All about User Permissions in Vincere 🔐

After adding the new user and setting their responsibility as either an Administrator or Director, Manager, Consultant or Researcher. It's time to configure what a user can do inside Vincere.

⭕ Please note that only Administrators will be able to access 👇

  • Marketplace

  • Admin Settings

  • User Management

  • Export to CSV (In advanced search)


How to go to User Permission?

To access User Permissions in Vincere, follow these steps:

  • Navigate to Settings > find and click on "User Management"

  • Choose USERS or USERS ROLES

USERS Tab: Here, you can adjust permissions for individual users. Click on the user profile you want to modify, then click on "Permission" to make changes.

USERS ROLES Tab: In this tab, you can set permissions in bulk for predefined roles such as Administrator, Consultant, Director, Manager, and Resourcer.

📋 Important Note: Permissions setup applies only to users created after the roles have been configured.

⭕ CRM

When this feature is toggled off for a user, that user won’t have access to:

  • Company and Contact details

  • Main table view of Company and Contact data

  • Quick add Company and Contact Functionality

  • Updating Company and Contact data

🏢 Company:

👉 If CRM permission is on, but Company permission is turned off for a user, the user won’t be able to Add or Edit Departments, Delete Companies, Bulk update ownership, Edit Brands, View or Edit Company Document Checks, Edit Company Billing and Company Compliance and vice versa.

Permission

What it enables and further options



Add or Edit Departments

Show option in Company details, Departments:

  • Add Department.

  • Edit Department.

  • Delete Department.



Delete Companies

Show action, Delete from Company Action list.

  • Note: To prevent accidental record deletions, you should not enable this for non-admins. If you delete a record, it cannot be restored.

Bulk update ownership

Show action Update ownership from the Company Action list.

Edit Brands

Update company brands from Company details, Groups/ Brands in Groups tags, and locations.

View or Edit Company Document Checks

Show the Document Check tab from the Company Profile.

Edit Company Billing

Can edit company billing information in company location information.

Company Compliance

Users without this permission will have the company compliance field greyed out for them in the company quick view and summary page.

👪 Contact:

👉 If CRM permission is on, but Contact permission is turned off for a user, the user won’t be able to Add or Edit Departments, Delete Contacts, Bulk update ownership, Edit Brands, and vice versa.

Enable dropdown for field Department in Contact details.

Delete Contacts:

Show action Delete from Contact Action list.

Bulk update ownership

Show action Update ownership from the Contact Action list.

Edit Brands

Update company brands from Contact details, Groups/ Brands in Groups tags and locations.

💼 Job Lead:

Job Lead table is shown as a part of CRM Menu, but access to Job Leads depends on the permission settings for the Job entity. If CRM Permission is turned off entirely, users won’t find a way to access Job Leads.

⭕ ATS

👉 When this permission is turned off for a user, this user won’t be able to

  • Access to the whole ATS tables including Job, Candidate, Application stages and Renewal stage.

  • Access to the quick add Job and Candidate.

  • Update Job and Candidate, Application data

  • Book Candidate to shift and vice versa for all.

Application Stages:

The permission of the Application is followed by the Job and Candidate permission, if users don’t have both permission for Job and Candidate, they cannot shortlist candidates, move stages, or edit placement details.

Job:

👉 When this permission is turned off for a user, this user won’t be able to:

  • Access to Job details, delete the job

  • Access to the main table view of Job data.

  • Access to the quick add Job or any area the user can add new job.

  • Update Job data.

  • Interact with Application like: Shortlist candidate, move stages, edit placement details. Book Candidate to shift

  • See the Booked Fee in Jobs table, Bulk update ownership, Edit Brands and vice versa.

Show action Delete from the Job Action list.

  • Note: To prevent accidental record deletions, you should not enable this for non-admins.

Candidate:

👉 When this permission is turned off for a user, this user won’t be able to View and edit the Onboarding of Candidates, Edit Brands, create Talent Pools, Edit CVs/Resumes, Bulk update ownership, Mark a CV as Latest CV, Edit Placement, see Archived Candidates and Edit Compliance Note Filed and vice versa.

⭕ PAY AND BILL SETTINGS

👉 This permission only applies specifically to Invoice Items inside the Invoice. This will not affect the permission to see the invoices in the Pay & Bill screen.

Edit Invoice Items

Only users with "Edit invoice item" permission can edit the invoice items of Approved invoices.

  • Users with no permission cannot edit the invoice item and would not be able to add new row items. They still can edit some of the invoice data as invoice date, and terms.

DEAL

👉 Just like the Job Lead table, the Deal table is part of the CRM. However, Deal permissions are set up in Marketplace. Even if the CRM is turned off, users with Deal permissions can still access the Deal table.

  • Gives permission to a user to refresh Intelligence dashboards.

Main Menu Settings

This option helps you configure the icons displayed in the left-hand side panel of your Vincere Site.

  • Set up Menu Settings: Allows you to show or hide icons and arrange how the icons display:

    • There are two menus. The Main menu and the Show More menu.

    • Menu hints: Use the toggle to show or hide menu items, and change the order by dragging and dropping menu items.

    • You can drag and drop items to the Show More menu on the right. The Show More menu is always at the bottom of the main menu.

Enables the user to log on to https://app.timetemp.io/login using their Vincere login.

Allows user to login as Recruiter admin.
