Add Expiry Date to Candidate Documents

Ensure all necessary candidate documents are current and valid.

Admin users can set the expiry date as mandatory for custom doc types in the Documents & Checks Settings

The expiry date setting is not set as mandatory by default

When a custom document type's expiry date is set as mandatory, the Expiry Date field will appear as required when a user uploads a candidate document and in the Candidate Portal as well when a candidate uploads the document.

Settings

1/ In Settings > Admin Settings > Document Settings > Documents & Checks

2/ Choose the document type and click on the edit icon

3/ Select 'YES' - Set Expiry Date as required field

For Vincere users:

In the Files section of the candidate profile, when a user uploads a new file, the Expiry Date needs to be filled out to save the document.

For existing documents, in the File Library section the Expiry Date field will have an asterisk (*)

For candidates with a Portals account

Note: The field will not be clickable if the document has not yet been uploaded.

Once a candidate uploads a document, a date picker box will appear to allow the candidate to choose a date:

They can choose the document’s expiry date:

For candidates with an Engage account

They will be prompted to add the expiry date before they can save it on their profile.

An error message will appear on their screen when they click the Upload button without adding the expiry date.

The Document will be added to the Candidate’s profile on the Doc Checks tab under the Onboarding section and in the Files section with the expiry date.
