This article explains how to use the Consolidated Activities dashboard to monitor activity across records in one table view. It helps you audit changes, review collaboration, narrow results by date or user, and manage privacy for deleted candidate and contact records.
β Important: The dashboard does not log record views. CSV or Excel exports also do not create front-end activity logs.
View and Manage Consolidated Activities
Click the Activities icon in the left menu, then open the consolidated table view.
Use the date range at the top of the page, then select a user from the All Users dropdown if you want to narrow the results.
Click Stats, then review the headline summary for the current date range and user filter.
Use the search bar to find activity by entity name or by keywords in the activity summary.
Click the filter icon, then choose the activity, entity, marketplace, date, or user filters you need.
Click Filter to apply your selection, or click Reset to clear it.
Click the View icon for any activity row, then review the quick view panel for linked records, activity details, timestamps, creator details, and attachments.
Click the Smart Views / Columns button if you need to save a table layout or add and remove columns from the view.
What You Can See in the Dashboard
The dashboard shows all activities, including Goals and KPIs, across entities in one centralised table.
The table can show activities created by other users, including users outside your brand.
Headline stats can show Total Activities, Total Users, Candidates, Jobs, Companies, Contacts, and Deals.
The dashboard gives you an audit trail of edits, deletions, and other recorded changes, with user details and timestamps.
π Note: Unique records such as candidates and jobs do not add to the Total Activities count.
Placement Changes the Dashboard Can Track
The dashboard can track changes to these placement fields:
Offer Date.
Booked Date.
Start Date.
End Date.
Primary Approver for timesheets, expenses, and leave.
Secondary Approver for timesheets, expenses, and leave.
Time Interval.
Pay and Bill Rate.
Pay Rate Added or Removed.
Available Filters
You can use the filter panel to narrow the table by:
Entities: Candidate, Job, Job Lead, Contact, Company, and Deal.
Categories: Comment, Task, Meeting, Email, Email Sent, Email Received, Application, Placement, New, Renewal, Updates, Terminated | Undo, Absence, Placement Cancellation, Shift Cancellation, New Record, and Deletion.
Marketplace: SMS, SendGrid Email, Vinneo, and Vinneo Outreach.
Date: The date range selector at the top of the dashboard.
Users: The user dropdown at the top of the dashboard.
π Note: Filters do not apply to actions that are not logged, such as record views or CSV and Excel exports.
Customise Columns and Smart Views
Click the Smart Views | Columns button next to the filter controls, then choose Smart Views or Columns.
Select Columns if you want to add or remove fields from the table.
Tick or clear the columns you need, then return to the dashboard view.
Select Smart Views if you want to save the current layout as a reusable view.
Enter a name for the view, then click Save.
Tick Default View if you want that smart view to load whenever the page refreshes.

π Note: The Attachments column is not shown by default. Add it from Smart Views, then Columns if you want to see attachment counts in the table.
How Attachments Work
When an activity includes attachments, such as a comment, task, or meeting, the table shows the attachment count.
Click the attachment count to open the previewer, then download or preview each file from the list.
π€ Tip: Use a saved smart view for common audit tasks so you do not need to reselect the same columns each time.
Available Columns in the Consolidated Activities Dashboard
Entity ID: The unique identifier for each entity (e.g., Candidate, Job, Contact, Company).
Entity Name: The name of the entity, such as the name of a candidate, job title, or company name.
Brands: The brand or segment within your organization associated with the activity.
Goal | Activity: Describes the goal or type of activity logged (e.g., Task, Meeting, Email Sent).
Users: The name(s) of the user(s) who performed the activity.
Assignee: The user assigned to the activity or task.
Created Date: The date and time when the activity was created.
Summary: A brief description or overview of the activity.
Attachments: Displays the number of attachments related to each activity.
Usage: You can click the number to open a list of attachments, with options to download or preview each attachment directly from the list.
How it works:
When an activity includes attachments (like comments, tasks, or meetings), the attachment count is displayed.
Clicking on the attachment count opens a new previewer where users can download or preview each attachment.
π Note: By default, the Attachments column will not be added in the table view. You will need to add this column through the Smart View, then click Columns list.
Placement, Company, Contact, Candidate, and Deals Activities: The 'Attachments' column, along with other fields, can be customized to appear in the table view.
Redact Deleted Candidate and Contact Data
Go to Settings, then click Admin Settings.
Scroll to Activities Settings, then click Edit.
Turn on the Data Privacy settings toggle, then click Save.
Archive or delete the candidate or contact record as needed.
Review the related activity logs. The entity name will show as Name Redacted, and the related personal data will be redacted in the activity details.
π Note: When this setting is enabled, all activities associated with the deleted or archived candidate or contact will reflect the same redaction.
Best Practices
Use the date range, user filter, and search bar together to narrow large activity volumes more quickly.
Save common column and filter combinations as smart views for audit, support, or management checks.
Turn on data privacy before handling deletion or archival workflows for candidate and contact records.
Check the Goal | Activity and Created Date columns together when you need to confirm exactly what changed and when.

Q1: Are activities like viewing records or CSV or Excel exports logged?
Answer: No. The dashboard does not log record views, and CSV or Excel exports do not create front-end activity logs.
Q2: I cannot find the offer activity in the dashboard. Why is it missing?
Answer: The offer activity is only recorded after the offer is approved. In the candidate activity view, only the Offer Approved action is logged.
Q3: How to find out who added a candidate of there is no candidate owner?
Answer: To see who registered/ added a candidate without a candidate owner please follow the steps below:
First, please make sure you have the Reg. date column and Candidate source column in your candidate table view.
Go to the Consolidated Activities Dashboard, this is where you can check all Activities (including Goals/KPIs) across all entities in one centralized table view.
Search for the candidate that you wish to see who registered/ added to the system without a candidate owner.
You will see that all the activities related to the candidate is logged there as well as the user who created the candidate.
