Manage Talent Pools for Candidates

Learn how to create, share, edit, and transfer ownership of Talent Pools so you can manage candidates in bulk in Vincere.

Talent Pools in Vincere let you group candidates and perform bulk actions on them. This helps recruiters save time, stay organised, and streamline candidate management across different roles, clients, or campaigns.

โš  Important: Only administrators can reallocate Talent Pools in bulk and transfer ownership of Talent Pools they do not own.

  • If a user is deactivated, their Talent Pools can still be reassigned, but if a user is deleted, any Talent Pools they own are also deleted.


Manage Talent Pools for Candidates

Create a Talent Pool

You can create a Talent Pool in several ways.

Quick Add Talent Pool

  1. Click Quick Add at the top of the screen, and select Talent Pool.

  2. Enter a name for the Talent Pool, then adjust the share permission settings.

  3. Click Select Contacts to add candidates.

  4. Click Save or Save and View.

Create from the Candidates Table View

  1. Go to the Candidates table view and click the Talent Pool icon next to the mini search bar.

  2. Click the + button to add a new Talent Pool, then enter a name for the Talent Pool.

  3. Adjust the share permission settings.

  4. Select the candidates you want to include, then click Save or Save and View.

Create from Candidate Actions

  1. Select one or multiple candidates from the Candidates table view.

  2. Click Add to Talent Pool(s).

  3. Click the + button to create a new Talent Pool.

  4. Enter a name for the Talent Pool, set the permissions, then click Save.

  5. Select the new Talent Pool from the list, then click Save.


Manage Talent Pool Share Permissions

You can control who can see and use each Talent Pool by setting the share permissions.

  1. When creating or editing a Talent Pool, go to the share permission settings.

  2. Choose one of the following options:

    • Private โ€“ Only you can access the Talent Pool.

    • Public โ€“ All users can access the Talent Pool.

    • Shared with specific users โ€“ Only selected users can access the Talent Pool.

  3. Click Save or Save and View to confirm the permission settings.


Edit or Delete a Talent Pool

  1. Go to the Candidates table view, and click the Talent Pool icon.

  2. Search for the Talent Pool you want to edit.

  3. Click the โœŽ Edit icon to update the name, permissions, or candidates.

  4. Make your changes, then click Save.

Delete a Talent Pool

  1. Go to the Talent Pool list in the Candidates table view.

  2. Find the Talent Pool you want to remove, then click the ๐Ÿ—‘ Delete icon.

  3. Confirm the deletion when prompted.

๐Ÿ“Œ Note: Deleting a Talent Pool is irreversible.

Pin a Talent Pool

  1. In the Talent Pool list, find the Talent Pool you use most often.

  2. Use the Pin option (๐Ÿ“Œ) to keep it at the top of the list for quick access.


Add or Remove Candidates in a Talent Pool

You can update who is included in a Talent Pool at any time.

Add candidates to a Talent Pool

  1. Open the relevant Talent Pool, and click Add Candidates.

  2. Select the candidates you want to add, then click Submit to confirm.

Remove candidates from a Talent Pool

You can remove candidates in two ways:

From the Talent Pool:

  1. Open the Talent Pool, then select the candidates you want to remove.

  2. Click Remove from Talent Pool.

From the candidate profile:

  1. Open the candidateโ€™s profile.

  2. In the Talent Pool section, find the Talent Pool you want to remove.

  3. Click the X icon next to that Talent Pool.


Bulk Add Candidates to a Talent Pool

If you are adding more than 300 candidates, you must add them in batches using range selection.

  1. Go to the Candidates table view.

  2. Open the Action menu, then click Range Selection.

  3. Enter a candidate range (for example, 1โ€“300) for the first batch.

  4. Click Select, then add the selected candidates to the Talent Pool.

  5. Repeat the process for the next range (for example, 301โ€“600) until all candidates have been added.

Transfer Talent Pool Ownership

Each Talent Pool has a single owner, but it can be shared with other users through the privacy settings.

Transfer ownership for a single Talent Pool

Use this when a user is leaving or changing roles and needs to hand over a specific Talent Pool.

  1. Open the Talent Pool that you own and want to reassign.

  2. Use the option to transfer ownership of the Talent Pool to another user.

  3. Select the new owner from the available users.

  4. Click Save to confirm the new owner.

๐Ÿ“Œ Note: Unless you are a system administrator, you cannot transfer ownership of a Talent Pool that you do not own.

Bulk transfer ownership (administrators only)

Use bulk transfer to reassign multiple Talent Pools owned by the same user.

  1. Go to Settings, then click User Management.

  2. Select Reallocate Entity Pool.

  3. Choose Talent Pool as the entity type.

  4. Select the Talent Pools you want to reallocate, then click Reallocate.

  5. Choose a new owner from the active user list.

  6. Click Save to complete the reallocation.

๐Ÿ“Œ Note: If a user is deactivated, you can still reassign their Talent Pools to other users. If a user is deleted, any Talent Pools they own are deleted and cannot be recovered.
