Track and log meetings and calls so your team can measure activity, keep complete candidate and client histories, and report accurately in Vincere’s User Engagement dashboards.
⚠ Important: You must have permission to access Settings, the Goal Console, and the Intelligence module in Vincere to configure and report on call and meeting activities.
Configure Goals for Call and Meeting Tracking
Go to Settings, then click Goal Console.
Find the goals that relate to calls and meetings, then rename the goal names if you want them to match your internal terminology.
In the Activate in Action List column, set each relevant call and meeting goal to Yes so it appears when you create a comment, task, or meeting.
Review all call and meeting goal rows, then confirm that only the activity types you want to track are activated.
📌 Note: Activating a goal in the Activate in Action List column controls whether that action appears when you log activities and whether it is counted in the User Engagement dashboard.
Understand Which Activities Are Tracked
Vincere only counts specific activity types towards call and meeting goals. Use these as a reference when configuring your Goal Console and any integrated tools.
Calls (Candidates)
Only the following activities count towards Candidate call goals:
Phone call | Candidate | Inbound | Connected
Phone call | Candidate | Outbound | Connected
Calls (Contacts)
Only the following activities count towards Contact call goals:
Phone call | Contact | Inbound | Connected

Meetings
Meeting activities are grouped by record type and status:
Contacts: Scheduled and completed meetings
Candidates: Scheduled and completed meetings
📌 Note: The meeting must be arranged or created inside Vincere for it to be tracked in the Goal Console and reported in the User Engagement dashboard.
Track Calls and Meetings in the User Engagement Dashboard
Open Intelligence, then go to the User Engagement dashboard.
Use the filters to select the users, teams, and date range you want to review, then apply the filters.
Locate the widgets or tiles for calls and meetings, then verify that the totals match your expectations based on recorded activities.
📌 Note: If activities such as Devyce calls appear in a record’s Activity section but not in the User Engagement dashboard, the action type or action name used by the integration may not match the values expected by the Goal Console and User Engagement dashboard.
If you change goal names or activate new actions, refresh or re-open the User Engagement dashboard to ensure you see the most up-to-date counts.
Log Call and Meeting Notes
Make sure that you Activate Relevant Goals by navigating to Settings, then click Goal Console.
Activate Goals: Ensure goals for Call and Meetings related are activated (you can rename them to fit your workflow).
Set to "Yes": In the "Activate in Action List" column to make them available when creating a comment, task, or meeting.
Log a Comment or Task
Select the Appropriate Action: From the dropdown list when logging a comment or task.
Add Notes: You can include detailed notes for future reference.
View Logged Activities
Go to the Candidate: Navigate to the candidate's profile.
Click on the Activities Tab: Check for the logged note or conversation.
📌 Note: Only actions that are activated in the Activate in Action List column in the Goal Console appear in the Action dropdown when you log comments or tasks.
Log a Meeting That Will Be Tracked
Go to the relevant candidate or contact record, then click to create a new Meeting (or calendar event) from the Activities or calendar section.
Choose the meeting type that you want to count towards your meeting goals, then complete the subject, date, time, and participants.
Add detailed notes in the description field, then save the meeting inside Vincere.
After the meeting occurs, update its status to show that it is completed, then confirm that the completed meeting appears in the record’s Activities tab.
📌 Note: Meetings created only in an external calendar and not logged in Vincere do not count towards meeting goals or User Engagement metrics.
Troubleshoot Missing Call and Meeting Activities
Devyce or Other Telephony Activities Not Showing in User Engagement
Confirm Goal Activation: Go to Settings, then click Goal Console, and ensure that the call-related goals used by the integration are set to Yes in the Activate in Action List column.
Check Action Names: Compare the action types and names used in your telephony integration (for example, Devyce) with the action names configured in Vincere, then update the activity mapping so they match exactly.
Validate Activity Location: Open a candidate or contact record, then check the Activities tab to confirm the call is logged there with the expected action and status (for example, Connected).
Contact Support if Needed: If the calls appear in the Activities tab but still do not appear in the User Engagement dashboard, gather example records and timestamps, then contact Vincere support for further assistance.
📌 Note: The User Engagement dashboard only counts activities that match the configured goal definitions and action names, so mismatched naming between an integration and Vincere may prevent activities from appearing.
Vinneo Outreach Activities Not Appearing on Records
Some Vinneo Outreach activities, such as “Left Message,” are designed not to appear in the Activities section of candidate or client records.
Review the Activity Type: Check which Vinneo Outreach activity type you are using (for example, “Left Message”), then confirm how it is mapped in the Goal Console.
Choose a Different Activity Type: If you want the activity to appear in the record’s Activities section, configure and use a different action type in the Goal Console that is designed for logged comments or calls.
Update Your Workflow: Instruct users to select the new activity type when logging interactions that should appear directly on candidate or client records.
⚠ Important: If you rely only on Vinneo Outreach activity types that are not designed to appear on candidate or client records, those interactions will not be visible in the Activities tab, even though they may be logged elsewhere for reporting.
💡 Best Practices
Configure and test your call and meeting goals in a controlled group before rolling them out to the entire team.
Keep goal and action names consistent with your team’s terminology so users can select the correct activity type quickly.
Encourage consultants to add concise but meaningful notes for each call or meeting to improve handovers and reporting.
Regularly compare the Activities tab and the User Engagement dashboard to ensure that tracked counts match your expectations.
Review integrations such as Devyce or Vinneo Outreach whenever you change Goal Console settings to keep the mappings aligned.
