⭕ Overview

The Email Templates feature in Vincere’s Client Portal allows you to:

  • Customize automated email content sent from your Client Portal.

  • Add branding elements like logos to match your company identity.

  • Use wildcards to automatically insert dynamic information.

⭕ Accessing Email Templates

To begin editing your Client Portal email templates:

  1. Navigate to your Digital Dashboard.

  2. In the left-hand panel, click on Email Templates or Email.

  3. Select the Client tab to view relevant templates.

⭕ Adjusting Email Settings

Above your templates, you’ll find a few key settings:

  • Revert to Default: Check this box to reset all templates to the system’s default version.

⚠️ Important Note: The revert to default button will erase your email template adjustments and bring them back to the system default.

  • Email Header Image: Upload your company logo or another image to appear at the top of your emails.

👉 Don’t forget: Always click “Update” at the bottom-left of the screen to save your changes.

⭕ Editing Email Templates

Follow these steps to edit a specific email template:

  1. Click on the template you want to edit.

  2. Customize the subject line and content as needed.

  3. Make changes to personalize the message for your clients.

  • You can start from the system default or create your own fully custom version.

⭕ Using Wildcards

Wildcards are placeholders that auto-fill with dynamic information (like client names or job titles) when the email is sent.

  • To use a wildcard: Copy and paste it into the Content area of the email template.

A list of available wildcards is shown at the bottom of the page.

Hi {ClientName}, your interview for {JobTitle} is scheduled.

This will auto-fill with the correct client name and job title upon sending.

💡 Best Practices & Reminders

  • Always click “Update” after editing to save your changes.

  • Preview your email to ensure formatting and content look professional.

  • Use wildcards carefully to avoid missing or incorrect info in your emails.

  • Avoid using "Revert to Default" unless you're certain you want to reset all changes.
