β­• How to Access the Invoices Dashboard?

To access the Invoices Dashboard, simply navigate to the Intelligence icon in the left-side panel > then click on Invoices

If you don't see the Company Stats Dashboard, you may need permission to view it. Follow the steps below based on your role:

For Admin Users

For Non-Admin Users

  1. Go to Settings > User Management.

  2. Find your name in the user list and click on it.

  3. Navigate to the Permissions tab.

  4. Scroll down to the INTELLIGENCE section.

  5. In Analytics Advanced, check the box for Invoices.

  6. Click Save to apply the changes.

If you're not an admin, please contact a colleague with admin privileges to grant you access to the Invoices Dashboard.

Header Metrics:

  • This Month, Last Month, 3 Months Ago, 1 Year Ago provide comparisons over key timeframes.

  1. The Stats in Fees/Profit are the variances between Sales Invoices and Purchase Invoices (Sales minus Purchase) - This includes Invoices of Temps, contractors, and permanent & Permanent | Retainers jobs.

  2. This Month: Total of all Approved & Sent Sales invoices (Temps + Contractors + Permanent + Permanent|Retainer) - Total of all Approved Purchase Invoices (Temps + Contractors + Permanent + Permanent|Retainer) in the current month.

  3. Last Month: Total of all Approved & Sent Sales invoices (Temps + Contractors + Permanent + Permanent|Retainer) - Total of all Approved Purchase Invoices (Temps + Contractors + Permanent + Permanent|Retainer) in the last month

The Placements section provides an overview of the total number of placements made inside Vincere (Permanent + Contract + Temporary) across all job types based on Booked Date.

Key Metrics:

  • Permanent: Total permanent placements.

  • Contract: Total contract placements.

  • Temporary: Total temporary placements.

  • Starters: Candidates starting during the selected period (e.g., today, this month).

  • Finishers: Candidates finishing during the selected period.

  • Net: Total number of starters - the total number of finishers

🎯 Timesheets

Overview of all timesheets number below refers to the total submitted timesheets including rejected, unapproved, and approved depending on the filtered period.

Key Metrics:

  • Unsubmitted: Timesheets that have not been submitted.

  • Submitted: Timesheets submitted for review.

  • Approved: Timesheets approved for invoicing.

  • Invoices (Temporary/Contract): Timesheets converted to invoices.

  • Invoices Draft: Draft invoices based on submitted timesheets.

  • Invoices Sent: Finalized invoices sent to clients.

🎯 Invoices

Overview of all Invoices in Vincere that were Approved & Sent/Marked as Sent.

Key Metrics:

  • Sales: Total amount of all Approved & Sent/Marked as Sent sales invoices

  • Purchase: Total amount of all Approved purchase invoices

  • Credit: Total amount of all Approved & Sent/Marked as Sent credit invoices

  • Accounts Receivable: the total amount of fees will received (total amount of all Sales invoices with status as approved & sent, approved & marked as sent, partially paid) by invoice date in the future

  • Accounts Payable: the total amount of fees will received (total amount of all Purchase invoices with status as approved, partially paid) by invoice date in the future

  • Invoice Paid: total amount in Sales Invoice with status marked as (Paid in Full and/or Partially Paid)

Action: Click View All to see the invoice breakdown.

🎯 Starters

Track candidates are starting placements based on their Start Date.

Key Categories:

  • Today - candidates starting in the current day

  • This Week - candidates starting during the current week

  • Next Week - candidates starting next week

  • This Month - candidates starting in the current month

  • Next Month - candidates starting in the next month

  • This Quarter - candidates starting in the current quarter

Overview of all invoices that were partially paid and fully paid.

Breakdown:

  • Current: Recent invoices are not overdue.

  • 1-30 Days: Overdue invoices for the past 1-30 days.

  • 31-60 Days: Overdue invoices for the past 31-60 days.

  • 60+ Days: Overdue invoices for more than 60 days.

Visual Representation:

  • Number: average days of the overdue invoices paid.

  • Amount: total amount of Sales invoice marked with Paid in Full

This section displays the total profit earned by each consultant or user, calculated as:

  • Profit = Sales Invoice Amount - Purchase Invoice Amount

Profit is split based on the respective consultant's share in each invoice.

Tracks the total fees generated by each consultant or user.

  • This includes the profit share allocated from Sales Invoices.

Tracks the total fees allocated to each consultant or user based on their share in Purchase Invoices.

The Fee Splits tab gives you a breakdown of the Fee Split per Consultant:

This table View displays up to 1000 invoices. You can get the complete list of invoices by exporting the data.

Fee Source: fees come from 2 sources:

  • PS: Profit Split in placement details

  • JO: Job Owner (in case the Profit Split is empty)

Definition of factors in the filter board on the right-hand side:

  1. Date: Set your timeframe as desired.

  2. Locations: Filter by each office location or multiple locations.

  3. Branch: Filter by consultant's branch or multiple branches.

  4. Brand: Filter by consultant's brand or multiple brands.

  5. Division: Filter by consultant's division or multiple divisions.

  6. Team: Filter by consultant's team or multiple teams..

  7. Consultant: Filter by individual consultant or multiple consultants, including active & inactive consultants.

  8. Consultant Status: Filter by Active / Inactive users / both. By default, Inactive Users are included.

  9. Job Category: Filter by activities linked to Jobs / linked to Job Leads / No Job link.

  10. Job type: Permanent, Contractual, Project Based, Regular, and Temporary.

  11. Invoice Status: Check all, Approved & Sent, and Draft

  12. Perm Sub Type: Contingent, Retained, Exclusive, and Non-Perm.

  13. Currency: (defaulted to the currency set on the User Settings), or you can select the desired currency.

  14. Tax: Exclude Tax or Include Tax (source)

  15. Company ID: copy and paste the company ID to see stats related to that single company only.
