    Example: The wrong candidate was placed.
    📌 Both terminated and canceled placements are still counted as successful placements.

Q3: Why don’t I have the option to Cancel an Application?

Answer:
The option appears only when:

  • The application is Active or Starting.

  • There are no approved Timesheets.

  • There are no approved Invoices.

Q4: Can I cancel Perm placements?

Answer:
Yes. You can cancel any active or starting Perm placement that has no approved Invoices.

Q5: Can I cancel Contract/Temp placements?

Answer:
Yes. You can cancel active or starting Contract/Temp placements that have no approved Timesheets or Invoices.

Q6: I canceled a placement. Can I place the candidate again in the same job?

Answer:
No. You must undo the cancellation before placing the same candidate again in that job.

Q7: I canceled a placement. Do I need to add a new headcount?

Answer:
No. Canceled placements are not counted toward the job’s Headcount or Booked Fee.

Q8: Will canceling a placement affect the candidate’s Availability?

Answer:
Yes. The canceled placement will be removed from the candidate’s Availability Calendar.

Q9: [Shift Scheduler] After canceling a placement, will the worker be unbooked?

Answer:
Yes. When a placement is canceled, any worker already booked into a shift will be automatically unbooked.

Q10: [Shift Scheduler] Can I rebook a candidate whose placement was canceled?

Answer:
No. The system will display a validation message preventing you from booking candidates whose placements are canceled.

Q11: [TimeTemp] I synced the placement to TimeTemp before canceling it. What will happen to my Timesheets and Invoices?

Answer:
If the placement only has Submitted Timesheets and Draft Invoices (none approved), you can still cancel it.

  • The related Timesheets and Invoices will be deleted automatically.
    ⚠️ A red warning appears to confirm this action.

Q12: [TimeTemp] How does canceling a placement affect Merged Timesheets?

Answer:
If one of the two merged placements is canceled:

  • The Merged Timesheet will be updated in both Vincere and TimeTemp.

  • The date range will shorten to match the active placement.

  • All time logged within the canceled period will be removed.
