Uploading files one by one to Company, Contact or Candidate profiles can be time-consuming. The Bulk Upload feature lets you add multiple files at once from the record’s Files tab.
Bulk Upload Files to Records
Before You Start
You can bulk upload files to Company, Contact and Candidate profiles.
You upload from the record’s Files tab using the Upload button.
You can assign a Document Type to each file and remove any files you added by mistake.
📌 Note: For Company and Contact profiles, the supported file types are:
.doc, .docx, .pdf, .rtf, .xls, .xlsx, .html, .msg, .mht, .txt.
Files in other formats are not supported.
Upload Files to Company and Contact Profiles
Open the relevant Company or Contact record, then click the Files tab.
Click Upload to open the file selection window.
Either drag and drop files into the upload area or browse and select them from your device.
After the files appear in the upload list, use the Document Type dropdown next to each file to classify it correctly.
If you added a file by mistake, click the red trash bin icon next to that file to remove it from the list.
When you are happy with the list and document types, click Upload to start the bulk upload and wait for the confirmation message that the upload is complete.
The files will now be available in the record’s Files tab.
📌 Tip: See create a new document type, and then return to the upload screen to assign it.
Upload Files to Candidate Profiles
Use the Bulk Upload feature from the Candidate profile to upload multiple documents (for example, CVs or compliance documents) at once.
Open the relevant Candidate record, then click the Files tab.
Click Upload to open the file selection window.
Drag and drop files into the upload area or select them from your device.
For each file, choose the appropriate Document Type from the dropdown so the file is classified correctly on the candidate record.
If you added a file by mistake, click the red trash bin icon next to that file to remove it before completing the upload.
Click Upload to finalise the bulk upload.
After the confirmation message appears, you can see all uploaded files in the candidate’s Files tab.
Warning
If you try to close the upload window without completing the process, a warning message will appear.
Clicking Yes will discard all the files in the window and cancel the upload.
Clicking No will return you to the window to continue the upload.

Best Practices
Group uploads by record type: Upload company and contact files from their respective profiles, and candidate documents from candidate profiles, to keep everything organised.
Use clear file names: Include the record name and document purpose (for example,
ABC Ltd – Signed Contract – 2025-01-10) so files are easy to find later.Check document types: Assign the most accurate Document Type to each file. This improves filtering and reporting on documents in Vincere.
Avoid duplicates: Before bulk uploading, quickly check the Files tab for the record to see if the document already exists.
