⭕ What is Feed?

Feed is a centralized notification hub within Access EVO. It consolidates alerts and action items from multiple Access products into one place, accessible via the Access button in any product.

  • Purpose: Stay on top of critical updates and take immediate action.

🔔 Types of Feed Notifications

You may receive notifications from:

  • From Vincere – Covers task updates, expiring documents, candidate consents, and more.

  • Access Collaborate – When documents are uploaded to shared sites.

  • Access Applause – When you receive recognition.

  • Access Learning – For new course assignments or upcoming deadlines.

⚠️ Note: Copilot is not currently supported.

⭕ Vincere Feed Use Cases

🎯 Task Activities

1. Task Assigned

Who sees it: Task Assignee.

When: Immediately after task creation.

Includes:

  • Task subject line.

  • Related entity (candidate, job, etc.).

  • Entity name & ID.

  • Assigned by.

  • Due date and time.

Actions available:

  • Complete Task → Automatically marks the task as completed in Vincere.

  • Open Task Details → Opens the task’s detail view on the Vincere Task Board.

⚠️ Notes: When creating a task, avoid trailing spaces in the task’s Subject line (this will cause formatting issues).

2. Task Reminder

Who sees it: Selected team members.

When: At reminder time.

Includes:

  • Task subject line.

  • Related entity (candidate, job, etc.).

  • Entity name & ID.

  • Assigned by.

  • Due date and time.

Actions available:

  • Complete Task → Instantly marks the task as completed in Vincere.

  • Open Task Details → Opens the task detail view on Vincere’s Task Board.

3. Task Updated

Who sees it: Task Assignee.

When: Immediately after specific changes (subject, due date, or assignee).

Includes:

  • Task subject line.

  • Related entity (candidate, job, etc.).

  • Entity name & ID.

  • Due date and time.

⚠️ Note: Currently, the Feed is only sent when one of the following fields is updated: Subject line, Due Date, and Assignee.

4. Task Overdue

Who sees it: Task Assignee.

When: Immediately after due time if not completed.

Includes:

  • Task subject line.

  • Related entity (candidate, job, etc.).

  • Entity name & ID.

  • Due date and time.

Actions available:

  • Complete Task → Instantly marks the task as completed in Vincere.

  • Open Task Details → Opens the task detail view on Vincere’s Task Board.

5. Task Marked Completed from Feed

  • All related feed items are marked as “Action Completed”.

  • Stays in feed for 30 days.

  • The complete button still appears, but only marks the feed as complete.

🎯 Candidate Document Expiry

Who sees it: Users in Reminder Settings.

When: At 7 AM UTC on:

  • 7 days before expiry.

  • 1 day before expiry.

  • 1 day after expiry.

Includes:

  • Document name.

  • Candidate name & ID.

  • Expiry date.

Action available:

  • View Document → Open the Files tab in the candidate’s profile in Vincere.

🎯 Candidate Requests to Be Forgotten

Who sees it: Candidate Owner.

When: Immediately after the Consent to Keep status is updated to “To be forgotten”.

Includes:

  • Candidate name & ID.

Action available:

  • View candidate - Open the candidate’s profile in Vincere.

  • Archive candidate - Automatically archive the candidate in Vincere.

🎯 Candidate's consent to keep is about to expire

Who sees it: Candidate Owner.

When:

  • 7 days before expiry.

  • 1 day before expiry.

  • 1 day after expiry.

⚠️ Note: The notification will only be sent if the expiry information is updated by another user (not the Candidate Owner).

To update this in Feed, follow the steps below:

  1. Select a candidate.

  2. Click on the "Privacy".

  3. Open the Update Privacy dialog for Consent to Keep, then set the following: Expires = Yes, Expiry Date = 2 days from today.

Example: If today is 23/04/2025, set the Expiry Date as 25/04/2025.

🎯 Candidate's right to represent is about to expire

Who sees it: Candidate Owner.

When:

  • 7 days before expiry.

  • 1 day before expiry.

  • 1 day after expiry.

⚠️ Note: The notification will only be sent if the expiry information is updated by another user (not the Candidate Owner).

🎯 Offer Approval

Who sees it: Assigned Approver.

When: Immediately after request.

Includes:

  • Candidate name.

  • Job title.

Action available:

  • Reject Offer → Automatically updates the offer status to Rejected in Vincere.

  • Approve Offer → Automatically updates the offer status to Approved in Vincere.

  • Open Offer Details → Takes the user straight to the Offer Details page in Vincere.

⚠️ Note: When an offer is Approved or Rejected from Feed:

  • You won’t be able to enter a reason when approving or rejecting the offer.

  • Actions are logged in the Activities section of the Candidate’s profile.

🎯 Upcoming Starters

Who sees it: Placement Owner.

When: 14 days before the Start Date.

Action available:

  • View Starters → Opens the Placed chevron in Vincere, showing a list of candidates scheduled to start within the next 2 weeks.

🎯 Upcoming Finishers

Who sees it: Placement Owner.

When: 14 days before the End Date.

Action available:

  • View Finishers → Opens the Placed chevron in Vincere, showing a list of candidates scheduled to finish within the next 2 weeks.

⭕ Best Practices & Notes

  • Avoid trailing spaces in task subject lines to prevent display issues.

  • Feed notifications remain visible for 30 days, even after actions are completed.

  • Notifications for expiry-based events are only triggered if another user sets the expiry.
