Use Job Actions

Learn how to use the Job Actions panel from the Jobs/Assignments list to update single or multiple jobs at once.

The Job Actions panel lets you work on jobs directly from the Jobs/Assignments table, without opening each job record. The actions are grouped in a consistent way (similar to Candidate Actions) so you can quickly update one job or apply the same update to multiple jobs.

Use Job Actions on a Single Job

When you select one job in the Jobs/Assignments table, you see the single job actions.

Open the Job Actions panel

  1. Open the Jobs/Assignments list from the main navigation.

  2. Use the filters or search bar if needed to find the job you want to update.

  3. Tick the checkbox in the first column for that job.

  4. Check that:

    • A red banner shows at the top of the table (for example, 1 selected).

    • The ACTIONS FOR 1 JOB(S) panel opens on the right-hand side of the screen.

You can now use the grouped actions in the panel.

Job Selection (single job)

  • Deselect All – Clear the current selection and close the panel.

  • Range Selection – Switch to range mode so you can select a continuous set of jobs in the table.

Job Actions (single job)

  • Add comment – Add a comment to the selected job record.

  • Add task – Create a task linked to the selected job.

  • Post – Post the selected job using your standard posting workflow.

  • Copy – Create a copy of the current job.

  • Link this Job to Deal – Link the selected job to an existing deal.

  • Convert to Job Lead – Convert the job into a job lead record.

Search (single job)

  • Auto Match – Automatically search for candidates who match the selected job.

Updates (single job)

These options update the status or ownership of the job and its related activity:

  • Shortlist – Add candidates to the shortlist for the selected job.

  • Place – Record a placement for the selected job.

  • Add to Hotlist – Add the job to a Hotlist so you can access it quickly later.

  • Close – Close the job when it is no longer active.

  • Update status – Change the job’s status (for example, from Open to Hold).

  • Update ownership – Reassign the job to a different owner.

  • Extend sourcing date – Extend the sourcing date for the job.

  • Delete – Remove the job from the system.

πŸ“Œ Note: Deleting a job is permanent and should only be used when you are sure the job is no longer needed.


Use Job Actions on Multiple Jobs

When you select more than one job in the Jobs/Assignments table, the panel updates to ACTIONS FOR X JOB(S) and shows the bulk actions that can be applied to all selected jobs at once.

Select multiple jobs

  1. Open the Jobs/Assignments list.

  2. Tick the checkboxes for each job you want to update.

  3. Confirm that the red banner at the top of the table shows the number of jobs selected (for example, 3 selected).

  4. Review the ACTIONS FOR 3 JOB(S) panel on the right to see the bulk actions available.

You can adjust the selection at any time:

  • Use the checkboxes in the table to add or remove jobs.

  • Use Deselect All in the panel to clear the selection.

Job Selection (multiple jobs)

  • Deselect All – Clear all selected jobs and close the panel.

  • Range Selection – Select a continuous range of jobs in the table.

Job Actions (multiple jobs)

These actions apply to all selected jobs:

  • Post – Post all selected jobs using your standard posting workflow.

  • Send Job List to Candidates – Send a list of the selected jobs to chosen candidates.

  • Link this Job to Deal – Link each selected job to a deal.

  • Convert to Job Lead – Convert the selected jobs into job leads.

Updates (multiple jobs)

These updates apply in bulk to all selected jobs:

  • Add Application – Add applications to the selected jobs.

  • Add to Hotlist – Add all selected jobs to a Hotlist.

  • Close – Close all selected jobs.

  • Update status – Change the status for all selected jobs at once.

  • Update ownership – Reassign all selected jobs to a different owner.

  • Extend sourcing date – Extend the sourcing date for all selected jobs.

  • Delete – Delete all selected jobs.

πŸ“Œ Note: Bulk delete affects every job currently selected. Always double-check the selected rows before using Delete on multiple jobs.
