In the following sections, let’s briefly run through how to set Zapier up, so you have a sense of what you need to do. Zapier offers a fantastic guide which we recommend reading before you begin. 🤩

⭕ What is Zapier?
Zapier is an online automation tool that allows you to connect Vincere to your favorite apps, such as AutoPilot, Gmail, Slack, MailChimp, and over 1,500 more.
Through ‘triggers’ and ‘actions’, you can connect Vincere to these web applications and automate repetitive tasks without the need for any complex coding.

What is a Trigger?
A trigger means that when something happens in Vincere, Vincere automatically sends that information to Zapier for it to use in another application (i.e., the cause)
Examples include:
[Trigger 1] New Candidate added to Vincere Talent Pool > Add New Contact in Autopilot.
[Trigger 2] New Contact added to Vincere Distribution List > Add Contact to List in Autopilot.
What is an Action?
An Action is an event that follows when a Trigger is fired. (i.e. the effect).
Examples include:
Unsubscribe Email in Mailchimp > Unsubscribe Candidate/Contact in Vincere [Action 1].
New Contact Property Change in Hubspot > Unsubscribe Candidate/Contact in Vincere [Action 1].

⭕ Setup a Zapier Account
You will first need an account with Zapier. Go to Zapier.com to create one.
⭕ How to Set Up Zapier in Vincere?
To set up Zapier in Vincere, please follow the steps below ⬇️
Go to Zapier.com.
Sign up for a Zapier account, or log in if you already have one.
Navigate to “App Connections” on the left-hand menu.
Then click on the Add Connection button.
Paste in your Vincere API Key when prompted.
📝 Note:
When creating your Zap, make sure to select the latest version of Vincere from the app list.
🔴 Tenant:
This is asking for your Vincere Account URL, look at your browser:
All you need is this (your Vincere Site URL): mycompanyname.vincere.io
You do not include any "https://"
🔴 API Key:

Once you've done with the step above, now just need to authenticate with your Vincere user login.
The last step is Verify the connection > click on ‘Test’ to verify the connection.

Here’s how you can check the settings inside Vincere:
📝 IMPORTANT NOTES:
Your Zapier Integration is Tenant-based: This means that any zaps that you create that are linked to your Vincere account will be triggered (or actioned) across all users.
When selecting Distribution Lists / Talent Pools: Please note that at the moment, only Public Talent Pools/Distribution Lists are supported.

Accessing Vincere's Professional Services
For complex API development needs, Vincere provides professional assistance to tailor solutions for integrating with tools like Zapier. Follow the steps below:
Submit a Request: Fill out Vincere's Professional Services form, where you'll specify your integration and development needs.
Review and Quotation: Once the form is submitted, the Professional Services team will review your request. They will then provide a quotation based on the scope and complexity of the project.
Key Considerations
Ensure that your integration requirements are well-documented when submitting the form.
Timelines for project completion may vary based on complexity, so account for this during planning.

🟠 On the Zapier side 🟠
1. When selecting Distribution List or Talent Pool, the numbers displayed next to the names of your Distribution List/Talent Pool refer to the ID (not the number of records).
2. When picking a sample when setting up your zap (On the Test step): Please note that at the moment, you can only pull in default samples for Contact & Candidates provided like so:
3. The Triggers linked to Zaps only work in the ATS/CRM.
At the moment, Zaps are only triggered when a New Candidate & New Contact is added from the ATS dashboard (a page in Vincere with the list of candidates) and CRM dashboard (a page in Vincere with the list of contacts), respectively like so:
