This article explains how to connect SignRequest with Vincere so clients, candidates, and recruiters can open, sign, and countersign documents digitally during offer, placement, and contract workflows.

  • It also covers how to use the enhanced offer flow, brand-specific templates, and basic troubleshooting.

πŸ“Œ Note: The SignRequest integration requires a SignRequest Business Plan account. Other SignRequest plans are not compatible with the Vincere integration.

Configure E-Signature Integration for Documents

  1. Email the SignRequest support team at support@signrequest.com.

  2. In both the subject line and the body of your email, clearly state that you want to integrate SignRequest with Vincere.

  3. Request a new SignRequest Business Plan account, as this is the only plan type that supports the integration with Vincere.

  4. After you submit your request, work with the SignRequest team to complete the connection between SignRequest and Vincere.

  5. If you cannot find your SignRequest API token, contact the SignRequest support team and ask them to help you locate it.

πŸ“Œ Note: If you started with a SignRequest sandbox account and see a watermark on documents, upgrade to a paid SignRequest account and generate a new API token to remove the watermark.

Use Electronic Signatures in the Hiring Workflow

  1. Create your offers, placements, and contract renewals in Vincere as usual.

  2. When you send a client contract or offer, allow recipients to open and sign the document using the SignRequest integration.

  3. Ask candidates and recruiters to countersign directly via the integration so the full signature process is digital.

  4. Use the integration at each stage of the hiring lifecycle (offer creation, placement processing, and contract renewals) to send, review, and sign documents.

Configure Multiple E-Signature Accounts by Brand

For each brand you want to use, create or configure a separate SignRequest account and obtain its unique API token from SignRequest.

  1. In Vincere, go to Settings, then click Marketplace, then click SignRequest.

  2. Add or configure the relevant brand, then ensure all brand details are saved correctly.

  3. Return to a document workflow and go to the Prepare Document step.

  4. Check that the correct brand is available and that the brand-specific templates appear as expected.

πŸ€“ Tip: The option to use multiple accounts in this way is only available for the SignRequest integration and does not apply to other integrations.

Use E-Signature Enhancements for Offers and Contracts

Use Quick Actions for Offers

  1. Open the relevant offer or placement record in Vincere.

  2. Use the quick-access tools in the SignRequest panel to:

    • View pending documents.

    • Cancel a document.

    • Refresh the status of a document.

    • Send a reminder to signatories.

  3. If multiple documents were issued for the same offer or placement, click View Other Offer Docs to see all signed versions. These documents are timestamped and tracked per placement or offer.

Follow the Four-Step Offer Sending Flow

  1. When sending an offer to a candidate, choose whether to send emails from SignRequest only or from Vincere.

  2. Preview the sequence of signatures to confirm the signing order is correct.

  3. Preview and edit the offer, then click Change Template or Edit Document if you need to adjust the content.

  4. Send the offer to the candidate once you are satisfied with the document and the signing sequence.

Track Signatures and Update Candidate Stage

  1. At the Offer stage, monitor the signature status for all signatories via the SignRequest integration.

  2. Once all required documents are signed, move the candidate to the Placed stage as Starting if the start date is in the future.

  3. If the start date is in the past, move the candidate to Active once all signatures are complete.

πŸ’‘ Best Practices

  • Use a SignRequest Business Plan account for any Vincere integration to ensure full compatibility.

  • Set up separate SignRequest accounts per brand if you need brand-specific templates and signing flows.

  • Keep brand details in Vincere and SignRequest aligned so the correct templates appear in the Prepare Document step.

  • If you change your SignRequest environment (for example, moving from sandbox to paid), generate a new API token and update it in Vincere.

  • Contact the SignRequest support team whenever you need help with your account setup or API token.

πŸ€” FAQs

Q1: Why are my brand-specific SignRequest templates not visible in Vincere?

  • Answer: Make sure the brand and its details are configured correctly in Settings, then Marketplace, then SignRequest. If the brand still does not appear, log out of Vincere and log back in to refresh your settings.

Q2: How do I find my SignRequest API token for the integration?

  • Answer: Contact the SignRequest support team and ask them to help you locate your API token so you can complete or update the Vincere integration.

Q3: Why do my SignRequest documents show a watermark?

  • Answer: This usually happens if you used a sandbox SignRequest account. Upgrade to a paid SignRequest account and create a new API token, then update the token in Vincere to remove the watermark from new documents.
