Use this article to set up your email signature in Vincere, including adding logos, images, and links, and making sure the #Signature# wildcard works correctly in your email templates.
โ Important: You must have access to User Settings in Vincere to add or edit your email signature. If you cannot see User Settings, contact your system administrator.
Open the Email Signature Settings
Go to the top-right corner of Vincere and click your profile avatar or name, then click User Settings.
Scroll down to the bottom of the page and find the Email Signature section, then click inside the editor to start editing.
๐ Note: Changes you make in Email Signature apply only to emails that you send from Vincere.
Add Images to Your Email Signature
In the Email Signature editor, click the three-dots menu to expand more formatting options, then locate the Insert/edit image icon.
Click Insert/edit image, then enter the image source and any size or description details as required.
Click Save in the image dialog, then click Save or update in User Settings (if available) to store your changes.
๐ Note: Use appropriately sized images so that your signature loads quickly and looks consistent across different email clients.
โ Important: If the image does not appear correctly, check that the image URL is valid and that the size values are not too large for the email layout.
Add Links to Your Email Signature
Highlight the text or image that you want to turn into a link in the Email Signature editor, then click the Insert/edit link icon.
Enter the destination URL and any additional details (such as title or target), then click Save in the link dialog.
๐ Note: Use descriptive link text such as your company name or โView my LinkedIn profileโ instead of pasting full URLs.
Add a Logo with HTML Source Code
Create or open your preferred email signature in an HTML editor, then convert it to HTML/source code.
Copy the full HTML code for your signature, then go to User Settings in Vincere and open the Email Signature editor.
Click the three-dots menu, then click the source code icon (shown as two arrows) to open the HTML view.
Paste your HTML signature code into the source window, then click Save in the source dialog.
Review the visual preview of the signature in the editor, then save your User Settings changes.
Troubleshoot HTML Signature Layout
Open your HTML in an HTML editor, then validate the code to remove extra or broken tags.
Avoid external stylesheets or complex CSS and use inline styles that Vincere supports.
If alignment or spacing still looks incorrect, simplify the structure by reducing tables, nested elements, and advanced styling.
โ Important: Very complex HTML can cause inconsistent layouts across email clients. Keeping the code simple makes your signature more reliable.
Preview and Test Email Templates and Wildcards
Open the email template editor in Vincere, then confirm that the #Signature# wildcard is included where you want your signature to appear.
Click Preview in the template editor, then review the sample output to confirm that #Signature# and other placeholders are replaced correctly.
Send a test email using the template to your own email address, then check the final email layout in your inbox.
๐ Note: If the #Signature# wildcard is missing from a template, Vincere will not automatically insert your email signature into that template.
๐ค Tips: Always use both preview and test sends when you change your signature or update your branding so you can see exactly what recipients receive.
Troubleshoot Email Signatures and Templates
If your signature text appears but alignment is off, open the HTML source in the Email Signature editor, then tidy up the code and remove unnecessary styles.
If your logo or images do not display, confirm that the image paths are correct, then reinsert them using Insert/edit image instead of pasting from another app.
If wildcards such as #Signature# or other placeholders do not populate, open the email template, then preview or send a test to verify the replacements.
If you still experience layout or formatting issues, simplify the signature design and reduce the number of fonts, columns, and images used.
๐ Note: You can use HTML source editing for precise alignment, but it is best to keep the design clean and minimal to avoid compatibility problems.

๐ก Best Practices
Use a simple layout so your email signature renders correctly in as many email clients as possible.
Optimise your logo file size so emails load quickly and avoid stretching or pixelation.
Include only essential contact details such as name, role, phone, and key links to keep the signature clear.
Preview and test your email signature whenever you change your branding, logo, or contact information.
Review your templates regularly to confirm that the #Signature# wildcard is used consistently where needed.
๐ค FAQs
Q1: When does Vincere add my email signature to emails?
Answer: Vincere adds your email signature when you send emails from the system that use templates containing the #Signature# wildcard.
Q2: Why does my signature look different from my email clientโs version?
Answer: Email clients and Vincere handle formatting differently, so complex layouts may not copy perfectly; use the formatting toolbar or HTML source to simplify and align the design.
Q3: Why is my logo not aligned correctly in the signature?
Answer: Misalignment usually comes from complex tables or styles in the HTML, so open the HTML source, reduce nested elements, and reinsert the logo using the Insert/edit image tool.
Q4: I cannot see the Email Signature section in User Settings. What should I do
Answer: You likely do not have the required permissions, so contact your system administrator to request access to User Settings or to update your signature on your behalf.
