Add and Manage Custom Onboarding Fields

Create custom onboarding fields, publish them to the Candidate Portal, configure country-specific fields, and track candidate onboarding information.

Custom onboarding fields allow you to collect information such as bank account details, tax file numbers, insurance numbers, and prehire or post-hire documentation. Fields created in Field Configuration can sync to the Engage Candidate Portal, where candidates can complete or update their information.

Create Custom Fields

  1. Go to Settings, click Field Configuration, then select the Candidate Field tab.

  2. Create the custom fields required for your onboarding process.

  3. Configure the fields with the information you need to collect from candidates.

šŸ“Œ Note: You need the appropriate permissions to access onboarding fields. Contact your administrator if you cannot see the Onboarding Fields tab.


Sync Custom Fields to the Candidate Portal

Custom fields created in Field Configuration automatically sync to the Engage Candidate Portal.

  1. Create the required custom fields in Field Configuration.

  2. Allow the fields to sync to the Engage Candidate Portal.


Publish Onboarding Fields to the Candidate Portal

Once your fields are configured, select which fields candidates can complete or update through the Candidate Portal.

  1. Go to Settings, then click Marketplace.

  2. Select Engagement Hub, then click Setup.

  3. Select Candidate Portal, then open the Onboarding tab.

  4. Select the fields you want to include in the onboarding process.

šŸ’” Best Practice: Mark mandatory fields as required so candidates must complete them before progressing further in onboarding.


Configure Onboarding Fields by Country

You can display onboarding fields based on the candidate’s country.

  1. Go to the candidate profile.

  2. Click the Onboarding tab, then select Onboarding Fields.

  3. Select the appropriate onboarding country for the candidate.

  4. Review the fields displayed for that country.

Fields configured for the selected country are displayed automatically.

šŸ“Œ Note: Default compliance fields for many countries are already included. Only fields relevant to the selected country are displayed.

For example, a field such as Field 207 may represent a country-specific field such as Pension Number in Japan. The default Passport Number field is located under the Residence | Visa Status category within Candidate Summary.


Review Updated Candidate Information

When candidates update their information through the Engage Candidate Portal, the data automatically syncs back to Vincere.

  1. Allow the candidate to complete or update their onboarding information through the Candidate Portal.

  2. Review the updated information in Vincere.

  3. Use Advanced Search to search across the onboarding fields when required.


Configure Onboarding Layout Tabs

You can add fields such as Passport Number to onboarding layout tabs.

  1. Go to Settings, then click Field Configuration.

  2. Select Candidate Fields.

  3. Create or edit the required custom field.

  4. Assign the field to the required tab in Candidate Summary.


Use Additional Onboarding Capabilities

The onboarding process also supports the following capabilities:

  • Configure candidate registration fields in the Engagement Hub for onboarding at the application stage.

  • Request candidates to upload required documents through the Candidate Portal.

  • Set reminders for expired documents.

  • Display profile and document completion percentages to candidates.

  • Track which documents have been uploaded and which are still outstanding.


Troubleshoot Access to Onboarding Fields

If you cannot see onboarding fields in the candidate profile, your user permissions may need to be updated.

  1. Contact your administrator and request permission to view or edit onboarding fields.

  2. After your permissions are updated, return to the candidate profile and access the Onboarding tab.


Troubleshoot the Onboarded Panel

If the Onboarded panel does not load for one user but works for others, try the following browser troubleshooting steps.

  1. Open Chrome Settings.

  2. Go to Privacy and Security, then click Delete browsing data.

  3. Select the Advanced tab, then set Time range to All time.

  4. Select Cookies and other site data and Cached images and files. Leave Browsing history unselected.

  5. Click Delete data, then log back in.

  6. Press Ctrl + Shift + R to perform a hard refresh.

  7. If the issue continues, right-click the Onboarded frame, then select Reload frame.
