So you’ve logged in to Vincere to see a brand new dashboard? This article will tell you everything you need to know.

In this article:

  1. Introduction
  2. How does the AI dashboard work?
  3. How to set up the AI dashboard
  4. Where do the figures come from?

1/ Introduction

We were not sure what to call this Dashboard. One of the suggestions was Lazy Leader, as our new AI dashboard takes all the hard work out of setting targets for your consultants.

2/ How does the AI dashboard work?

So, how does it actually work? Well, it utilises Machine Learning on data collected from your usage of Vincere over the last 12 months to automatically generate goals and ratios. The algorithm works out the average placements fee, then how many placements are needed to hit the revenue target, then how many calls, meetings, CVs sent, jobs and interviews are needed to make placements. This data is refreshed every three hours, so it is constantly updating the targets as you use Vincere.

Importantly, you will no longer have to explain to consultants why they need to hit goals as these numbers are generated based on THEIR activity. To argue about these goals would be require arguing with themselves... management just became a whole lot simpler.

3/ How to set up the AI dashboard

All you have to do as a manager is set the revenue target in the goals console. To do this go to Settings > Goals Console > Set Targets, and set targets 42-44. Our algorithm will do the rest.

Importantly, you will no longer have to explain to consultants why they need to hit goals as these numbers are generated based on THEIR activity. To argue about these goals would be require arguing with themselves... management just became a whole lot simpler.

PLEASE NOTE: It will take a few months of solid activity tracked in Vincere before our algorithm can determine accurate ratios. The more you use Vincere properly, sending candidates through the system, adding interviews, meetings and calls etc the more accurate the ratios and data become.

4/ Where do the figures come from?

The great thing about the AI Coach dashboard is that it does all the hard work for you. But if you’re curious, this section will tell you all about where we pull the correct figures from and how we do the calculations that will make your life as a manager easier 💪

Target & Actual

To see where these figures are from, head to your Booked Fees dashboard, and set the date filter to the current month.

Progress

Progress is the actual minus the target

Average Fee Size

This comes from the Booked Fees dashboard, just set the date filter to the last 12 months.

Ratios

To work out the ratios for:

New Job to Placement
Sent to 1st Interview
CVs Sent to Placement
First Interview to Placement

This is all taken from the “applications by stage” tab in the AI coach dashboard. First set the date filter to the last 12 months

Then using the figures from the table, you can calculate the ratios by dividing the first figure by the second.

New Job to Placement calculated by Unique Jobs divided by total placed (perm + temp)

Sent to 1st Interview calculated by CV Sent divided by 1st interview

CVs Sent to Placement calculated by CV Sent divided by total placed (perm + temp)

First Interview to Placement calculated by 1st interview divided by total placed (perm + temp)

To work out the ratios for:

Contact Call to Placement
Contact Meeting to Placement
Candidate Call to Placement
Candidate Meeting to Placement

This is all taken from the “user engagement” dashboard. Make sure the filters look like this:

We’ve then taken the data from the last 12 months. To do this yourself, you would need to export the current and last years’ data to excel and manually look at the figures for the last 12 months - but Vincere has done the work for you!

We’re then divided these figures by the total placed (perm + temp) to get the ratios.

Placements Made

The target number of placements you need to make is calculated from the target number of placements divided by the average placement fee

The number of placements already made is brought from the Booked Fees dashboard

1st Interviews, CV Sent & New Jobs

The numbers that have already been achieved come from the “applications by stage’ tab of the AI Coach dashboard and filtering to the current month.

The target is worked out by taking the target number of placements, and multiplying it by the ratio that has previously been worked out.

As an example:

To work out the target number of interviews, we’ve taken the target placements of 8 and multiplied it by the 1st interview to placement ratio of 1.2 to give us a figure of 10.

Contact Calls, Contact Meetings, Candidate Calls & Candidate Meetings

These figures are taken from the “user engagement” dashboard.  We’ve filtered the activities to show just the calls and meetings, and set the date to “this month”.

The target is worked out by taking the target number of placements, and multiplying it by the ratio that has previously been worked out.

As an example, to work out the target number of contact meetings, we’ve taken the target placements of 8 and multiplied it by the ratio of 1.0 to get the target of 8.

And that’s where we get all of the correct figures for your AI Coach dashboard. Of course, the work has already been done for you so you do not need to do any of these calculations yourself. Just enter that revenue target, sit back, and watch as Vincere takes all of the stress of setting targets out of your hands!
