View and Manage Tasks on Tasks (New)

Learn how to access, navigate, and manage tasks using Vincere Task Board, featuring infinite scrolling, real-time updates, entity-based search, and inline completion for faster task management.

Tasks (New) provides a modern view of all your tasks in Vincere. It supports infinite scrolling, automatic sorting by due date, and entity name search to help you manage your workload efficiently.

πŸ“Œ Note: The Task Board is designed with Vincere’s Evo Design System (EDS) for a consistent user experience across all modules.

  • You just need standard Vincere permissions to access and manage tasks.


Access Tasks (New)

  1. Click on the Edit menu pencil icon on the left-side panel

  2. Locate Tasks (New) then choose where to display it - either Main Menu or Show More

  3. Click Save to confirm your configuration

  4. Now simply open Tasks (New) from the chosen menu location

πŸ“Œ Note: Both the original Task view and Tasks (New) are available during the beta period. We encourage you to try Tasks (New) and share your feedback using the feedback pop-up to help us improve the feature for everyone.


View Tasks

Tasks (New) displays all tasks in a continuous scrolling list with no pagination limits.

  • Each task shows key details such as Subject, Due Date, Entity Name, Assignee, Task Category, and Status.

  • Tasks are automatically sorted by Due Date, with overdue items displayed at the top, followed by tasks due soonest. This ensures you always see your most urgent work first.

πŸ“Œ Note: Use the inline Complete button to close a task directly from the list without opening task details.

Hover Card Preview

When you hover your mouse over any task subject in the table, a preview card appears showing essential task information without requiring you to click and open the full task details panel.

Information Displayed in Hover Card:

  • Due Date & Time: Full due date, start time with duration and timezone (using the login user's date and timezone settings).

  • Links To: Clickable links to related entities (Candidate, Job, Contact, Company, Deal, Project) when available.

  • Goal/Activity Name: Associated activity information if available.

  • Notify Recipients: List of users who will receive notifications for the task.

How to Use:

  1. Move your mouse over any task subject in the table.

  2. Subject text becomes underlined, and hover card appears automatically after a brief moment.

  3. Card remains visible while mouse is over the task subject or the card itself.

  4. Click any linked entity within the hover card to navigate directly to that entity's profile page.

  5. Move mouse away to dismiss the card.

  6. Click the task subject to open full details panel if you need to edit.

πŸ“Œ Note: If information for specific fields is not available, those details will not be displayed in the hover card.


Search and Filter Tasks

Search Tasks

Use the Search bar to find tasks by Subject or Description across all your tasks.

Filter by Entity Name

Search for tasks related to specific entities by clicking the filter icon on the Entity Name column and entering your search keyword. You can find tasks related to:

  • Candidates.

  • Contacts.

  • Jobs.

  • Job Leads.

  • Deals.

  • Projects.

  • Personal tasks.

View Filters

Select from different task views:

  • Outstanding - Active tasks that need attention.

  • Completed - Finished tasks.

  • Overdue - Tasks past their due date.

  • Created by Me - Tasks you created.

  • I'm Following - Tasks you're following (regardless of who created them).

  • All My Tasks - All tasks assigned to you.

You can also filter by specific entity types:

  • Candidate tasks.

  • Contact tasks.

  • Job tasks.

  • Job Lead tasks.

  • Deal tasks.

  • Project tasks.

  • Personal tasks.

Sort Tasks

Change the sorting order by Due Date or Created Date, in either ascending or descending order by clicking on the column headers.


Complete and Manage Tasks

Mark Tasks Complete

To mark a task as complete, you have two options:

  1. From the task list: Click the Complete button in the Action column (the last column in the table, beside the Task Category column). The task will be marked as complete immediately.

  2. From task details: Click on the task name to open the Task Details panel, then click on the 3 dots next to the x icon and select Mark As Complete.

Edit Tasks

To edit a task:

  1. Click on the task name to open the task details.

  2. Edit the information as needed.

  3. Click Save when finished.

πŸ“Œ Note: Completed tasks cannot be edited.

Add New Task

To add a new task:

  1. Select Quick Add then click on Add Task.

  2. Fill in the task details and click Save.

Delete Tasks

To delete a task:

  1. Click on the task name to open the Task Details panel.

  2. Click on the 3 dots next to the x icon.

  3. Select Delete from the menu.

Deleted tasks cannot be recovered. Please ensure you want to permanently remove the task before confirming deletion.

πŸ“Œ Important: All updates are synchronised instantly between the original Task view and Tasks (New), ensuring all users see real-time task data.

  1. Start your day by reviewing Outstanding and Overdue tasks to identify priorities.

  2. Use Entity Name search to quickly find all tasks related to specific candidates, clients, or jobs.

  3. Keep Tasks (New) pinned to your Main Menu for quick daily access.

  4. We encourage you to use Tasks (New) as your primary task management tool during the beta period and share your feedback to help us make it even better for your daily workflow.

  5. Provide feedback on your experience to help us improve the feature.

Q1: How do I switch between the old and new task views?

Answer: Use the "Tasks" menu item for the original view and "Tasks (New)" for the beta Tasks (New). Both are available during the beta period.

Q2: What happens to my tasks if I switch between old and new views?

Answer: All task data is synchronised in real-time between both views. Changes made in one view will immediately appear in the other.

Q3: Why are my tasks sorted differently than the old Tasks view?

Answer: Tasks (New) sorts by Due Date (soonest first) instead of Created Date to help you focus on urgent work first. The old Tasks view sorted by newest created date, which could bury urgent tasks at the bottom of the list.

Q4: How can I change the sorting order of tasks in Tasks (New)?

Answer: You can sort tasks by clicking on the Due Date or Created Date column headers. Each column can be sorted in ascending or descending order. Tasks are automatically sorted by Due Date by default to show your most urgent work first.

Q5: Do completed tasks disappear from the view?

Answer: Yes, completed tasks disappear from the main task view but remain visible under the "Completed" view filter and can be reviewed anytime.

Q6: Why don't I see some features that are available in the original Tasks view?

Answer: This is a beta release with limited functionality. Features like Due Today filters, bulk operations, and meeting integration are planned for future releases based on customer feedback.

Q7: How do I report issues or provide feedback?

Answer: Contact your Customer Success Manager or our Support Team with any feedback or issues you encounter during the beta period.

Q8: What happens when the beta period ends?

Answer: We'll provide advance notice before making any changes to task view availability. Your feedback during the beta period will help determine the timeline and approach for broader rollout.
