The AI Coach takes data-driven decisions to the next level.

The AI coach uses your data from your last 12 months usage on Vincere and uses machine learning to automatically generate ratios and therefore goals on both a company wide and an individual basis.

There are 3 main reports within the AI Coach dashboard.

How does the AI Coach work?

So, how does it actually work? Well, it utilises Machine Learning on data collected from your usage of Vincere over the last 12 months to automatically generate goals and ratios. The algorithm works out the average placements fee, then how many placements are needed to hit the revenue target, then how many calls, meetings, CVs sent, jobs and interviews are needed to make placements. This data is refreshed every three hours, so it is constantly updating the targets as you use Vincere.

Importantly, you will no longer have to explain to consultants why they need to hit goals as these numbers are generated based on THEIR activity. To argue about these goals would mean arguing with themselves... management just became a whole lot simpler.

What do I need to do to activate the AI coach?

All you need to do is head into Settings>Goal Console> Set revenue targets for No 42-44 and Vincere’s algorithm will do the rest. For the AI coach to be activated, you will need to have placed at least one candidate with a profit split, you will then be able to see the targets

What can I see?

The AI Coach is split into 3 visuals; Fees, Ratios & Targets.

Fees - this report will be influenced by the filters on the right hand side

  1. Target: total of all users’ revenue targets based on the selected filters

  2. Actual: total of all users’ booked fees on the selected filters

  3. Progress: difference between Target and Actual

  4. Average placement: the average fee booked into Vincere based on the selected data filter.

  5. Ratios - this report will NOT be influenced by the filters on the right hand side.

  1. New Job to Placement: no. of new jobs / no. of placements

  2. Sent to 1st Interview: no. of CVs sent/ no. of 1st interviews

  3. CVs sent to Placement: no. of CVs sent/ no. of placements

  4. First Interview to Placement: no. of 1st interviews/ no. of placements

  5. Contact Call to Placement: no. of contact calls / no. of placements

  6. Contact Meeting to Placement: no. of contact meetings / no. of placements

  7. Candidate Call to Placement: no. of candidate calls / no. of placements

  8. Candidate Meeting to Placement = no. of candidate meetings / no. of placements

How are these calculated?

  1. Placements Made: includes original and renewed placements

  2. 1st Interview: Interview Arranged (1st Int. Arranged in the columns)

  3. CVs Sent: CVs sent or marked as ‘sent’

  4. New Jobs: new jobs added

  5. Contact Call: only counts activities related to these actions from the Goal Console:

    • Phone call | Contact | Inbound | Connected

    • Phone call | Contact | Outbound | Connected

  6. Contact Meetings: meetings arranged (based on action date)

  7. Candidate Calls: only counts activities related to these actions from the Goal Console:

    • Phone call | Candidate | Inbound | Connected

    • Phone call | Candidate | Outbound | Connected

  8. Candidate Meetings: meetings arranged (based on action date)

Targets - this report will be influenced by the filters on the right hand side

The targets report shows us, based on our previous performance and our target, what needs to be hit in order for our revenue target to be achieved

  1. Placements: target / average placement fee

  2. 1st interviews: placement target x 1st interviews to placement ratio

  3. CVs Sent: placement target x CV sent to placement ratio

  4. New Jobs: placement target x new jobs to placement ratio

  5. Contact Calls: placement target x contact calls to placement ratio

  6. Contact Meetings: placement target x contact meetings to placement ratio

  7. Candidate Calls: placement target x candidate calls to placement ratio

  8. Candidates Meetings: placement target x candidate meetings to placement ratios

2. Applications by stage

What does this Dashboard tell us?

Application by stage shows us a complete breakdown of the ATS pipeline numbers, influenced by the filtered on the right hand side. If you’re looking to get complete visibility on volume of candidates at each pipeline stage, broken down per month, you’re in the right place

1. New Jobs: no. of new jobs without applications created in the selected time period

2. Job | Active: no. of unique open job ID’s with active candidates and application activities action based on the selected time period (doesn’t include floated)

3. Job | No Activity: no. of new jobs created in the selected time period with no applications & no activities linked to a job

4. Application Stages Numbers: no. of applications of a specific stage (ATS pipeline)

Example: Open ATS > Shortlisted > Filter by Shortlisted Date > Select Month

The pipeline stages across the top can be toggled on and off to influence the data visible:

3. Ratios & Splits

Where are these ratios pulling from?

The User Engagement and Application by Stage dashboards are used to determine these ratios.

  1. Contact Calls to Jobs: total connected contact calls / total new jobs added to Vincere

  2. Contact Meetings to Jobs: no. of contact meetings (completed) / new jobs

  3. Job Leads to Jobs: no. of job leads with Reg. date in the filtered timeframe / no. of converted job leads with an action date in the filtered timeframe (only counts converted jobs through the "Convert to Job" function in the Actions menu)

  4. CVs Sent to Jobs: (pending candidates in (Sent + 1st Interview + 2nd Interview + Offered) + Placed candidates) / jobs with created date in the filtered timeframe

  5. CVs Sent to 1st Int: no. of CVs sent / no. of 1st Interviews

  6. CVs Sent to Placement: total no. of CVs sent / no. of placements

  7. 1st int. to placement: no. of CVs sent / no. of placements

  8. % of Returning Clients: (total no. companies that have at least 2 placed jobs / total companies) x 100%

Metrics:

  • Perm/Temp Fees: the difference between the revenue/profit split ($) and original and renewed placements

  • No. of Perm/Temps: the difference between the no. of placements and original / renewed placements

Breakdown by:

  1. Team: split between teams

  2. Consultants: split between consultants

  3. Candidate Sources: split between candidate sources

  4. Source Contact: split between contact sources

  5. Location: split between location

  6. Job Type: split between Job Types

Display

  • $/Count: results displayed in numeric value

  • %: results shown in percentage

Filters

  1. Time: filter by time period (default - calendar year)

  2. Locations: filter by each location or multiple locations. Locations can be configured in Settings > Groups, Tags & Locations > Location

  3. Brand: filter by brand or multiple brands. Brands can be configured in Settings > Groups, Tags & Locations > Groups

  4. Division: filter by each division or multiple divisions. Divisions can be configured in Settings > Groups, Tags & Locations > Groups

  5. Team: filter by each team or multiple teams. Team can be configured in Settings > Groups, Tags & Locations > Groups

  6. Consultant: filter by individual or multiple consultants including active & inactive consultants. Consultants can be managed in Settings > User Management.

  7. Consultant Status: filter by Active / Inactive users / both. By default, Inactive Users are included.

  8. Job Category:

    1. Linked to Jobs: activities linked to jobs

    2. Linked to Job Leads: activities linked to job leads

    3. No job Links: activities not linked to jobs or job leads

  9. Job Type: all Job types saved in Settings > Admin Settings > System Preferences > 5. Change system names for job types

  10. Industry : all Industries saved in Settings > Groups, tags & locations > Industry

  11. Currency By:

    1. Daily Spot Rate: based on fixer.io > Settings > Admin Settings > System Preferences > 3. Currency Converter

    2. Home Currency: based on the Home currency in Pay & Bill Settings > 6. Home Currency

  12. Currency: displays the currency in the user’s User Settings by default
